to be complicated it's actually something that people overcomplicate i've seen a lot of freelancers a lot of business owners do a lot of things that actually can stop clients from wanting to work with them so without further ado I'm gonna take you through some of the do's and don'ts of creating proposals as well as some of the key pieces of information that you need to include to WoW potential clients the first key to any good proposal actually has nothing to do with the content itself it has to do with timelines I have actually seen many freelancers and I'm talking like agencies freelancers medium-sized businesses it can take them multiple days to get a proposal to a potential client and if you wait multiple days that client has already forgotten about you that client has moved on to somebody else and you have now lost that opportunity to gain more income get a client testimonial which if you haven't checked out my most recent video I will link that up in the cards for you it is how to get more client testimonials but if you don't get clients you don't get testimonials and if you wait multiple days to send a proposal multiple things have happened one that person has already probably talked to another freelancer another contractor too they've forgotten about you three they're no longer excited by anything that you said because as a business owner which you know as a business owner yourself you're ten steps ahead when you finish a task that is now like in the bank you're done with it you're moving on to the next thing so you need to capitalize on the excitement on the timeliness of the conversation you've just had with somebody basically what I'm saying is that you need to get this proposal in front of them as fast as you can which means my rule of thumb is no more than two hours when you get off with a phone call a video chat or when somebody asks you for a proposal you deliver that proposal within two hours that's pretty much the maximum amount of time that I would leave because you're still able to feed off of the information that you've given them it's still fresh in their mind they're still excited about everything that you said and therefore when they receive the proposal that excitement will still be there therefore the excitement will continue as they are looking at okay this is the actual package this is what its gonna cost me but the excitement is going to help them overcome that challenge of kenneth's and this money is this person right for me they're still gonna think of you as that awesome person that they've had a conversation with another thing with proposals that again has nothing to do with the content itself but it's so important is make sure your proposal kind of system is automated don't reinvent the wheel don't write a proposal for every single client create yourself a template this is so easy there are so many companies out there that create templates that are free I will link a couple of my favorites tone below that I've actually referred my students to when they go through my freelancing for freedom coaching program they're awesome you can just download them plug in your information and send it off on top of that there are free automation tools such as hellosign where you plug in your proposal and you send it off to be signed and it lets you know when the person has opened it when they signed it it stores it for you it sends them a copy literally all you have to do is plug in their information and email it that's literally all you have to do okay now we're getting into the content of proposals obviously there are standard item that really need to go in there such as your name and their name the company name please don't mess that stuff up like triple quadruple check that all of the spelling is right honestly when you're working with companies when you're working with businesses your services they're bringing you on because they're at a make-or-break point so if there is even the smallest error they're not gonna bring you on board all the names all the dates all the company names all of that crucial little bits of information that go right at the top that says oh this is for me from this person that needs to be like just perfect just quadruple check that it's all perfect please please please please the next really crucial piece of information that you need to include is what they're going to be getting what package have you guys talked about or have you customized the package to fit what they are looking for when do they have access to you how much time do they have access to you for what kind of services are included in this retainer because like I said in the past retainer is the goal and again if you have not seen my how to charge clients video I will link that here so that you can go and check that out because retainers are where it's at so make sure you are always trying to get people on retainer but that means you need to outline very specifically what these people get but and this is a really big but and something that I've seen freelancers make or stick into their proposals that is a really big mistake they will put what's not included which is like ah don't do that please don't do that that is such a big no-no for a couple of reasons one is that you are already setting the standard for I'm not gonna do this for you and two if companies don't want to see limitations they want to see possibilities and there's a very simple way to make that slight shift so by saying this isn't included you're putting a limitation on your partnership possibilities is if you would like these additional things at any point these are the different options that you can have and these are the additional charges that would be applied so instead of just saying I'm not doing this for you you show them the possibilities the options down the line and it just completely switches the tone of your proposal it just means that these are available I'm happy to do them for you at this little at this cost here like let you know so again you are being collaborative you are being a partner instead of just a freelancer who is there to do a job and then shut it off at the end of the day the next thing that you really want to include in your proposal is all of the payment details the first thing is when and how you will be paid so make sure you they know exactly at what date you need to be paid by what the forms of payments will be you can give them multiple options you can also list a preferred payment option make sure that you include that information so they can talk to their accounting team or if they're a solopreneur they can be prepared to pay you on time super-important everyone wants to be paid make sure you have that in there the next thing is you need to protect yourself so make sure that you include in there what happens if they don't pay on time typically you know I will give people like a net 15 option so they have a two-week payment period if it's a monthly retainer then technically they know every month when something is supposed to be paid so I'll give them a week something like that but make sure that they know what happens if they don't get paid or if you they don't pay you so for example if you know you have sent them a reminder and you know five business days has gone by and they haven't paid you then maybe work stops abruptly you say like after the invoice is five days overdue I stopped working if it goes past two weeks overdue it accumulates 2% interest every day until it's paid if it goes past 30 days then it accumulates this amount of interest so just make sure that you include in there what happens if you're not paid on time and the different milestones that can occur if they let it get past a certain point the next thing that you want to do is also include like standard clauses like the fact that you're not an employee you don't have access to benefits like you don't own any of this stuff they actually own all of this stuff and all of that that you're not responsible for any of the expenses that you accumulate while working for them or anything like that and again if you want to know with different clauses that you should include I will be linking some resources for you in the description to go and reference and you can just copy and paste all of it it's like standard clauses so it's all standards so just make sure you pick the stuff that's applicable to you and include those in your proposals the next area that is so so important is cancellation policies so if you are working on a project or you're working on a retainer you need to include how they can cancel and what happens if they cancel so for me I require 30 days notice to cancel a retainer contract simply because there are so many long term projects that I may have done a bunch of stuff in advance and therefore I need enough time to be able to finish those up or they need to be able to compensate me for the stuff that I've done in advance so having that 30 day window to make sure that you're making a proper transition is very beneficial but make sure that you are outlining okay if you want to cancel I need 15 days 30 days written notice you are required to give me my last pay within you know five business days of our last day working together so make sure that you are outlining the entire cancellation policy so they know what the steps are to cancel if they do if they want to and just so you're protected they're protected and everybody's on the same page and you're still gonna be compensated enough even though the partnership is gonna be you know dissolved and then send it off hopefully through something like hellosign because you're totally gonna automate this right leave a
