in this video we're going to discuss some the great features you get with Doc you first doc you first is a web application that's used to automate the completion of your forms along with document data collection to start using doctor first you can sign up for free at WWF arse comm and complete the signup form once you've signed up you receive an email with your login information now let's go ahead and get started first I'm going to log in to the site now I'm going to go to settings here I can manage my users form templates web forms to collect customer data files to collect documents and much more to add a new template I'm going to go to form templates and click on this red button new form template I'm going to go ahead and upload a borrower authorization form as my first form I'm going to select this PDF file and say yes this form is required now I've uploaded this bar authorization form I'm going to open it up and begin to get it set up first I want to go ahead and map some data to fill it out you'll see here that we've already got some fields created once you create a new document you can also add new fields which I'll show you in a second let's go ahead and first map the first-name and lastname to this form I just want to drag this data field to the position that I wanted on the PDF form next I'm going to go ahead and map the street the city state and the zip let's bring it to where it needs to be let's go ahead and try to size it up the best that we can but the city where we want it you can always come back and move these things around once you save this form and address if you want to add a new field you click on this Add button and click feel I'm gonna go ahead and add my favorite color I'm gonna say this is a drop-down and we'll say there's three selections in the drop down red white and blue we can make this a multi select drop-down we can say it's required I'll click Save and now let's go move this data field to where we want it on the PDF now I'm going to go ahead and create a signature feel resave the order first let's go over here to objects click on add signature we're just going to say client sign we're gonna say that the user role is going to be for the client if we wanted to countersign it as the company we could do that too I'm gonna attach a signature date to the signature click Add and then drag my signature field where I want it on the PDF I'm gonna drag the date field where I want it on the PDF let's go ahead and save it and now we're done setting up this form template we'll close it if we want that form to automatically get created we can create what we call a package let's just call it an initial package and we'll have it get created whenever a new customers profile is created and will say that the bar authorization is going to be the only form in the package you can have multiple forms in this package if you want your customers to sign multiple forms at the same time click Save you can also if you have multiple signers of the forms you can specify the orders in which they're supposed to sign let's go ahead and put the clients signature first click save so now the clients going to have to sign this form first and there is no other signatures in it so that would be the only signature that's required you can manage your form data from what we call our web form and this is the form information that is already created except for this custom field that I created just a second ago if you want to change the orders you can open this up and change the orders of the fields you can also add new fields and new sections which is basically a grouping of fields a way to organize things there's other functionality in this webform that we'll cover in other videos later on also want to have my customer upload a file I want to collect a driver's license so let's go ahead and add this to my setup let me say yes this is required and I want them to upload it whenever a new profile is created let's go ahead and click Save so now we're almost finished let's go ahead and add a few prompts for my customer so that they'll be prompted there's already prompts already created here oh good let's see we'll get prompted whenever whenever they create a new profile to to fill out their Street city state zip and they'll be prompted to upload a driver's license and then for forms we'll get them to we'll give them a prompt whenever they create a new profile to sign that package so now we are ready to go you can either you can either go here and create a new contact I can just fill out that information and then send them an email for the signing of their form and they upload into their documents or you can send them a link to the client portal where they can go sign up themselves here's the signup form and every every company that signs up for Doc you we'll have their own client portal let's say new clients is going to be our first client that it is created they'll put in their email address and a password so that they can log in here anytime click create account and now the new client has created their profile and it's going to prompt them to do things within a workflow so now they're being prompted to fill out some information about their address so we'll say test street live in Baton Rouge Louisiana 700 808 next the system is going to prompt them to sign their form so we'll click OK this initial package was the one that we created you'll see that if if there's data that's not entered yet it'll prompt them to do that even if I try to go sign the system will first ask them to fill out any missing information so it'll validate that then it will allow them to go in and sign the form so we're just when your sign is myself click sign and it will make sure that the form is filled out correctly and then it will apply a digital signature to the PDF so once the form is signed you'll see the signature here you'll see all the data filled out if we want to download this PDF we can and an email will be sent to every party that's involved in this transaction with an audit log and also a copy of the signed form as a PDF so I'm going to open up this PDF just so you can see it this is the PDF that we just signed you can see the data is in here you can see my signature if I open this up you'll see that the signature is valid you can also see the signatures from here you can see this is really important that the the signature links back to Adobe's approved trust lists very important when you're signing PDFs and applying digital signatures let's go ahead and close this up the last piece in the workflows for the customer to upload a file so let's go ahead and upload my driver's license go to supporting documents driver's license now the customer is completely done one last thing they can do is upload a profile picture if they want to so let's go find a nice profile picture for my customer so now the customer is done they can get back here any time that they need to to view documents and you can also within your system you can go back and view all the stuff that they upload it to so here's the first customer that was added if I want to go ahead and change their status to working I can do that I could also put in a message here or say new message this will get sent to the customer and I can go in and review their forms I can go ahead and review their files let's go ahead and open this up let's take a look at it driver's license looks good gonna mark it as complete if we want to go look at borrower's authorization we can go do that too I can go ahead and mark it as complete if I wanted to add a note or a highlight or any other type of annotation I could do that too could go in and highlight certain things I could add text if I wanted to to make different notes on the form itself on the on the on the file it gives me the ability to collaborate with both the customer and the and other people other users it may be linked to this profile that I give access to it also we're tracking everything that's done within every one of these profiles so you have a great audit log whenever an annotation is added a form assigned documents are uploaded anything everything is tracked within this software if I wanted to go add some new files in here I could do that also let's go ahead and add a few more files so my customer can see that let's say that I want to upload and appraisal report may a credit report let's go ahead and select those click upload so now I've added a few files to their profile the customer goes back in they'll be able to also see those files in here they can see the status which is important they'll know when things are getting completed we have a lot of other functionality that we didn't cover
