hi I'm MGA and in this video we will see how you can build your services through clockify invoicing allows you to create custom invoices from your billable activities and expenses share them with clients record payments and track their status first let's see how to create an invoice in clockify to create an invoice you need to select the client you're billing to the currency to be displayed on it its name which is pre-filled based on the last created invoice and choose the issue and due dates invoices will display your company's information in logo and your client's name and address at the top to actually populate an invoice import your billable time and expenses for certain projects and a period of time you can choose how your imported items will be displayed either as a single item detailed with each time entry being listed separately or grouped where you can group hours by project user or date our next toggle switch will determine whether your time entries will be rounded up to the nearest 15 minutes however if you want to change the rounding criteria head to the workspace settings find the time rounding settings and adjust it to your liking back to the invoice billable expenses can be added as well and if you do include them you can also group them in multiple ways through categories user projects or in detail where you can choose which exact information will be displayed an invoice can include discounts and taxes as well before sending it you can add a subject end note to an invoice for any additional information when sending an invoice you can change the preset subject and text of an email a client will receive with the invoice you can attach the invoice as a PDF send a a copy to yourself and finally include a separate expense report invoice management is usually led by admins but you can give specific users the permission to manage them as well one of the most important things when it comes to invoice management is to know their status you can track invoice statuses to see which ones are still in draft which ones are sent to clients which ones are paid partially paid overdue or void you can manually change their status download duplicate or delete them invoices can also be filtered based on their issue date client status amount balance or ID you can record partial payments for your invoices if you just enter the amount that was received and the date of the payment optionally you can also add a note to the record you will then have a log of all p payments with the details on who recorded the payment when how much and any note that was added you can export a list of your invoices in CSV or Excel and customize the information you want to export in clockify reports you can filter invoiced or uninvoiced time entries and manually mark them as invoiced one by one or in bulk invoiced entries will have an invoice tag so it's clear which entries have already been imported into an invoice expenses can also be filtered based on their invoice status so you don't accidentally Bill something twice invoiced expenses will also have an invoice tag here you can manually mark multiple expenses as invoiced or uninvoiced clockify gives you plenty of options to customize your invoices you can set default names for your billable items listed on the invoice first tax percentage second tax percentage and whether that second tax percentage will be calculated on the total or on the first taxed amount you can set and customize the usual due date subject of an invoice and add a typical note clockify also offers you the option to switch from multiple legal entities you usually bill from so the right contact is always displayed on the invoice you can check which columns you want to display on the invoice and whether the information will be displayed from left to right or vice versa you can define a template email for the first time you send invoices and the second template for when you're sending a reminder email also any label on your invoices can be translated to other languages or customized to closely describe what it represents like changing the tax label to vat to learn more about other clockify features be sure to check out our other videos thank you for watching
