actually a bit ironic for some of the users because when you think of government in in minutes it sounds odd normally don't think your government forms in basically my thing of like or are many took months me but we we must do it and let me first dive into what was the problem they were trying to solve in this blue screen paper forms today in government we are still using a lot of paper forms not sure if any of you have filled in a paper form from government in the past year maybe some of you might have okay so that should be on format G if it's not already so we've asked agencies how many paper forms are there what is the size of the problem that we're looking at we got all kinds of answers but we decided to search my answer on our own so we went to Google our friend and we try to estimate the number of paper forms on government websites so just a search for form within government sites and of falltech PDF because PDF files that are in PDF forms and actually digital forms the just paper forms converted to PDF and we saw 60,000 pretty large number some of you guys might argue that this numbers obviously inflated because you know be 60,000 how many of these are actually forms maybe the query form is not that accurate but it's a rough order of magnitude tens of thousands even if you divide this by tens to thousands of paper forms on government sites it's still a big problem and if you were to imagine if all of these would be digitized without formally there'll be a nightmare because imagine if this form that is an iris form without a self-service phone booth at all the agency work to contact an external developer to digitize it your cost engineer digitize forms it's pretty expensive and really slow which is why we build a phone builder tool it no altered it has all of these forms it's thousands of forms and that's formation all right so how this format you actually work it works in a slightly different way compared to Google for me the tools all day four steps so the first step you're in government we have both internet intranet internet is what everyone in the world uses intranet I own secure intranet internal Internet all right so but performance you can build your own internet forum dog after - gee we took - effort to make this mobile optimized because in government most agencies do not have an Internet enabled laptop our government is the internet most users can only access the internet reading the posea internet because the Internet is quite expensive so if host our internet we better make a mobile optimized because they'll be putting the phone on their phone so we did - the first step you build a common Internet the second step you share the phone with a link and the citizen can fill in this form we were integrated with government authentication some of you might have filled in same path before my info compartment for all these things we actually integrate with them which means that it's easy to an able set karma authentication with a click of a button on your phone and that pass the interesting part so we don't store form responses that's how it different from all the other formula tools out there so for every response you get an email which means the our server that will store any data at all so completely lightweight it's it's basically just like a color and for what kind of model you know you can you can build a beautiful form using our house our tool but we won't cause the data for you with this you know the responses to you but of course you get this nightmare when if you have a survey of like 30,000 people you get like 30,000 emails right no one must received a number of emails which is why we have step four we develop the solution tool a hack for you guys to aggregate the emails back into an Excel I'll talk more about this later so we've been around for mean like a bit of above a year but I stopped today we've had a bit of pitched the ninety communities in Singapore eighty four of them are aware that is one of his a sign up men and some active having created forms if thousands of submissions by OCR penetrations about 20% everything off the really active users not quite there yet but the speed is picking up this right so you seen this nice-looking graph finally in terms of user signups this users are government officers signing up right you can see in the last month on there are almost 900 officers they sign up in one month so given the speed up growth actually in another year we hitting hundred percent penetration the whole government but of course too at the end you expect our slowdown in the take are because of the loggers but because it's not just signing up we're actually using for mushy to build forms to get a response if you didn't see usage graph as well in green it's begun one month as well you can see at the beginning you know we struggle to find this put our market kind of fit I mean just okay sounds alone you can tell its market fit that there's a problem worth solving but if you will download and put a sign up and do not used it it might not be the right product to solve it so either stuff you're kind of struggling from that you can see usage it does increase but it's it's kind of flatlining but in the past few months we seem to have a bit of traction that's finally happening in his usage and there are about a few thousand over homes of various types that are being used across government some of these are facing you can even find these forms on agency websites such as you know application you're the one in brown Emily you know this whole level music cost application that's on four machine and even for research pools as well that is LT a transfer master plan people all these are done to formation alright so and at the end of all our beginning and that's where we are let's rewind back and talk a bit about the journey and some of the I guess product issues a product thinking that went into designing this all right so this is where we are but actually did really didn't start out that way so but more like this so with accident sound waveform do that who they start off with me manually doing his t ml forms for our users and then the citizen of jr. are gleeful I'm not an UX designer I try to be knowledgeable about UX design but obviously not an aesthetic person the responses still go to your outlook there was there from the beginning but we also had to spend ten hours setting up this macro the earliest version was some macro written in VBA to aggregate responses from email into Excel what's even worse is that it was basically this put of code they have to pass around two agency offices and you know everything but many of them are not the most tech-savvy so I've to explain to them what is cool and this is VBA and you gotta change this line of code to put in your email and all those setup you've spent a long time sitting with them too set it up right but the whole point is at the beginning with something so ridiculous we still have users some people that we're going to sit down with us to solve their pain point because without this what they were doing is every single week they have a stack of paper forms in front of them and the poor do have to manually digitize them into an Excel spreadsheet so they were willing to sit down the world to do to pour the solution of us in the beginning and spend that time because that will save them hours every single week from their workload so at the beginning we had our first two use cases from the municipal services of this they were very obscure things they were not for fancy mo mm ooh-ee applications large-volume know it would think that i know many of you guys might not think of pigeon inspections right retracting pigeon inspections the poor officer was doing it to paper right that's horrible so we'd said digitize them for house visits the previous process or the officer to take down notes on paper go back and manually fill it for pigeons officer were email inspection observation history who are manually coded into Excel a lot of men work being done here and why can't you use Google Forms actually first thing I told him was he'll just Google some font so this one I mean like it's a lot of work to build a whole form who on your own right and they reply at that time there was three months ago was pacified sensor all right so I can't just google forms of this and the proposal was really hey why don't you build a Google Forms for us and you can host it on some secure government data centers and and how much does it cost we'll pay you right didn't what it appears but being mindful civil servants I guess I what I've called we we thought that it could be a better solution than just you know implementing the whole thing grown-up post you know expensive government there are sent this way so what I've really learned you know at the beginning sorry in rare the bottom right it's ready to it's not it's not always a good idea to listen to your users for this you have to talk to users where obviously we talk to our users understand their pain points and their problems but so that's me ask a user for let's say you know they're riding a horse I can ask them hey what so you're probably you're not traveling fast enough what is your proposal and they'll say yeah I think we need a faster horse you know maybe feed the horse better food whatever right but they would have thought of like a car you know so it's it's it's sometimes up to someone external to the problem to bring some a better solution to that problem and it is why I learned so far so the version 0 was the email method that we came up with and the main reasons to avoid hosting on extensive government service we are hosting AWS that small low-cost and and it's it's all the good stuff becomes normal you know including it's pretty good reliability availability and etc and so for that the very first version was religious each response sent one email to you right so then but that doesn't really solve the whole problem because the problem is still about manually filling it in right so how do we go from emails to the Excel right that was the second challenge that we had to face which seemed like version 0.5 which we thought about that vbscript agrees emails from Outlook in Twitter so that works but of course we BB it's a whole nightmare i I wasn't well-versed in VBA so I I mean I'd pick it up as well and I get this way I learned that sometimes it's okay to you know even pick up the holes if you find it useful to cut out a quick solution it might not be the best solution in the beginning of course deploying a DBA scrip was a nightmare by this it helps solve that one users problem so maybe we can start from there and clean up later that's what a user wonder I subscribe the user for two hours going back and forth on how to install the script just off interesting problems here so the script I distribute the script to an email right it's not like it's not I could I could package incense inside an executable or something again push it down centrally the the government system work their way so I to email the script over today and it is also happy that they actually saw the response there's a dummy response battery in the Excel space there's an actual email as you can see the type of squad VB session from hell and the users if this is my triangle this is pure joy from solving I use it even though it's very inefficient for where the beginning of this VBA scripting so from there they use actually this works what are you want to change fuse on the fly just call me you know no problem I getting those extra views for you HTML form on just not VBA right but I read it over see stupid because more and more requests started coming in yeah one of this change I want this field at an extra s you know what's missing oh I want the extra few how about a new form okay I had enough of it I decided to add them to the world to build a home builder tool so we bought two people right there was a Vietnam so I couldn't find a picture from my colleague so we borrowed this guy so it's a the basic back in engineer pattern engineer to stop building our form builder tool and what do we do we looked at open source tools out there of course you wouldn't want to be in bendable probably not triple to be own form to that hole so we found a few we found a jQuery builder it's one of those so jQuery some of you guys know maybe so we didn't like this because we want designers by Fellowes ugly as you can see from a cheese looks better right and there was also no user login implemented which is probably what the in the early days because obviously you know you will create your poems you want to maintain them yourselves you need somehow login to to prove that those forms belong to you so you don't end up messing other people's forms so my colleagues wanted me to use something else called line survey actually some of it was a popular bottom but this is another alternative we didn't use it as well it's retained PHP and no heat for PHP I think face part of Facebook for we still use it by personally work with Victoria like it it's also also kind of ugly there was a free version that was open-source but then there was also like this skate version I think I wasn't a big fan of that because I would imagine that if I were company offering the premium version of something and have a free version oh if put a business head you probably say ok maybe I'll put like some some traps in the free version such that you will use the free version to a certain point and reality your your desires are not satisfied and ok so I didn't want to fall into such a trap so didn't want this but the bottom in the main issue that we have with that they were actually millions of lines of code in this repository there was a lot to navigate through and it was very hard to find the piece of code they wanted to change in order to send emails over with all this home builder tools they offer beta right so I I don't remember what I mean speech but I do remember the what was the actual packin database language that you see probably somehow sequel I'm not sure but basic interchange the power of the cool to instead of storing data in you know using sequel knows you go whatever want to change that so that responses to be email over and their power the coup was so hard to find we just couldn't find you where the change probably change maybe 20% of the code in order to add in the functionality and that was mental mental code 20% hundred thousands of lines of code the code no way so we didn't stick this finally we found something it's called telephones if you guys are where this another popular formula took all tech forms I call it the beautiful google forms but telephones is the open source version of type forms right so we found that and loved it because it looks beautiful yeah user accounts done first it was in JavaScript right so no PHP yes mean stack expressed angular not just angular one fine but still it is angular and not vanilla JavaScript example or there may be some people out there do they and then the most beautiful thing is a point number four because it is basic to us a minute to find when the code where to change to email responses over which means going take this code and we just modify that part and we're good to go so that was why we chose telephone and at that same time I knew that two engineers that we borrow they don't we only bought them for them at the time is this very hackish set up I will borrowed it for another tea for two weeks just to set this up and after we set this up we can move on and do something else right it wasn't really like a real project at the beginning so I knew that time was limited but this project a lot more potential right so we needed some permanent help which is why I've got a good friend here Asha we see the seated over there as well to join the team so at that point in time after just joined and I scanned him to join formation because what I learned is that at the very beginning when you have no users yes yet the litmus test is to convince capable people to join you because I mean it kind of been someone to follow along with your vision it's probably even harder to get users and their bosses to their vision so thankfully we have him and now that we have a team we can do all the team stuff right all the cool stuff you do at the beginning like think of a name I just start with thought of like for MA it was basically like the Spanish relational forms I think this one google translate but then I want to divide for my SG but realizing was taken I was so sad but I removed a and well if they found that she wasn't taken so obviously call it formed on SG can believe Omar was taken man on phone so yeah we renamed because they created a logo for me it was the earliest local it's not done by a professional designer I was done by one of us if you realize it's actually like like a form but tilted 45 degrees I don't know if you all realize their formation yeah we chose what I call developer colors because all of us are developer the shade of blue in the shade of green it's not the Airbnb kind of colors sorry in where where the beginning team did not really have designers in it so we set up pivotal you know it's it's one of the task management tools there are many Trello Sun on etc etc which is people to it was very comfortable way to coordinate time and this there's a lot of processes at the beginning we deliberately kept it lightweight because we're a small team is just a github repo we know used to send a code review before P I so much as a master simple as that some daily stand-ups at the beginning has wanted to go fast when it gets we still wanted to keep the team in sync so we had daily setups stack channel as well for communications and also weekly sync up with our boss there was all right so at the beginning it was it was all about the product it's all about solving the users problem in the beginning it wasn't about spending and two months thinking of a team name was the best team name was the best domain we can all those things in the beginning it wasn't there it was just about solving problems Italy and I learned it at the start we probably shouldn't spend too much time even developing full-blown a Java or scrub event if again especially with a small team because we don't talk about processor for me to 15 months we really carefully think about how much time is standing on processes and how much and its venue on the actual work if we end up spending more time on process than actual then this is drop those processes for a small team we found this what everything on this this is sufficient in terms of the all the positive way to do so we didn't really do a lot of those things that you might do it in and scram you know maybe like almost retrospective sprint planning story pointing all those things for you will go that deep into all these things okay so we are excited we got a team we solve the users problem we're gonna get our forms deployed wanting to be actually used by was hand because although the worker in order at the bottom in pink they thought you liked it obviously there so all these layers you know in red purple all day that had to approve it first before you can finally see life how do we solve this without food in we said okay you know this external agency agencies whatever understandably you know it takes them time to get the the series of approvals especially for a prototype project so we did it internal maybe who work for our team first you know maybe you can bring some productivity gains out to you so you know we had a colleague who was basically thinking of a checklist checklist kind of form before open sourcing and we another one on our colleague on the way he was thinking of using forms for judging a data challenge event so we asked them for help and great things came out of them right on the Left we discovered some bugs you know we also realize a very critical feature that we messed up the ability to allow new lines on your form comedy before got about there and on the other hand for the judging event our then see you at the time Jacqueline was the judge just happen a she also judge and the past year she went to the same event she physically perform this time is a digital form she was elated about it and she asked where does this form come from and we told her this was created by one of your departments and she was really excited which is why she became our first I guess senior leader ambassador to actually help for more formally the other senior leaders that's how we got a bit more traction a bit of the effective learner some users from the senior leadership level and then we made a video because we think that you know from SG if I have to go down I present all this nearly this it it wouldn't be as impactful as if I just made a big share them to carefully explain how format is but for Machine the early days is quite complicated right so a video works so I just got together learn some iMovie and all that I haven't made a video in my life before this so I update the video it's a bit ancient it was done like 14 months ago and it's four minutes let's see if I can play Oh video this set music of the style because the current process in the music switches [Music] the officers you do manual data entry for the responses [Music] this is the early UI this was sent to senior leaders by the way this is the VBA script so they go into the code and change a few things and then press the tiny run method over there and then you get the responses in Excel all right so there was the early version of Amish it was the video the marketing video that we mean wasn't the most professional but it did create a lot of buyer so seasoned leaders understood what the product was about to this video and that is the result we got a ten times number of signups for a September 4 of the 153 we're excited seeing this I mean today seeing this it looks silly by the time you for it over this and we started getting invited to present various agencies and now we had a possible problem we have a bit of attention but we have all kinds of each other requests where people wanting to be all kinds of home fuels and how do we tackle that well pretty simple we just look at two two dimensions really intensity of parliament we can see of appearance across agencies just like that so the ones in radar that's a pretty these problems so those are blockers for those agencies so without those features they will not deploy something on forestry so you can imagine like poison C's ABCD right and just by eyeballing it will probably work on something like f1 because it's like great and all the agencies whoa ABC wants it we're going to f2 maybe because you know it's a blocker for agency C and really want them to use for machine and f3 maybe you know f3 it's it's maybe not no huge blocker but it's a common enough problem they occur so we might want to tackle that but the point is that we have to walk away for some data ABCD because what the law engineering resource to code out for you know features F 9 to 12 just for agency T they are blockers you ought to convince them to use it why not focus a bit more on ABC especially at the beginning which is the main thing that I learned at this stage was that we had to learn to effectively walk away from difficult customers at the beginning I mean often tell you thing about all of us satisfying the customer but especially when you're mean and surly not every customer might be a perfect customer to begin with there were a lot of big issues chief among them is this VBA script right the agency that sit down if those agency offices for two hours to ten hours to figure out what's going on so I rewrote it from the outlook macro twin XL macaroni the improvement there is Steven Beebe okay but now this UI right now it's a script with a run button is busy an app right in Excel so what users can feel it knows it they don't have to treat code anymore they just fill in different fields here such as where that phone title and all those thing and they press run script and that will transform the emails into an Excel spreadsheet with those email responses collated right so this saves me a lot of time because I don't spend at two to ten hours much time telling them how to set it up but I still have to accompany this with around a 10 pitch Microsoft Word document explaining to them how to install this with a still more straightforward to install you could generate like a self signing sir they're all those things and all these kinds of issues right I have to explain what script means use the thing clear check out what script is is it a document file is it called what is it and agencies have to ask the IT department to whitelist our script for running it's because of security issues as a macro after all and skip ahead to the email around so it's challenging past essentially push updates okay imagine this camera if you like the feedback to try together how people feel about our forms and we even got some feature suggestions from there and we found some interesting things actually share a bit about some of the things that idea but we realized that this makes users damage your home when you for one minute for the break horrible so the simple fix to this to prevent users from diving into a form without having the prerequisite material and and enough time to fill in the phone it's really mandating this men dating agency officers to put this on their phone estimated time company five minutes could be 30 minutes but this along with also section on instructions you know prerequisite to in your form may users set aside that amount of time so that they can fill it in in one sitting that's a much better solution is not that straightforward login to everywhere you might think they're quite non-trivial tip but not necessary you know with logins a lot of things think about this like forget password the change don't really want to sell a product that doesn't work you probably you probably spent a lot of time banging on doors and people sign up but people probably not use your forms because it's a product that doesn't solve their problem so at the beginning we spent a lot of time doing those features prioritizing features making sure it was before even getting a designer on the team to think about a okay what could a future and then when the time is right which is I think a few months ago when we wanted we knew that we roughly had you know a good product they can solve you know pull off from and we're also thinking of a way to move away from emails right so one of the possible ways is end-to-end encryption we can store data but the server never sees the private key the private key could be email to the person that's that creates the phone and of course one is not storing data opens up a whole wall of opportunities where it's more convenient the script was bad that equation tool was a bit better but it's still nice if you see the responses there on the same side and when we start sparring these encrypted responses provided the private key from the user you can link up to you know data analytics and visualization of results and also to integrate directly with back-end agency workflow systems in all those case management systems client CRM SCMS whatever you call it those they country the open source community but also for agencies to perhaps get their own developers and order to code nice features if they want to that's how we could augment our engineering team because you know there could be a certain disease such as let's say any a for example you know they might need like a Joe tensing kind of feel or something area so it's a very nice mean nice feature that only caters to them so as a platform servicing so many different agencies at this point I think over 65 different agencies we might not let you on the focus on that feature so but they were one that feature it might be a block often and what they can do is stick with you know of course open source if you hire may be a developer to code that's the same feature and send a pull request back and then
