know that you have to renew your license annually and it expires again one year from the provisional license one year from the date that you receive your provisional license renewal applications will become available again in math cip 90 days prior to the date of expiration and then you have 30 days to submit that application and then submit your annual license fee so for retailers and product manufacturers your annual fee is going to be 10 000 and for cultivators it ranges anywhere from 625 to 50 000 depending on your tier size and whether you're an indoor or outdoor cultivator so when does your license expire there are three ways to find out when your license will expire you will either receive a notice from the commission um likely via email approximately 90 days prior to your expiration date two you'll receive a final license and then the expiration date of the license will be on the upper right hand corner of the certificate that you receive or three if you log into mass cip you can access your license information which will show the expiration date and you are required to submit an application for renewal again at least 60 days prior to your license expiring some things to just keep in mind right now with cobia 19 going on is that you or adult use establishments with licenses expiring in june july and august will automatically be extended your 60s will be extended this does not apply to mtc's and this does not relieve any license from your associated legal obligations including obligations to your municipality or other state agencies all right so next your renewal applications so this is essentially your renewal application checklist these are all things that you will have to check off as part of the application so through your renewal application you will need to update your contact information if necessary update your business information for entities currently listed on the license update the personal information for individuals currently on the license remove individuals and entities that are no longer associated you will need to update information pertaining to individual interests and cannabis related businesses and licenses in massachusetts and other jurisdictions you will need to update the square footage of your building and then the number of abutters within 300 feet of the property you will need to disclose the amount of funds that you have accrued to the community the host community as a result of the executed host community agreement along with documentation so if you only have your provisional license something still has to be uploaded so you can just make a statement that says you have not made payments to your municipality in conjunction with its community host agreement as you only have your provisional license you will also need to update your plan to remain compliant with local ordinances or bylaws to specifically include all information pertaining to zoning districts special permits building permits certificates of occupancy and any other local license requirements you will also need to update background information for all individuals and entities associated with the license just note here that you don't actually need to complete new background checks themselves you will also need to provide an updated certificate of good standing from the massachusetts department of revenue you'll need to provide massachusetts secretary of common wealth and a certificate from the massachusetts department of unemployment assistance you will also need to provide updated summaries of plans policies and procedures so you just may need to provide some updated narratives based on revised regulations or updated guidance again with the renewal checklist you will need to provide an updated timeline to become operational which will include outstanding local approvals operational impediments and specific projected dates when any issues will be resolved and when the establishment will become operational again this is if you have received your provisional license so just to continue with the checklist you will have to provide statements and documentation to demonstrate the reasonable progress or success of the programs implemented as part of your positive impact and diversity plan and again this is the time to maybe update those plans in the renewal process which is optional optional [Music] all right so what information cannot be updated during the renewal process so there's a few so you cannot update your tier level so you cannot so pretty much with the tier level if you want to update your tier level you would have to submit a voluntary tier relegation request form um you cannot the addition you cannot add individuals or entities to this application you cannot change your location on the renewal and you cannot change your business name so you'll have to submit separate applications this cannot be done during the renewal process so specific to your positive impact and diversity plan this is very important you will have submitted plans in your initial application that outline the goals programs and measurements that have to be implemented when you did that there may have been the commission may have assigned you conditions to these plans so you just want to ensure that you're abiding by your most recent updated plans you'll have to utilize measurements and overall metrics to demonstrate progress of such plans so progress will be if you only have your provisional license success of these goals will have to be if you have your final license and down the bottom just licensees so you are required to demonstrate progress or success of each goal again even if you only have your provisional license you have to show success or progress to your goals that were outlined in your plans so how do you demonstrate compliance with these plans you'll have to provide a description of progress and success of each goal listed on your plan as well as documentation to demonstrate the progress or success in these plans which may include internal reports with verifiable data service and vendor agreements employment reports employee surveys submit policy and procedures for determining reasonable substitutions of marijuana types and strains you will also have to provide a response to move on to the next section of your application so when you're filling out your application you and it asks you it will ask you to submit a document you can't move on to the next portion of the application until you upload a document or fill in an appropriate section [Music] specific to cultivators you will have to provide documentation to show that your cultivation operation has sold more than 70 percent of its product that was fully harvested within 6 months if you did not sell more than 70 the commission may relegate or reduce your tier level so with that said this may also be the time to increase your tier size um and if you do want to look into that we can discuss that further after this webinar cultivators will also have to document or provide documentation with a metric report showing cultivation and production history including a statement of whether the plants or inventory suffered a catastrophic event since the issuance or last renewal of your license you will have to provide transfer sales and tax payment history as well as sales contracts existing inventory and inventory history you will also have to provide any other factors or documentation relevant to ensuring responsible cultivation production and inventory management you will also have to provide an energy compliance letter which would be prepared by either a licensed engineer or architect as well as a an energy and water usage report of your over the 12-month period all right so product manufacturer specific requirement requirements you will have to provide a detailed information regarding products that you have produced including types and forms so with this you'll have to provide the name of the item item type item description so the description of the product including types forms flavors strains used and any other relevant information you will have to provide a picture of the item so for example say it's a chocolate bar they want a picture of the actual chocolate bar outside of the package as well as a picture of the chocolate bar in the package so that they can review the label picture and ensure that your labeling complies with their the commission's regulations so preparing for your renewal so what can you do to prepare for with your renewal so some conditions that we have seen are for renewals of the 90 days of the state emergency order that was being lifted you have to notify the condition on updated actions on your plans of positive impact and diversity plans so if you had an extension you have to just notify the commission that you are still complying with those plans renewal for renewal for co-located marijuana operations submit your program to provide reduced cost to patients with documented financial hardships and provide an updated timeline for mtc's becoming operational so for this if you have an adult use license up and running but your mtc license is not operational yet then this is where the commission will ask you for an update updated timeline and then any additional evidence of progress towards your goal if you don't feel that you've provided enough evidence that shows progress or success towards your goal the commission may just ask you to provide additional evidence and
