How to electronically sign a letter of recommendation
[Music] hello my name is amin now i'm going to make a new video about uh the difference between reference letter and recommendation letter what is this for and where we can use these letters and what's the difference because the many students are asking from me that i'm applying to university and what i have to write on my letter for for example someone is recommending me or giving the reference to someone and what is the procedure what i have to write and which letters i have to write they are getting confusing and that's why i decided to make a video and explain everything very well that clear your mind and you will not have any question in your mind before starting the video i just want to inform you just hit that button below and give me a thumbs up for helping me to fight with youtube algorithm and also if you are not subscribing my channel just try to subscribe and help me to grow and we will go together let's start what is the reference letter what is the recommendation letter these are a bit different for example uh the reference letter the idea is the same someone is recommending or they're giving the reference of your working performance studying performance for example you are applying to university and you have to know that some scholarship programs or even the university admissions are asking from you to provide two recommendation letter and even they can ask more and they can highlight that two academic recommendation letter and one professional reference letter this reference letter you can ask from your the supervisor head of department your hr manager or someone in your company where you are working for this is the professional form and professional letter which you can get from your company but recommendation letters you can get from your professor from your thesis topic supervisor or if someone has the research based degree in their study years they can ask from the supervisor at the faculty at the department someone else and just be careful these two letters given by you should be the exact person who knows you for example this is the big company you are working for hr department you are asking from the facility manager because you have a good contact with the facility manager and you're asking the reference letter from that person of course they can give you the reference letter but your department is you have to understand hr department you can ask it from your hr manager from your hr supervisor or hr department the team leader or head of department someone is related to your working experience and who knows you better and recommendation letter someone is asking from the professor who never taught you any subject but just you have a good contact with that supervisor with that professor or even you can think that that professor easily gave the recommendation letter to my groupmate and then i can ask from that person and that person can give me easily the recommendation letter but you have to understand for example in the uh letter section at the end the that's person will give the signature section and in the signature section and he will mention his position and his working department for example you have subject in um let's say electrical engineering field but that person is working for business administration or for exam finance department and he is a professor in that department or any irrelevant department to your subject and even in your curriculum even in your syllabus the admission managers will not find any relative courses for this profession that's why it will be unuseful for you and even you can lose your chance for getting a great opportunity from the university where you are applying for and that is the common issue which students are doing always you have to take into mind this and let's start to the preparation form starting from the reference letter what you have to write in the reference letter just be careful don't uh if you're for example the supervisor or head of department someone is giving the you the reference letter you have to understand that person is not a professional person in english grammar because you are writing the kind of academic writing task two uh you are following ielts standards but you have to understand this person who doesn't have ielts certificate the person will easily understand that you wrote this letter and you gave to that person to get a signature for you and to put their stamp then this is not recommended and that's why you have to ask from that person to write and like easy ways even he or she can put the six seven sentences it can be enough you don't need to write two pages the reference letter that person only can put your performance but there is one point if you are applying university just taking the mind i'm talking about the university application not for express entry or not for the any immigration purpose okay this is just for academic purpose and you are collecting documents related to your university admission process okay that person should include their your working period for example you start at 2018 until 2020 and that person should mention that we know each other from this time and since that time we are working together and this person and giving reference a letter and [Music] for the body paragraph uh that person should mention only one paragraph is enough or two maximum is enough and in this paragraph he can mention he she can mention only your working period in that department and your tasks your performance and everything is related to you not like highlighting too much information not for the impressing your ability just for the easy samples you can ask from that person and they can include in your letter and the second part he can mention it's my pleasure to give a reference to that person in the future if you have any question do not hesitate to contact with me and that person can put the email address department and the company and letter form you are always asking from me that and can you give me the sample of course um the sample which is the common and i can only mention that like structure not the sentences i can only give for example uh the name surname place and the signature place and letterhead what is the letterhead letter is the section company logo or company name or company contact details will be mentioned there or if they have iso nominee they can put only there and they can put any certification number a reference number there this is the letterhead sample you can ask from your company and that's it for the reference letter letterhead to whom it may concern and the brief information about this the reference letter five six sentences are enough and signature signature i mean the signature space this is the person will write the position name surname department and the company name company contacts or his her personal contacts can be included there and the important things in this reference letter you are asking should i put the company stamp or that person individual stamp on it or the to put their signature or no just be careful if you are uh like inserting letterhead to that letter you don't need to put the stamp because uh the reference codes iso codes it is easily recommended for you uh if in letterhead it is mentioned you don't need to put the stamp or if they are putting the stem doesn't make any sense and the signature also is a big deal for example you are using someone's signature or just imaginary signatures that is this problem and that's why that person should put their signature and a company letterhead that's enough in that case uh you can ask from the hr department manager to put extra name surname and the position and the signature that is extra it can or cannot be on your letter it's absolutely depending on your relation with the departments and if you you have a good friendship relation with your managers you can ask from the person who is giving you the reference the names your name signature and the hr manager's name surname position and signature that's enough this is for the reference letter okay let's go to recommendation letter this is a bit different because comparing with the reference letter this letter is a bit different because of it is structure for structure you have to still put the letterhead uh there will be university logo university department uh some information which department the this letter is coming from and the contact details uh kind of this can be the phone number an email address and a post address it can be inserted on the letterhead then the second part there should be the uh recommendation part the sentences which you your supervisor or any professor are writing for you just be careful in that letter also you have to give like um easily understandable sentences not making a confused of the university admission managers if they are reviewing your letter and you are using some hard sentences and not easily understandable sentences that is the confusion for example if you are receiving a document and someone put their different synonyms of the for example this is english b1 word but you are changing it to c1 synonyms in that case it can't be irrelevant and if you are reading that letter you can get irritation and you can get angry that what is this and what does it mean they are putting their relevant or irrelevant they are just putting their advanced level words that is not recommended just put something easily understandable words sentences and that's it you have to mention that the period you know each other with that supervisor or the referees who is giving you the recommendation letter and uh from what time till what time you know each other and from which subject you know each other and that person how long taught you this subject and how did you know each other a bit closer because uh for example in my department also i had some professor but we didn't have good contact we were not uh going well and it is possible like this is human being we cannot uh get on well each other and someone we are closer someone we absolutely don't know each other just passed the exams and finished the communication with that person this is possible and that's why you have to ask the recommendation letter from the person who knows you better than others okay and just be careful uh to ask from uh professor associated uh professors not from the lecturers or phd students who taught you uh one subject it's not recommended that's why you have to ask from someone with a high position in that department because um this is a good reputation for your [Music] letter and that person will include the information and how you know each other from which subject and why that person is recommending you because you had good knowledge for this subject and you passed this subject with a high mark or you made some research or uh publications or some models during this study period and [Music] that's it you have to give information and not you that person or it is possible like you can ask from your supervisor you can write instead of him or her then they can agree it's good and uh you can ask from them that stamp or something i will give information okay this part is finished and again the second part you you can write if you have any concern about this person's candidacy you can easily contact with me below mentioned contact details you can write me but there is one point as well do not use personal email address you have to use university email address for your recommendation letter because it's possible some students are cheating university admission and they are putting a random email address which it's possible you can create instead of that person name and surname and you can create an account and at gmail.com and at something.com something like that and that's why it's recommended to put their only professional university email address which refers to that person it should be cooperative email addresses for that university and even you can avoid this paper submission you can depends where you are applying for example some canadian universities some australian universities new zealand universities american universities asking online recommendation letter which your university will forward your application to the referees to accept and uh write them back that's it and at the end you have to include there again the signature stamp uh if they have stamp department has a stamp or that person has individual stamp they can put their stamp and that's it uh signature also uh signature i mean that can be electronic signature or a handwriting signature again the letterhead and that's it for your recommendation letter again i'm telling you and don't be hassle in these sections in these parts because this is the easiest part which you are making harder for yourself that's not good things just take it easy and ask from the person if they are accepting that's good if they are not accepting ask from another person who is working with you and they have a high position rather than yours they can be your left race you have to always ask from the department and who is working with you and they can of course better than nothing instead of keeping silence and shying not to ask just ask if they agree it's possible or if they not agree with your um concern then you can ask from another person but not for relevant for your application that's why just be careful for this part and the recommendation letter is also working like that you have to ask from a professor who knows you better than others who told you at least one semester and at least six months you have a connection with that person in the future you will get a successful application for your university admission process that's it if you find out this information relative for you and related to your application just hit that button don't forget to give me the thumbs up and help me to grow together and if this channel is growing you will get more information related to your circumstances and that's why hit that button below subscribe this channel and give me thumbs up for helping me to fight with youtube i'll get it and see you in next week
