airSlate SignNow has been a awesome software for electric signatures. This has been a useful tool and has been great and definitely helps time management for important documents. all right we've got a hot topic for you guys today we are gonna talk about what to do when an employee's social security number fails to verify and so just recently the Social Security Administration started sending out notices to employers and third parties for anyone who's had a an issue before filing a w-2 with someone whose social security number didn't verify so what you're gonna want to do if someone's information isn't matching is number one go ahead and go back to their new hire information and just make sure that you haven't keyed something incorrectly you also want to look if they have a hyphenated name or more than three names and maybe try to enter that data differently as far as what's the last name versus middle initial if you're not successful with that the second step would be to ask the employee to look at their social security card and give them the information that you have in your system and ask if anything needs to be changed obviously if they say that there's an area you want to go ahead and make that update if you still aren't able to make any change to get it to verify you want to ask the employee to go ahead and go down to the Social Security Administration office have them take their car and have them take the information that you have on file and hopefully they come back with some type of change if they don't if you can't get the employee to provide a valid social security number or if all of a sudden you're unable to contact the employee you're gonna want to go ahead and document your efforts and keep them on file for at least three years that way if anything comes of it you can say hey I asked the employee to verify the information when I asked them to go to the Social Security Administration office and you as the employer don't have any liability there's nothing more you could have done if you are able to get corrected information you may want to go back and file them if you cease for any previous here's w-2s that you filed with an incorrect name or social I just remember guys if if an employee's social security number fails to verify that doesn't mean that you should take adverse action against them meaning you don't want to say hey your social security number isn't matching you're suspended until we get this figured out or hey if you can't provide me the right information we're gonna have to let you go um if you do something like that if you do take adverse action you could be violating federal or state laws so I really encourage you to develop a company policy and all of the information I'm giving you is directly from the Social Security Administration's website as far as what to do when a social security number fails to verify so you know feel free to implement that in your handbook and you want to make sure that you consistently apply this policy across the board no matter who the employee is so hopefully that's helpful a lot of times people ask him their information isn't right do I need to let them go and the answer is no so you want to you want to take some steps try to get the information corrected if you can't document your efforts and let it be um if you guys have any questions or comments feel free to leave them below and also if you wouldn't mind go ahead and like us on Facebook serious payroll and you can also subscribe subscribe to our Channel and hopefully I'll get that straight bye next time have a good day guys
