okay this this video is to teach you how to take a management agreement through zip forms and get it signed electronically through DocuSign so the first thing you're going to do is you're going to create a new transaction in zip forms go to transaction page and click on new name the transaction typically the name is going to be the address along with management agreement you then apply the template a template you want to select is the property management agreement click Save notice that it's selecting these four forms so the management agreement is made up of the I ABS management agreement itself the galette based and addendum the HOA addendum and the w9 the lead-based paint addendum is only needed for properties that were built before 1978 the HOA addendum is only needed if there's an HOA so the next thing we need to do is if you want to remove one of these you can make this big and you can go ahead and remove one of these one of these forms and that's how you remove a form so the first thing we're to do now is now I have all the forms this house in theory it is built before 1978 so when I go to each form and fill out when you filled out so on here we're going to put the this is the owner's name so this is the owner that we're going to 72 we're going to use today use today's date when you click on back it automatically saves it the next thing you do is fill out the residential leasing a property management agreement now this came from a template so notice there's a lot of stuff that is prefilled out but there are certain things that you need to fill out in this case you need to fill out mr. owner now the address the city state zip the mobile number the social and the date of birth are all going to be set up through donkey signs temples so there is no need to fill those out you do however need if it's if it's not an individual and it is a company you'll need to let us know what kind of company it is if it is an individual you keep this blank the property is the property that we're going to manage not the owner where the owner lives this case the owner that's where he lives that's what correspondence will go to in this case that is the position of the property you will you will need to get some of this information through the through the property through the property tax record if you don't know how to do that that is pretty simple enough you would actually go to HK org for the Harris County properties and you put in the address of the property from there we will use my house just as a test and from there you will be able to find the lot block and the subdivision this is the information that you need to fill out the zip form so in this case we're going to do here's the address legally described as so we do what may be Scott as lot one block two and we're just going to make some stuff up here Westheimer place one okay if you have non real property you'd put them in here you might have a fridge might have a stove dishwasher cetera okay the term is going to be the management agreement turner the expiration date is typically a year okay now the rest of the form is prefilled out more needs to be filled out by the owner the stuff that needs to be filled out by the owner will be filled out through DocuSign for example this is the emergency contact right here is inability to connect owner we're going to set this up in Gandhi sign that the owner will have to fill that out so at this point I'm going to click on back and it's going to save it I'm going to go through the lead-based paint in this case just to look notice that it's prefilled out if it is the standard keep it at the standard notice that the mr. owner and the broker is already prefilled out so there's nothing that's needed here and there's nothing needed on the w9 so the next thing I'm going to do is I'm going to click on e sign I'm going to select all the documents and I'm gonna click Next this is preparing the the zip form transaction to migrate to Dodge sign it is important that we do not select anything here and just click done notice we're not selecting anything here and click and done then we're going to click Next this will now try to open up DocuSign my computer has a pop-up blocker so I'm just going to click continue notice and open up a new window this will open up DocuSign and it's going to try to apply templates now notice it has a template for the property manager agreement the w9 and the lead-based paint it does not have a template for the I ABS and that is because the I abs can be signed by either the owner the seller the broker the tenant the resident the landlord so there is no there is no template for that black we will actually have to tag it each time we do a transaction in this case all templates match it 100% if you see a template that does not match at at least 95 percent do not use that template you must inform somebody at Empire so that they can verify that the document in zip form is equal to the document in DocuSign a lot of times zip form once a year they update the majority of their floor and if those forms are updated we will have to recreate a matching template in DocuSign so 95% is a good is a good rule of thumb in this case everything matches 100% and we're going to click apply it now brings the forms all together now you're in DocuSign and you're ready to start tagging some ions so the first thing we're going to do is we're going to look up here on the top left and you're going to see the tag we have broker 1 seller 1 and seller 2 okay if for whatever reason is only one seller we will remove seller 2 first thing we're going to do though is click on cell a1 and we're going to drag the signature to the I abs form this is important the I ABS legally we need to have it signed now that we did that the phone's should be set up correctly through our zip form to dock sign transfer we are going to click on the go back button this is important because we need to fill out the order sequence along with the email and name of the people that are receiving the forms ok so this is not the order sequence of the documents is the order sequence of who is getting the routing so to speak now notice here this is the broker he's always first selling one is going to be second seller 2 is going to be third and then we always want to give Steve a copy and he's going to be 4th so now that we have our order in order we're going to then put in the broker email the broker is going to be Pete and that's going to be P in this case seller 1 we're going to make it Fran I'm using the same email just so that we can test it with my email but typically this is going to be the sellers email address and the sellers name in this case we do not have a seller 2 so we can go ahead and remove the sella 2 by clicking on the X to the right he's going to remove all the tags and the recipient if you like to make things easy you can change this for two or three but it doesn't matter the next thing we have to do is we have to put our email message okay so it would be nice it would be good to use a common a common subject called property management agreement and the address of the property this email here we can change if you want to change it you have you need to modify the message each time and the reason why is we're using multiple we're using multiple templates in DocuSign so those templates may change the message so if you wanted to have a note to a specific person you can do that down here as well and add a note say a friend please sign this document call steve at 4 if you have any questions the next thing you want to do is have the reminders through monitor should always be sent send the reminder in two days and remind every day for 7 days we're going to annoy the the seller until he cell tells us to void the contract or that he's going to sign it the next thing we're going to do is click on next you'll see on this document here this is a broker let's go to the seller 1 notice that this is highlighted for seller 1 notice also that souther 1 these are yellow boxes ok this means that at this point you can modify those boxes if you need it to now notice one when with a broker those boxes are not yellow ok also we want to point out there are certain there are certain boxes that are yellow in the mandatory but there are boxes that are not as highlighted and this means that they are not mandatory that they're optional to fill out in this case under the address of the emergency contact it's optional which means that the owner can fill it out if they want or not as you scroll down the other thing you wanna look at is making sure that everything is in line and filled out and it looks like that this is the case on these forms just a quick tip if you wanted to scroll through forms rather quickly you can go to the right just like I'm doing here and just go scroll and click on the forms now notice again that the seller 1 is going to fill all this out there are notes here for the seller 1 to read and under the broker everything gets grayed out at this point you are ready to send out this document and all you do at this point is click on send you
