Add guest zip code

anybody welcome back to my channel this week I'm going to be doing in a quick tutorial on how to organize your guest list on Excel this is super helpful because again it's just going to help you keep organized Excel also will help you keep track of all of your counts any changes that you do in your guest list everything like that what's really helpful with this as well is that you can actually upload your Excel spreadsheet on to Google Drive it's helpful because if you put this on Google Drive you could actually have access to your spreadsheet not just on your home computer but on your cell phone and if you have an iPad or if you're you know at somebody else's house you need to look something up you can look you can open it anywhere pretty much if it's on Google Drive so let's go ahead and get started so the first thing I'm gonna do is this is actually my desktop so you guys can see one of my favorite wedding photos but you're gonna go ahead and get started by opening Excel now I have a MacBook but you know this should be pretty similar this is the Excel or Microsoft Office for Mac users but for the most part it should be pretty similar I use Excel pretty much all the time at work so go ahead and select an Excel workbook and choose and it's just gonna give you a blank Excel spreadsheet just like this now first thing we are gonna do is go ahead and label our columns so I'm gonna do name and then I'm gonna have a place for a guest if you are having plus ones and address city state and zip code now what I'm going to do is just make this a little bit bigger and I'm gonna change the font so if you want to change the font for the entire workbook you can click this little arrow right here which will select everything and then go ahead and select the font you like I like century gothic because the font is nice and wide and it's just I don't it's just easier to read in my eyes that I'm gonna go ahead and select all of my column titles and I'm gonna make this a little bit bigger now notice how some of these since I made the font bigger it seems like they don't fit on my cell so if you just double-click the side of it see how there's a little cross but then if you hover over this there's two little arrows on each side so double click and it'll size the cell to whatever the content inside of it is so once you have that just go ahead and start filling in your guests now I sorted this by last name comma first name and the guests name I mean I guess it just doesn't matter so for an example let's say that I was doing myself I'm gonna go ahead and do nar oops can't even spell my own last name Craig and then I'm gonna do a lien on our for the guest the address I'm not gonna do my real address but let's just say it was five five five South Bend Avenue in Torrance California nine oh five oh three so that's your first one again go ahead and double click your columns and it'll change it to so that it fits and there you go so go ahead and do this with all of your guests and I'll come back when I have more than one entry so that you can see what it looks like and what you can do with this okay so this is what your guest lists should kind of look like just for visualization purposes if I had somebody who didn't have a guest I just highlighted everything that was blank and in order to do this you just hold down your control key and it's the command key for Mac users that way you don't select everything that's on the second column and I'm just gonna go ahead and just gray this out so that I know that okay that person does not have a guest and another thing I'm going to do is go ahead and add lines so that this is easier to kind of look at so select everything that has kind of writing on it and you're gonna go to your borders and I'm just gonna click the one that says all borders so you have something like this now when you are trying to see how many guests you have this is what Excel is super helpful so what you are going to do is you're gonna add something in that's called a formula if you are familiar with Excel then you know what I'm talking about you're gonna go down to the very bottom and I'm gonna enter an account right here for this column so I'm gonna do you're gonna sell select the cell and you're gonna do equals you're going to type in count a and then open parenthesis go ahead and select everything in the column not including the title and then close your parentheses and click enter so notice how it gives me a number seventy six that means that there are 76 entries in everything that I selected now you can do the same thing to the next column over which will then will give you the total your guests plus their Plus Ones in this case I'm going to show you how to copy a formula onto the next cell which is going to just be super easy and save you some time so right now see how there's a plus there's like a little hand but if you notice that there's a little square right in the bottom right hand corner of that cell and if I hover over it it turns into a block plus sign if you click and drag this over to the next row it's gonna drag that same formula now notice how technically this should also be 76 right because you're counting everything that's on this row excuse me this column but what's cool about this formula is that it's not going to count any a cell that does not have any writing in it so it gives you an accurate count you may get a warning sign or it's saying that your your formulas are referring to empty cells but just go ahead and ignore the error now what you're gonna do is to get the final sum of your guests you can I'm gonna add a line right here that says total guests and you're gonna add up these two cells so in order to do this in Excel you're gonna do equals sum and then again open parenthesis and select the two things that you want to sum up close your parenthesis and click enter so your total guests are a hundred and thirteen now what's cool about the formulas anytime you change anything on here it's gonna automatically change your numbers for you like if I decided that this person is actually not gonna have a plus one if I delete this and click enter notice how my numbers change at the bottom so this is nice because you don't have to do this formula over and over again as you make a changes you can just make changes to this and it's gonna automatically keep your count up to date now let's say oh crap I forgot to add somebody to my guest list let's say that I'm going to add somebody so right click and do insert it's going to add new thing for me so let's just say it was my mom even though I know I didn't forget her and then click enter that's automatically gonna add that to my count like I said again and if I decided that yes I want to have a plus-one but I don't have a name for them yet just to make a note so that you can add that to your account go ahead and enter in yes or anything that will queue you and again that's gonna keep your account up to date so this is why this is so helpful but that's pretty much what I did to keep your guest list and your guest count up to date at all times you can kind of make this pretty like if you want it to I think I have like purple headings in mind so you can do like a purple background but you can also add to this like if you for example wanted to add a notes section another trick on Excel if I want this cell to look just like this one select the one that you want to copy and there's this little paintbrush you can select the paintbrush and see how its kind you can notice that it selected cuz it's kind of it has this like moving little outline once you select the one that you want to copy it'll copy over the format you can go ahead and make this bigger and go ahead and Center this let's go ahead and Center all of our columns you can select everything and these are your Center buttons right here and then you know for example if you wanted to add notes I don't know any notes that you need so you can have that section in there as well now another thing that I did which is very helpful this number right here is going to give you the total guests that you invited but let's see that you already sent your invitations and you start getting your RSVP cards back I'm gonna go ahead and change this to RSVP and what I did was for this particular party for example this is us but let's say that both of them said yes that they could come I just put it on number two you know if this person could come I would do a number one let's say if you invited a couple but only one of them could come just enter in the yeses so and turn all your yeses if somebody can't come I would just do a zero and so on and so on then you're going to add these numbers not count the number of cells that have content in them but you're actually gonna add up the number of yeses which is going to be the sum formula so again where you want the total to show you're gonna do equals sum open parenthesis and select what you want to add up closed parenthesis and enter now this is gonna give you a number of how many people said yes meaning how many people are actually gonna come to your wedding so this is gonna be helpful and you are really really crunching down the numbers and you really need your final counts to submit to your vendors that's gonna be really easy instead of having to go through every single RSVP card and count them you know and this is a number that you're gonna refer back to a lot so it's just helpful so you don't have to start you know handwrite stuff or recount the RSVP cards whatever it is and again since this is a formula let's just say that those are all zeros but for some reason something changes and these people actually can come to the wedding so go ahead and just enter in a two and again that automatically changes your number at the bottom so super easy and then what I did for my totals I made them bigger because it's something that I'm looking at so go ahead and select this you can make the font bigger and maybe bold and what I'm gonna do also is I'm gonna make the bottom the top and thick a bottom border actually thick bottom border just on that one so it gives me that nice kind of lying at the bottom and I'm gonna go ahead and center those and that's it what you can do is do total yes our SB piece and you can just set this cell to equal this number so all you're gonna do is equal and then select the cell and just click enter it all it's going to do its copy it but every time you change something here that's gonna change your number it's also gonna change this cell which is just easy to see just in one glance in this corner how many people are actually coming so that is it really for the guest list I'm think of it I may do another tutorial on how to do your budget on Excel which is again saved my life I could have access to this at any time and I could also show you guys how to upload all of these sheets until you build drive and it's just gonna make all of your planning easy your guest list and your budget or something that you're constantly looking at so hopefully you found this helpful and leave any comments down below if you'd like and I will see you guys next week thank you guys very much for watching [Music]
