hello and welcome to the third installment of our invoicing videos the first one we did was how to create an order confirmation the second one was a button that was a year before which was created and the third one is going to be create invoice if you're a good supplier you would do all three again order confirmations and shift notices are not required but they are preferred just because of the additional information that you're able to send your customer to cut down on communication in between ordering and invoicing and also if you are a services supplier you would just do create or confirmation and then ship no terms order confirmation and create invoice the last thing I want to mention because I did repeat this and the other videos is you always want to make sure that the purchase order that you're invoicing is the correct has the correct information listed on it right so has a correct quantity the correct subtotal and the correct description part numbers whatever that whatever might apply to you you want to make sure that everything that's correctly stated before you begin and if you need to have a change made go ahead and request it by contacting the Santa Clara County email address listed on your purchase order before you begin we're gonna go ahead we're gonna go ahead and click create invoice standard invoice once you do this it opens up and you can see that it's referencing our purchase order and if I scroll down to the very bottom it has taken everything from the PIO and flipped it to the invoice form for us so we don't have to key anything in so we're gonna go ahead and start we're entering the required information so you would enter in your invoice number and I'm gonna show you if there's any back date any back dating rules right here so just so you know if you tried to backdate an invoice for more than one day you will receive an error and it won't let you submit your invoice so that is the maximum so I'm just going to pick today's date but I did want to show you guys that particular section scrolling down we have tax taxes preferred at the line level so if there's any tax you're going to click line level tax if you don't have any tax because you're a service system player go ahead and click remove and it'll remove the line altogether I'm just gonna click line-level tax to push this down we're also gonna do line level shipping so if you have that that's the same selection you'll make here one one a helpful hint that I want to give on this section here you do not need to fill any information out so don't feel the need to fill out any of this supplemental information it's not necessary and it's not required by the customer as well...
