[Music] hello and welcome to zephyr training I'm your host Jeff and I'm joined today by the community manager at disclosures IO Tam towbar Tam thank you for joining us thanks for having me so for the ill-informed we've had Tam on before it's been that coming up on about a year and we figured it was time to bring you back on to talk through the new features of disclosures Daioh before we get into that can you just kind of set the table for the uninitiated what is disclosures dot IO and what can it do for me as an agent yeah definitely so for those users who aren't currently using disclosures io jump on it's free to get started if you are a Zephyr agent you also get a really great deal through the brokerage we make sharing PDFs and property information really easy for you I was a transaction coordinator myself so I understand the pain points of working with you know 300 page PDF stands trying to make sure it gets into the right hands in a timely manner and with disclosures that IO will allow you to actually create a property package and upload those documents and maintain everything we give you the ability to share this information with interested fire parties and on top of that we give you also the ability to access analytics behind your property package so you'll be able to see who's downloading information who's uploading interested buyer parties and inviting them to the property package and it gives you just a really great pulse on the market and it allows you to truly be an industry expert and share that feedback with your sellers is fantastic that's that's why she's the best of the good folk she's got it all down and so you've got some new features coming out I understand to the Atilla platform we're looking forward to can you just give us a quick high-level what we'll be looking at that's new yes so we have made some updates visually to the proper to the software if you have existing packages all of that information is going to remain available to you you don't have to re upload anything and you don't have to reshare the information with interested buyer parties however we just wanted to bring things forward and make it easier for you to find the tools that you need to give give yourself a break when it comes to creating property packages so we've changed the way that you can upload documents we also introduced something really cool which is the ability to archive a file and get it out of your workspace and you know we have a bunch of editing features that you all have requested and we've worked really hard on bringing bringing that to this new version and making it work well and we're just really really excited to share that with you so what we're seeing now is the disclosures that our home page it looks pretty similar to what we've already seen or what you might be used to when you log in or sign up for an account it's pretty much going to run the same way we have and kept it as similar as possible and try to make changes slowly so if you come in and you are logging in for the first time you're still going to see the regular login you'll be able to log in with either directly with your email or using our single sign-on options as a friendly reminder Chrome Safari and Firefox are the best browsers to use with disclosure style I'm just going to go ahead and log in to one of my accounts using the Google login and what we're seeing now is the updated version of disclosures do so at its core it's still very very similar however we need a few changes and again we wanted to bring things to the forefront so you didn't really have to search for anything all of the property packages that you have access to are still going to remain in the center of the page you still have the ability to share directly from this view you'll see this archive option here and that's going to be really useful if you are getting ready to close a property package because you've closed on the property in your transaction is done you can go ahead and archive directly and then so on the left hand side we've brought all the profile information towards the front so you can quickly access your personal information you'll want to make sure that this is that way whenever you create a property package or invited to a property package or even really ready getting ready to make an offer this information will pull from your account we also have the ability for you to update your brokerage information if you are a part of those offer brokerage this information will pull down from the brokerage however if you're not currently in the brokerage you'll want to go ahead and set this up on your own anytime I am in the disclosure Co software if I want to navigate back to my agent home page which has a list of all those documents I'm gonna select either this active option or I can hit on the hit the disclosures dot IO icon and that's going to take me back so again the profile information as well as the ability to log out now lives on the left-hand side of this screen as I mentioned that archive option is going to be here so all of your archive properties are going to remain in disclosures dot io they're just going to be moved from that active list to help clear things up and allow you to really focus on the documents and property packages that you're working on another thing that I do want to touch on on this home page is the ability to switch into different accounts so if you have multiple accounts or your transaction coordinator assistant or if you're just helping someone manage their account and they have granted you access the ability to switch is going to be here under your name and we've also brought the your name and the email address that you're signed in with to the front so you'll be able to tell exactly what account you're signed into you if you needed to switch the account this is going to be the first option here and if you select that you'll be able to see whose account you have access to I'm gonna go ahead and just navigate into Tania's account and here I'll be able to see that I can see all of her packages so if I'm helping her I can go ahead and make update so I can take a look at it and manage that for her if I needed to move back my account I want to go back and use this switch account option my information will always remain persistent at the very top so I don't ever have to look for myself I can just click on my name and I'll be taken back to my account so that's the updated changes on this essentially this main page another thing is if you're a transaction coordinator we do have the ability for you to request access to an account so essentially you would be sending over an email request to an agent and they can either accept or deny your request to help them manage their account so that's one of the cool things if you're a transaction coordinator or assistant you can actually go ahead and initiate that instead of waiting for the agent to grant you access we also kept the ability to filter the property packages by types of listings or buyer packages you can sort by most recent or oldest and the search properties will allow you to look for a property package that you already have access to so if someone has invited you to a package or if you created a property package this search feature will allow you to find those properties all right and the next thing that we're just going to jump right into is creating a property package normally on our webinars we dive into a property package that has already been created but we've added a few features again based on buyer and buyer agent feedback I'm gonna go ahead and hit this blue create property button and the first thing very similar to what we see previously is the ability to indicate which by which party we're representing so we're just going to continue on with the sellers and then this is going to be really familiar entering the property address we do integrate with Google to try and pull recommended property addresses but you can go ahead and manually enter an address which I'm going to do and then I'm gonna hit next and this screen is one of our new features again this one is next two screens that we're gonna see is are basically requests from interested buyer parties this is optional you don't have to fill this out you can always come back to it later if you want to but we now kind of give you the ability to enter some property information that will allow interested buyer parties to see a little bit more about your your disclosure package and this might be useful for buyers who might not be working with an agent that is giving them MLS printouts so you can enter all of the information here and in the description you'll want to use either copy from the MLS or something that you would put on your property statement or brochure and then once that information is filled out we'll hit next and then when you now have the ability to add multiple properties are actually multiple photos to a property I'm going to upload these directly from my computer I have a couple of photos so I'm just going to grab nine we tested this out and you can upload upwards of you know 45 to 50 images but keep in mind sometimes people aren't coming to this website just to see your property images here we have the primary image and then also a gallery image to reorganize these just simply drag and drop them into your preferred order your primary image is going to be what is located on your cover sheet and then the gallery images will just be on a carousel so this is the last step I'm just gonna jump in real quick just so I'm clear once the it sounds like the primary image it goes on the cover sheet just do the details on that previous page show up there as well or for a different section they don't show up on the cover sheet but I will show you where that is featured in your property package as well as on your registration page so let's go ahead and hit complete and that's a great question then also around the another thing to note around images is that you'll want to make sure you're adding a that is saved as a JPEG or a PNG for best results so we'll go ahead and hit complete and once this page reloads what we're going to be taking to is our property package so here is the property address as well as the listing price and that property information we entered here we have the property photos so when we open this up we'll be able to guide through or go through the different property photos that we uploaded and then also if I click on this more info information this is where we'll going to see all that property information that we entered and again this was a lot of buyer feedback or buyer agent feedback is just being able to see a little bit more marketing detail and if we needed to update or change any of this or if we didn't fill it out when we got started we can go ahead and hit edit property and here we have a window with the three tabs won't be able to edit the address if needed as well as the property information and then the photos as well got it and you mentioned on that first page that you can use Google Maps to pre-populate that does that and anything like property details or photos come over automatically if you use that feature or is that just for filling in the address currently it's just for filling in the address we don't have any integrations with the different MLS's as of yet to automatically pull that over it is something that we're thinking about and trying to work towards but as of right now the way that the product works you will need to manually enter the information as well as upload the property photos got it alright so now that our package is created if we scroll down we can see that there's no longer an edit button to go into edit mode so we can upload the documents instead we've surfaced that information and try to really just make it easy for you to get documents into your property package I can click on this document button here and that will allow me to upload directly from my computer if I have a PDF in an email I can forward that over I have my cloud storage integrations and then also if I have a completed envelope DocuSign I can use the DocuSign option to import that envelope over for now I'm just gonna upload directly from my computer and select these documents and here we'll be able to see the progress of the documents as they upload and then once all documents are uploaded will notice that the add documents button becomes more blue and we can go ahead and add the documents into our property package here we can see that the cover sheet is has like a little updating wheel and anytime you make a change to a document and/or the property package and hit save that's going to automatically regenerate the cover sheet to reflect those changes we also have the ability for you to order a NHD report through disclosure source all you'll need to do is enter the property the owner name of the property and hit order report they have a track record of getting you the property NHD report into your disclosure package in under 15 minutes so if you're in a bind and need need a NHD report really quickly you can go ahead and use that you can choose to download the property package as either a separate PDF and this will go into a zip folder or if you need it a combined PDF and that'll just be one really large PDF we also have a DocuSign integration that you might be familiar with that will allow you to create an envelope and send it over to DocuSign for your sellers to sign and then much much feedback was given to us about this reordering so we've included a reorder option I'm gonna go ahead and click on that and there are two ways to reorder documents I can either reorder them by in this custom view and that allows me to drag and drop them into my preferred order or I can choose to organize them alphabetically and that will put them in order you'll have the numbers first and then alphabetically here if I wanted to move things around one by one I can go ahead and switch back to custom and then I can drag and drop the documents into my order next to the documents we also have these little dots if I select three documents I now have the ability to drag them and drop them so one of the feature requests that we did get is ability to bulk drag-and-drop documents and you can now do that you'll just want to make sure you select the documents and then drag and drop as needed in this view we also have the ability to rename documents so if we need it to update the document name to pass inspection we can get that done and we do have those auto predict or autosuggest titles and once I'm done renaming I'm just gonna hit done renaming and then hit save and by hitting save that updates the cover sheet and will reflect those changes so that's the reordering another really big feature is the ability to add stamps to the first page of your document a lot of agents really love this but another feature that was highly requested was the ability to pick a page for stamping and I'm so excited to let you know that agents can now do both however there are two methods to getting that done the first method will allow you to place a stamp on the first page of multiple documents and have those page numbers Auto counted and the second method is going to allow you to pick a page for stamping so let's take a look at the first method which is to stamp the first page of multiple documents and then also have those page numbers Auto counted so to get that done I'm going to select the past the pool and the prelim documents and here at the very top I'll be able to see that these buttons have changed so now we can combine the documents into one large document if needed we have the snap feature which we're going to click into and then we also have the ability to bulk delete documents now let's jump into the scout feature and what we're seeing here is at the very top you'll get a little prompt text will let you know how to place pages on multiple documents if needed but and we're going to talk more about that in a second but here on the left hand side we'll have the ability to create a little template and customize the snap as needed so I'm just gonna go ahead and do that and down below you'll be able to see the stamp preview this will update in real time so you'll now see received in red and pages is the disclosures audio software automatically counting the page numbers and then to place the stamp all I need to do is drag and drop my mouse across the first page and if I click once that will place the stamp and I can continue to play stamps on those different documents as needed and here you might be able to see that it's reflecting the number of pages in this specific document and once I hit play stamps this is going to burn the stamp into the first page of the document and that just make sure that interested buyer parties know where to sign so let's quickly click on the pull in spa here I'll be able to see received and read page 5 pages and the buyer information so that's going to be here as well and if I close out of this that will just you know allow me to stamp the first page and have the page numbers the next thing that I do want to talk about is our stamp and annotate feature and this method is going to allow you to add a stamp to a page that is not the first page number if I hover over any of these documents I'll be able to see a few selections appear under the document name and information we're going to go ahead and click on stamp and annotate and this is going to take me to a page where I have the ability to add a stamp add text highlight text and then also redact private information here we can already see that we have a stamp for the 8 pages this is going to be on the first page and the page numbers were Auto counted but let's scroll down to the seventh page of this document where it is the work authorization let's just say I want to add a stamp here that way interested buyer parties can acknowledge that they know how much the stamp or how much the work authorization is if I click on stamp and drag my mouse across the front of the page I'll see something very similar to what we just saw with the other stamp to edit this information I'm just going to go ahead and click on that and the Edit stamp option is going to be here on the right hand side and I can go ahead and edit this as needed and you can see that it updates here if I needed to remove the stamp I can go ahead and get that done by clicking this X button keep in mind you will need to remove it before you hit save once you hit save that burns the stamp into the page and to get rid of the stamp you will have to re-upload the original document the next thing is the ability to add the text to a field so this might be useful if you want to write a quick note note so I'm just going to type in text here and if I click on that I'll have the ability to edit the text on the right hand side as well we have a quick question from you'd like to know does the stamp integrate into DocuSign automatically so the stamp will follow the documents however you still need to place the signature tags in DocuSign you can set up templates in DocuSign but that would have to be done outside of the disclosures audio software great question all right the next thing is the ability to highlight and so I'm just gonna give you an example I want to highlight what the section totals are and then also highlight the text that I added so I'll be able to enter that here please read and then the last thing under the stamp and annotate is the ability to redact private information a good example is if your clients are the ones paying for the reports or ordering their reports and their contact information is listed either on an invoice or on page one you might want to hide that so we now have the ability for you to choose to redact information by selecting redact private info and just highlighting the text that you don't want to be shown and when I do that it's going to place this black box over that information that I highlighted if I needed to remove it tap once in here I'll see that option to remove and if I wanted to reselect it just select redact info highlight again and that will be there for me so again in this stamp in annotate you have the ability to redact private information you'll be able to highlight text and add in little notes and then also pick a page for stamping but keep in mind the stamping feature in read stamp and annotate does not automatically count page numbers so there's two methods for that the first method will allow you to have page numbers counted and this method will allow you to pick the page so once we're done editing and we go ahead and hit save that is going to burn everything into the document and here we can see the cover sheet automatically updating and we will be done with that pest inspection report and if I click on this preview and then I scroll down to the 7th page again here I can see all of that information reflected and then also that redacted information will be blacked out as well so that was one of our big features that we were very very excited for is the ability to allow agents to pick a page for stamping as well as adding text highlighting and redacting private information another thing is if we wanted to edit a specific document a really popular feature is the ability to split documents one large document into smaller documents we can get that done by clicking on the edit option and this is going to be persistent throughout the documents that you upload and let's just go into the marketing PDF and hit edit and what we're seeing here is the ability is a preview of the document laid out really nicely based on user feedback we now have this sliding feature so if you needed to enhance the viewer it make it make documents larger to see what's on the page you can go ahead and get that done by using this slider here I'm going to go ahead and back out of this if you wanted to rearrange pages you can simply drag and drop them into your preferred order if you need to rotate pages hovering over a document page will surface these little tool icons at the bottom where you'll be able to rotate or delete a specific property page and then also if we are we're working on splitting a document we now can select pages here so I'm gonna select pages 3 & 4 by typing in 3 comma 4 and if I click away from that will see that these pages are automatically checked I now have the ability to split these pages or I can choose to both delete these pages we're going to go ahead and just split them and I'm going to name this floor plan and then the next thing that I want to do is I want to separate out these property infographics so I'm going to select pages 3 to 6 same thing I'll just click once outside of this edit bar and then split pages rename this let into a new document and then the last two pages are the prop my property statement and I can manually click on these two pages if needed and select the split and now that all the documents are split up I have two options I can cancel and by hitting cancel that will undo all the hard work that I just did and then if I select select this save option I'm gonna see a preview of everything that I have done within this specific edit mode I'll be able to see which pages have moved which ones have been rotated and which ones I've split hitting save changes will automatically update the cover sheet for us and that will regenerate the table of contents so if I scroll down I'll see the pages here at the bottom that I've split out I'm going to take back something I said in the pre-show now that I've walked through that again with the PDF splitting that is the easiest PDF split and rotate of a web-based tool someone can fight me on that if you have a better contender well we love hearing that it was something that we really wanted to get right and you know hearing it come from someone who's in front of a lot of different softwares is greatly appreciated you know we're just trying to make all of the pain points and agents life regarding documents go away as much as possible unfortunately this does not reduce the size or of your disclosure package and it does not exclude you from using the different documents needed you'll need to seek the advice of a caller or what is it a qualified real estate attorney if you want to emit any documents not quite there yet but I've been with the progress that we've seen from I mean last year it was awesome when we could stamp the disclosure packages now we can choose exactly where the stamp shows up so more and more flexibility who knows maybe shrunken down disclosures themselves as it's next on the on the roadmap if only yeah one more thing that I do want to touch again on is the reorder option just because it makes more sense now that we've gone ahead and split those documents and I maybe I want those marketing documents towards the front I'm just going to hit the option to reorder and I'm gonna leave it on custom and then I'll scroll down and I'm gonna select the property statement and put that ahead of the floor plan and then I'm going to select the floor plan and property infographics and they're down at the bottom so now I can just drag them all the way to the top and place them at the very top and hit save and here we can see them move to the top now and then this cover sheet is going to be regenerating and the next thing that I do want to touch on is the cover sheet because we know that customizing it and making it branded to you as an agent is really important so we're gonna go ahead and just click on edit and one of the things that we've changed with the cover sheet is now giving you a preview of what you're working on so you can kind of see things in real time this image will pull from the documents that we've uploaded at the very beginning if you haven't uploaded a document you'll be able to go ahead and upload or replace that here if needed all the brokerage photo is a spot for you to enter your brokerage logo so if you don't have a your profile filled out or if you're not a part of the Zephyr brokerage you can manually upload that here but if you've already updated your profile and your company information let me go to this listing agents tab and I click on agent and I click my name I can see that that information will automatically pool so I'm going to scroll down here on the preview a little bit here's my brokerage logo and here's my information as well as my brokerage information another really cute feature and I say cute because I think it just really allows agents to really customize things and it's the little attention or the little it's a little details that matter but you can now enter your title so if you're a listing agent you can enter that here and that will be reflected on the property package and if I decide to invite a co-listing agent or if I want to feature my transaction coordinator I can do that by selecting agent two and then choosing to invite team member and then entering that agents number or excuse me a name and email address and if I hit share property if they have a disclosures audio account and their profiles filled out that information will Auto populate here we'll be able to edit the information as needed and I just want to let people know she's my TC slash admin and so I can clearly have the different titles on here so if people need to get in contact with me or they have a question for my TC they can quickly get ahold of the right person if I scroll down the next thing is going to be the instructions and I'm going to navigate over to this instructions tab here we have the ability for you to manually enter any instructions we have a rich text formatting tools here for you for you to use we also have the ability for you to now save multiple templates and I know this has been a really popular request by transaction coordinators and admins and then also agents who have a variety of different properties in their in their queue as a concession we did have to get rid of the s pre-sell escrow information however the trick and the kind of like work around that would be to save a set of instructions with your preferred title company and here you can see I have an example I have a sunny national title company and if I choose a different logo I'll be able to see I have rain national title company so that is the workaround you no longer have the ability to add pre-sell escrow in its own specific location but you can save multiple templates and include that escrow information here and saving instructions by title company might be a little bit more useful it might be easier for you as a listing agent or a transaction coordinator and you'll be able to save all of these simply by clicking save as template and you can edit them as needed if you have a previous template setup with us in the older version of disclosures audio that will be saved as legacy template so that's probably one of the first ones that you'll see when you log again is this legacy template and that will migrate over from your previous the previous version so here we can see the instructions being updated in real time we get a preview of the table of contents in the documents with those page numbers and then the last thing is the signatures we have these footers and it's going to be very similar to what we saw with instructions where you can customize this to say whatever you need to say you have the legacy template that will come with your rule that will stay with your account and then also as an example my brokerage may have emailed me a specific verbage to use and they want to make sure that I'm featuring this on my cover sheet so I can go ahead and actually save this as a brokerage template that way I make making sure that I'm using the the words and the contents that my brokerage really wants me to you to use here on the cover sheet we have the ability to save and save and notify again the save and notify is going to be meant for for you to use when you have shared the property package with interested buyer parties and they'll receive the email update letting them know which documents were either added or updated if I don't hit save and notify because I'm still working on the property package and once I'm done and want to notify the viewers I'm gonna see the ability the option to notify viewers of updates and when I click on this what I'm seeing as a listing agent is not what the interested buyer parties are going to see this just allows me to check on all the document updates or changes that I've made and what buyer parties are going to get is an email with a document title and whether or not the document was updated or if the document is new so you don't have to worry about them seeing you rotating pages or changing the name of a document they're just going to get whether or not the document is new or updated and again this is based on what the buyer party viewed last so that was pretty much creating our property package we updated photos added property information for intrastate buyer parties to see got these photos uploaded added stamps to the first page with those automatic page counters added stamps to different pages we edited the property by going in and rotating pages and splitting a large document up into smaller pages and now we're ready to share but it might be that we have a question before we move on to sharing you read me yeah all the way this is a good question from Debbie I think we should address before moving on to sharing she wants to know what the best way is to initially upload the documents she and she outlines kind of a basic flow in her mind here of creating the disclosures or kind of collecting them in zip forms or is it corn plus and send them to DocuSign to collect them and then upload the the envelope or you know the PDF containing everything from DocuSign is that similar to what you you see often or is there kind of a better way to to kind of build the disclosure as far as uploading the documents so if it's really based on personal preference if you an agent are doing everything yourself sometimes it's easier to send the documents directly from zip forms into DocuSign if that's how you have your workflow you can go ahead and get that done and once that envelope is done signing you can just directly import that envelope from DocuSign using this DocuSign integration that way you don't have to download and then re-upload to disclosures dot io alternatively if you upload any blank documents here and let's just say you're working on your property marketing and once you have all of the documents in here and they're there blank or some of them are you know some of them are signed or some of them still need a seller signature the download integral or excuse me the DocuSign integration that we have here will allow you to choose to have those documents replaced once they're done signing so you can send blank documents from disclosures that I owe out to your sellers to sign and once they're done signing it will replace the blank documents with the completed documents and saving you a lot of time and downloading and uploading so it's really based on personal preference we allow for both options just because we know different agents like to operate in different ways so it's it's really you guys are driving it actually yeah and I'm really glad you pointed that out you can save yourself that step of not having to download and reload by just uploading straight from DocuSign from within disclosures at i/o so saves you a bunch of clicks there yeah definitely and you know if you are going from zip forms to DocuSign I do believe that zip forms has an agreement with DocuSign where they automatically allow you to or they automatically place the signature tags for you and if that happens what you can do is just use that feature and then import use that Plus stock plus document and then import that completed envelope and that also saves you more clicks from having to place the signature tag so keep that in mind we do have a whole video on how to get that done as well so reach out to us if you have any questions and I you know now is a pretty good time to let you all know if you're using this new version of design or the old version and you need a hand or we're not answering the question that you're looking for in this video you can go ahead and use this chat feature and with you and and hearing your feedback it's fantastic and before we move on to sharing I just want to ask what this DocuSign button is on the document list does that have a different functionality than then yeah so let me if I can remember my DocuSign password we'll be able to jump into this okay okay well I have my doggie sign here so this is a DocuSign workflow if I click on that here I'll be able to enter the name and email of my seller or you know maybe even myself and I can indicate who needs to sign and who needs to receive a copy the next thing for me to do is just select the documents that I need so I can select all documents or maybe if I just need the marketing information signed I can go ahead and do that I can craft the message and then this destination is going to be really important you can choose yes replace the original documents with a signed copy and then add oculus the copy of the envelope will also be available in your DocuSign account or if you don't want the documents replace the signed documents to be replaced and you want to manually do that on your own you can select no but this will need to be selected before you actually review the documents and hit this son to DocuSign and that will just allow the documents to return and then all of this information will be available for your review in your DocuSign account one thing to note is as soon as you hit this son to DocuSign button the documents are taken out of disclosures so we're not really able to see what's going on with them we'll be able to tell whether or not they've been completed but if there's something you know not working right or you want to know how many documents that you have you'll need to check your DocuSign account and manage the envelopes there that makes sense okay are we ready to take a look at the share property information I think so let's do all right so we have this wonderful shared property button it has moved location from the left side of your screen now over to the right side of your screen but if we click on this we're still going to be able to indicate the role keep in mind selling what the sheller is a pro feature so if you're a part of the brokerage you're paying for pro on your own you'll be able to access the seller option if you're not and you're using the basic version unfortunately you won't be able to access that team members get the same access to the property package as you so they'll be able to manipulate the documents and make changes as needed and they'll be able to see who has access to your property package sellers and buyers have read-only access sellers will also have the ability to view offers but they won't be able to make any changes and they won't be able to share the property package buyer agents will be able to share property packages and make offers while we're in this messaging feature I will like to would like to point out we also have the ability for you to create message templates sometimes our one of the feet some of the feedback that we got from agents is was that our message didn't necessarily sound like them or they wanted to create their own custom message so you can come in here and do that now and you can select a message template we just have our basic template here but if we wanted to make any changes we'll be able to select save template and enter the template name and that will be available to us we also have the get share link option that some of you are very familiar with this is a really good tool to use if you are working with an agent who does not have access to the SFA or MLS currently the SFA our MLS is the only MLS to integrate with them directly so if you're posting on the SFA our MLS and you have an agent from maybe South South in the peninsula or North in Marin or over in the East Bay they won't be able to click on that button so you can send over this get share link and all you need to do is click once and that link will be copied here we'll be able to indicate who gets access to the property package and then what I'm actually going to do is switch over to a different screen and I'm going to open an incognito window and essentially just paste this and this is what that shirt link will open up so here they'll be able to see your property image the property information interested buyer parties can quickly scroll through your photos they'll be able to quickly reference the property and if they're interested they'll be able to set and enter their information to request access to the documents so here I can indicate whether I'm an agent if I'm an agent I'll want it be prompt I will be prompted to enter my name email as well as my phone number and if I am a interested buyer party I'm gonna have to enter my name my email as well as indicate whether or not I'm working with an agent and then I'll be able to send a request and if someone selects no we'll add a little lead tag next to their name and I'll show you what that looks like in a second but that just allows you to indicate and see who you might want to reach out to and who could be a potential lead for you so that's how the share link works we also have the ability to indicate who gets access to the property so anyone with this link will allow an agent or a buyer party to enter their name and contact information and they'll get automatic access to your property package only a request I approve will require you to either approve or deny someone's request before they are able to access the documents within your property package okay so that's how the share link works it Jeff it does look like the few people are writing in so if you wanted to get any of those questions answered now would be a good time because what I'm going to do is take a look at a package that I created and the old version and show you all of the offers viewers and activity okay great and this was a quick one I was just going to answer in the chat but the reason we jumped to an incognito window there was just to demonstrate what the the share link looks like for someone who isn't logged in it was just getting theirs receiving the link to view the disclosures that's essentially what they would see yeah and so if another thing is if you're an agent and you want to test out that share link if you are logged in to disclosures that I owe and you put that in and you win or a new tab you're kind of going to end up going in circles because the saw with the your browser is going to automatically realize hey you're logged in on another tab so you're going to get stuck in this circle so if you did want to test out the share link we do recommend opening up either an incognito window or even opening up a different browser to test that link out just so you can kind of get that Fire's experience great tip okay so you know we've gone over creating the property package uploading documents editing things updating the cover sheet and sharing the property package the another thing that we've done is we've moved the navigation tabs over to the left-hand side of this screen so it allows you to kind of focus on editing and working on your documents here in the main screen because I haven't been shared that's this specific property package with anyone all of these are going to end up being a little blank and they won't look as robust as I would like it for you all to see so what I'm going to do is navigate back to my agent home page which is the page that has a list of all the documents that I have access to and I'm just going to jump into a listing that I created previously so we're going to take a look at 59.91 hardaway court and I created this property package using the old version of disclosures dot IO another important thing that I really want to reiterate is that if you created a package using the old version of disclosures audio the only thing that's going to change is your viewing experience all of the documents that you uploaded and the viewers that you shared with everything is going to remain the same it's just going to be presented to you in a little bit of a different order than you're used to so I've already shared this property package with a bunch of different buyer agents as well as buyers so I'm gonna go ahead and click on viewers viewers takes the place of that access tab and this just allows us to keep a running list of who has access to the property package if a buyer agent or actually if a buyer registered for access to the property package and they said that they were not working with an agent you'll see this lead tag here so you'll be able to follow up with them as needed I'm gonna scroll down a little bit and go to gates mcfadden because i know gates has actually clicked into this property package and reviewed things I can now click on this view activity button and here I'm going to be able to see a list of all the actions that gates took so this information activity is reflective of Gates's actions only and this was given feedback given to us by users using our mobile app who really liked this view and it allowed you to see really the details of a specific agent so that's one of the new features is the ability to see the activity of a specific agent you can continue to send messages through disclosures dot IO if you're using the pro features either paying on your own or via this effort brokerage you have the ability to edit remind or remove a user as well we also have replaced the activity button it used to live on the right hand side of the screen but we've added it here on the left hand side navigation and if I click on activity what I'm going to see is that property timeline of action so I'll be able to see the actions that everyone took here started out by date we also made the date and timestamp stick so you can quickly get access to that information and then we've also added some filters and the ability to sort by most recent or oldest so I can filter events by who shared the property package I can access requests if someone was requesting access to the property I'll be able to see when they did that I can choose to sort by document downloads or I don't have any a document downloads or if someone downloaded the entire property package I'll be able to see that here so we worked really hard on making this activity Timeline feature a little bit more robust and going over the the numbers at the very top so the shares are going to be the people that you shared the property package with directly either when they clicked on the MLS button to get access or if you manually entered their name and email and by using this share property button or if they registered for access via the share link that information will remain here for you and that's how we count the total number of shares the views is going to be based on how many users click in and uniquely view the property so essentially they're viewing session you can have you know maybe some agents who are clicking into the property package once every day that number will go up every time they click on the property package the same with the downloads and then also the offers are a little bit more self-explanatory these are sums of the actions that are taken the next thing is the messaging feature we have again kept this pretty true to what what it was however now when we select send a message we can choose to actually send messages out and we have templates we've included three templates here that you can use and also customized to fit your needs you have the ability to do and update on interests again this is just suggested information you can remove information as needed because we do know that some of these sections are sensitive but it's just based on what most have asked for we have the ability to do offers date and we also include a link to our help video here for your review so you can send that out to interested buyer parties and they can review that help video and then also the offers are do you do want to point out in the subject line you'll see this address information here we hold use this as a placeholder so you don't have to enter the property address the disclosures that IO software will automatically pull the address from the property package that you're working on so you'll want to leave that alone you can go ahead and add anything after the ellipses or excuse me the semicolon you'll just want to make sure not to edit the address or else you'll have to manually input that you can also select the recipients agents with access agents with offers all buyer leads or you can start to type in someone who might have access to the property package and add them that way all emails and invitations sent through disclosure Stadio does go out VCC style so you don't have to worry about other buyer parties or other agents knowing who else is getting the message and who else has access to the package on here the last thing at the very bottom is ability is the settings so if you are using the sfa our mls you'll still be able to come to the settings and set up a link to your property package you'll just want to remember to use the mls listing ID number for your property package and not your agent MLS ID so that will link successfully you can choose to receive offers here if you needed to archive the property because it has already closed escrow you can go ahead and do that done and then this danger zone is the ability to delete a property so if i click delete a property i'm going to have to move my mouse across the screen to indicate that i do want to delete so we do add a little bit of friction that way you're not accidentally hitting delete so that's there for you and then the last thing that I want to touch on is the offers offers here are going to look very similar to what we saw we have made things a little bit larger for agents to view but we'll still be able to see the agents information as well as a summary of terms and if we click on view offer we'll be able to see all of that information here and then as well as the ability to add listing team notes to private offers and buyer agents won't be able to see this it's reserved for the listing team so all of this information still remains persistent we are making some feature updates to offers as well as some of the other things in disclosures io so anytime we do make an update we will let you all know that way you can take a look at the new features I'm going to navigate back to my agent home page with a list of all the documents and really that's all I have for you guys looks like we had a few questions come in so Jeff if you want to start firing away I'm going to put in my I'll turn my camera back on yeah we just have the one question from Debbie she says when new Docs get added do they automatically get sent out to all people who received the links that's a great question W so if I added a document I'm just gonna click back into this page and just upload a random document let's see I'm gonna add this one right here so if I add this sample cover sheet and I once it's done uploading if it's done uploading okay we'll go ahead and be able to add that document right now we'll see the cover sheet is updating and so that document will be added to the table of contents however the interest in fire parties will not receive a notification until I select this notify viewers of updates and then I'll be able to hit notify viewers and then they'll get an email saying that either I updated updated a document or a document was added so you still need to go ahead and use the notified viewers and this notified viewers option is available to both basic users as well as users who are on the brokerage are paying for Pro love that notify viewers update that and the the summary of changes to PDF - you know rotations and other great additions you know when I was a TC it would have been so much easier if I had that notify viewers instead of having to bounce back and forth between an excel sheet and hope I got everyone's email on there correctly with the separated email separated by commas in the right spot so WS I know buyers can sign the disclosures here but how would you send in the offer through this seems like an extra step yeah so I'm just gonna navigate back to my agent homepage and click on one of my buyer team packages so here's what I'm just going to see as a buyer agent you can see that there's a few things that are missing like the ability to edit these documents when I hover over them are gone but I still have the ability to use this DocuSign feature and create an envelope so what happens is once your envelope is created and your by interested buyer client sign that will live in your doggie sign account but you also have the ability to come here and make an offer and when we click on this make an offer button here's where we're going to be able to enter the summary of terms so everything you enter here should be reflected on what's what's on your purchase contract and then also we have the ability to add a cover letter we don't have templates for this just yet because we do know that it's something that agents like to customize so as an example I'll just type in pickney and add more exclamation points and maybe make it bigger there we go and then here in this document section we'll be able to add documents so if we click on this we still see that same functionality of being able to upload documents from your computer but then also using the DocuSign option to import a completed document and when you share importer document here from DocuSign and hit the submit button and this sent over to the listing team that allows them to access the sign documents if you are not using disclosures dot io to submit your offer or if the listing agent isn't using disclosures audio to receive an offer you will need to send the documents to that agent outside of the disclosures audio software but this just really makes it easy for you as an agent to go ahead and keep everything online and in one place I do want to point out these other tabs the buyer agent tab and the brokerage tab if if you have your profile information filled out this will automatically update and be pulled over if you haven't done this or if you're working with a buyer who buyer agent who's never used disclosures auto before they can manually enter their information but keeping this here online just makes it really easy for you to reference as needed if you're working on an offer here and you're not quite ready to submit you can choose to save and when you hit save you'll see this note here that says this offer has not been yet or has not yet been submitted and if I go to the documents and I click back on my offer I'll be able to come in here and either download what I have DocuSign documents if needed I can choose to edit and if I click on edit I'm just taking back directly to this page if my buyers get cold feet or if I'm working on the wrong property or just playing around I can choose to discard this offer and all of this information goes away and it's wiped clean I also have the ability to submit an offer right away oh looks like I need to fill out my this information here so we do have the offer price again all this information should be reflective of what's in your purchase contract with the contingencies you have the ability to indicate the number of days needed before the contingency is removed or you can choose to waive the contingency here the days needed to close up escrow and any special terms like maybe you're doing a 1031 exchange you can indicate that here and I'll just quickly upload documents so we can kind of see what this scheduled feature looks like I'll go to my desktop and I have a couple documents here for my buyers and I can choose to just upload them and I'll just hit add documents and the same thing if you click add documents and pull over the signed documents from DocuSign they'll come in here and you can organize them if needed if you hover over the document they'll see a few editing tools that you'll be able to do so you'll be able to rename you can probably click in here and again rotate and split documents if needed you can delete pages if needed all of that's available here for you and if now that our offer is completed if we hit submit nope escrow and offer price looks like I didn't fill that in okay so let's try this again let's just offer a million dollars and 30 days and click out of here and if I hit submit that should do it I'll be prompted to confirm that I do want to submit so anything that's going to be what we consider a Jurassic action like deleting or submitting an offer or you see me deleting a package or submitting an offer we do want you to verify that you want to take that action that way if you are you know happy clicking or you've got quick fingers you have to move your mouse in order to actually take that action and then we also have the ability to schedule an offer to submit later so if I click on this I'll be able to choose a date and time in the future let's just say I'm going on vacation and offers are due on Friday at 5:00 p.m. I can select that and hit scheduled offer and then I'll be able to see this notification here that the offer is scheduled to be submitted and if I need to change that I can just continue to come in here and change the date if needed and as well as the time and that will all those changes will be reflected in here if you are wanting to send the documents over to the listing agent via disclosure studio you will need to submit an offer but this does really keep everything in one central location and it'll allow you to make changes and edits as needed and really keep all the interested parties up to date so it's beneficial for both sides we're past the hour at this point so I have already been
