we're excited to share highlights of the sage 100 contractor version 20.6 release as always you can find additional details in the release notes and in the knowledgebase the features in this release come directly from customers enhancements that customers have told us will make the software easier to use we'll review each feature to see how it works but a quick review of this slide shows you the variety of enhancements you can expect convenient access to information in activating unused records payroll enhancements refresh report option new aging report options and more let's take a look let's start with the quick access options we've added the ability for quick access to items from within the job and client record you can access proposals accounts payable invoices and service receivable invoices using the buttons on the bottom of the job screen and on the client record you can now access your service quotes and here on the equipment record you can now enter a sold date to better manage your equipment we've all been in the situation where we need to remove or hide unused records within sage 100 contractor you're in luck we now have the ability to mark records and grid items in active so that they no longer show during data entry or on reports to mark a record and grid item as inactive you must have administrative rights once you've logged in as a user with administrative rights simply click the edit menu and then select inactive records right now we're looking at a job record however the process works the same regardless of the type of record you are in activating once you make a record inactive you can no longer use that record on transactions to do so you would need to make the record active again so let's say you inactivate a record and then realize you still have transactions to enter for that record to make the record active again you have two options if you know the record number of the inactive record you can simply enter that into the record number field click Edit and uncheck inactive records or you can also manage the inactive records through the lookup window click options then select edit inactive settings and then you can make changes as needed I mentioned that you can also make grid items inactive to make a grid item inactive simply enter yes in the inactive column you will not see inactive items in the grid to view and manage inactive items simply click the show and active records and remove the yes from the inactive column this will reactivate the record again you must be logged in as a user with administrative rights to make records inactive and to edit inactive settings we've also added the ability to refresh a report meaning if you drill down on an item and make changes there is no longer a need to close the report and rerun it you can simply refresh the report click file then select refresh this will update the report without having to rerun the report manually currently aging reports run by due date in version 20.6 we added the ability to also run aging reports by the invoice date for accounts receivable service receivable and accounts payable we also added a combined aging report that you can run from within the accounts receivable and service receivable reports menu this report combines both accounts receivable and service receivable aging information into one report saving you time from having to run two reports to get the same information now let's take a look at some of the added features within payroll you now have the option to enter a vacation accrual maximum inversion 20.6 if you enter a maximum the system will stop accruing vacation of course once vacation time is you and the employee drops below the maximum vacation will start to accrue again this is for sage 100 contractor 20 point six US Edition only Canada handles vacation accruals differently in addition to adding the accrual maximum you can now see the vacation the employee has accrued thus far when entering a time card in five to two payroll records the available vacation that shows during timecard entry does not include the current time you are entering on this timecard so the employee may have more or less vacation available depending on whether the employee used vacation on the current timecard however when you final compute the payroll records you will get a message if the employee is negative on vacation in earlier versions reprinting a payroll check stub required you to change the check number on the five to two payroll records to four zeros in version 20.6 the process to reprinting the payroll check stub is much easier simply go to five to four report printing and select reprint check then enter any criteria needed to reprint the specific stub you are looking for each payroll record now tracks its own year-to-date numbers which makes it possible to accurately track year-to-date totals when reprinting the payroll check stub since each payroll record now tracks its own year-to-date totals when you compute payroll checks you may see payroll calculations that pull in with no amount this is expected the calculation is pulling in the year-to-date amounts at the time the payroll record is processed let's take a look at some new features that affect the bank reconciliation and journal transactions when you enter items directly into your cash account in the 1:3 journal transactions window it automatically shows in the adjustment area in the 1:5 bank reconciliation the entry shows in the adjustments area because previously we did not have the option to assign a specific category to the journal transaction in version 20.6 we've added the ability to assign a banking category when you enter the journal transaction you can select adjustment check or deposit this will make bank reconciliations a little easier when it comes to finding the transactions you're looking for the last new feature we will cover in the version 20.6 is a server management addition to the database administration we added server management to provide the capability to create and manage multiple server instances and the ability to move companies from one instance to another for version 20 will be the only version of sage 100 contractor for which we will provide payroll tax tables for year-end 2017 you must be using version 20 to install and use the 2017 year-end tax update if you use the payroll tax tables for year-end we strongly recommend that you do not wait to upgrade because version 20 is a major software upgrade that involves migrating your data to a new platform
