Add Speaker Agreement Template – BaseCRM Version signed electronically

the broadcast is now starting all attendees are in listen-only mode good afternoon everyone and thank you for joining us for today's webinar save time increase productivity using Conger and a dose sign check before we begin advise you run through a few housekeeping items and I'd like to remind you all the jaw in listen-only mode this afternoon if you have any questions please enter them into the Q&A function in the chat window and we'll answer ends or webinar any questions we do not get to will be answered offline after this call so again thank you all for joining first and foremost we'd like to introduce and your speakers for this afternoon's course amongst my name is Rob Elliot so I'm the corporate sales team leader akong get here and they're delighted that our partner Adobe and Rebecca Harris the partner account executive is also joining us this afternoon as well as weeks of wills one senior solution architects Adobe so what we're going to cover in the next 30 or 35 minutes we're going to do intros we're going to talk a little bit of food Conger our business who Adobe hours business how we work together the last seven or eight years myself and Rupert from Adobe also run some demos of the respective technology and how they complement each other and delighted that we also have slightly leads from job types and a customer speaker and who's going to talk about a joint experiences using Adobe and content injection over the last couple of years so first and foremost who are conga as an organization and this has changed a little bit over the last 10 years so it's his question without and one year ago congo a document generation provider so Congress has been around for over 10 years now and start experience on circles AppExchange the Salesforce trapping and ifc partner our mission the business is to provide mission-critical applications to transform business in the realm of data documents contracts and reporting within Salesforce so over the past six months congra actually acquired a cuddler businesses one of which is action grids which is a brilliant solution buzzell force which turns self or just using to excel and also combina thetas thetas is a contract management system that haven't worked for a long period of time with Adobe so we are no longer just document generation but we are facing management we're used to create presentations for kohls quotes contract I'm going to autumn leave the purpose of this session work with the team at Adobe to get this executed as if net so we're going to focus today nuttall makanga action with technologies or a commoner fastest technologies that the Condor composer for the line our flagship product that has over eight thousand customers globally and what is it that Congress I don't compose about we use cell thoughts and we use the data from any object in jail for a standard object but not the 2d an account for custom objects and we enable you to either use the native microsoft of its wings and of course adobe PDS to create smart professional dynamic documents really important when we talk about what Congress and what Congress compose are as a business we are not just document creation with dynamic document creation I'll show more that we corrected mo betta to that so what I mean by that is if the country is the UK creates their abuser UK Tampa conditions if a certain field is ticked within cell force for that information to the combat into the contract or the quote or proposal very much sophisticated document generation not just a basic knowledge but most importantly we have a range of flexible delivery options so you could choose to generating agreements and simply say this is airport or print it out but what we find is document generation works best when we actually interface with our partners a Stoli and make it a full electronic process from start of docking generation to execution and when Rebecca and we get to or greater they'll talk about how the agreement can be played back into cell walls and not just the agreement itself actually data types into the agreements as hardback yutian really important as well and you can generate agreements by clicking the button but you can also automate these so you can put them on a schedule scanned documents in batch maybe it could be invoices two o'clock this afternoon or it could also be triggered by a workflow for instance if cells reference sales page to negotiation and review automatically launch the Congo transaction and send that out by Adobe signature so as I mentioned earlier and six or seven months ago the Congo acceleration sweet was documents and reports but we have added safer with regards to our actually with technology and also contracts and coming in the very near future is the matching redlining technology so lots of synergy between the condo business and the agenda found business so at this point I would like to hand over to Rebecca Harris Toby to talk a little bit about Adobe and the adobe document files thanks Phil hi everyone Rebecca Harris on the partner account exec so I'm responsible for our relationship and our integration with conga and helpful over here in a mirror I'm going to take you to a quick run through of what we do and why we do it and our partnership with Congress so as a brief introduction adobe's known for many things but really we exist to help change the world through digital experiences start delivering the right experience to the right person at the right time adobe's experiences digital documents and the 20 years so when we combine that experience with powerful tools such as conga and platforms such as sales force is when we're able to deliver a fully end-to-end automated business process which ultimately provides an exceptional customer experience some of the benefits that are no seals are we going to go into this a bit later on digitizing the document process that our customers see if things like increased revenue you know it's easier for your customers to do business with you so they can also do business with you anywhere at any time on any web-enabled device it also brings with it security Adobe delivers legally binding digital documents which enhance compliances chances operational efficiencies throughout the business and that's not just sales and I we're talking a lot of that sales today but it's also legal procurement even HR it was a big increased productivity as well I play left i'm being spent chasing contracts you know given that time back to whether it's sales opportunity did be doing you know what they should be doing and not just the admin pass so no more loading them into the system tracking documents etc but when we talk about digital transformation and creating these powerful experiences it's not just about simply replacing paper-based workflows with digital alternatives it's about transforming the document workflow if you think about eighty percent of all document processes still rely on paper and have a lot of time on average you know a third of every work so it's spent on manual admin tasks like i said before searching documents may be re-entering data in performs that weren't captured originally and other sort of low value activity by uploading attachments nut and the document workflow is really where the Condor and the adobe partnership comes into its own when leveraging the two technologies combined our solution works to remove any efficiencies of information silos any disconnected processes that you might have within the business thinking about integrating different information types such as structured and unstructured content which media you know both print and digital sources combined I no fillin Republican account this a bit in their demo so I'm not going to ruin their party just just yet and so Dean congre been partners for over seven years we've got close to 200 joint clusters customers globally who process millions of digital and processes sorry digital digital process is a year and Heidi can be talking a bit later on job site are a joint customer about also group on a rejoinder tumor about did Groupon probably put through and gets 1.3 million processes and a document through our systems a year and at the moment if you think about the green aspects alone they say maybe 400 k a year from going paperless and Phil I think if I'm talking about joint customers it's probably a good time for me to hand back those years and start talking about a couple of other customers that we've got ya perfect thank you for that vote of you Rebecca so again Rebecca says ponder and Adobe's upon go the last seven years apologies there may be some slight audio issues and so as we're better fed conga and adobe are partners with each other for the last seven years apologies or there may be some slight audio issues all these we just having a few audio issues so please bear with us for a few seconds you you you okay so apologies i think those audio issues so now so as I thank Conger and adobe partners with each other for the last seven years and congregate in Salesforce ecosystem like Adobe's for longer here is now and we're all about maximizing your investment within the cell for ten on-chip so as Rebecca said we have over 200 customers blog lip some of those will be familiar names the you in the UK organizations like drama queen shredded and Jesse long-term customers browser as Rebecca said delighted you Heidi and job site on the collector as well so this point we just want to talk about why you punk with Adobe why we work together internships so from the Congo respective I totally do have an element document generation after sales force the people tend to use a comp resolution when they need to generate a lot of sales for theta in their document maybe they require multiple custom versions or they need to schedule batch process and also dynamic document generations I've touched on our early a logic-based not just simple mail merge you could also be organization using multiple templates different locations of business directly from the Jumby perspective it's all about time sailing to actually execute the agreement get that signature go back 10 50 years the board only electronic signature it was fax it was post it could be weeks before self person perceives contact signature but we've a little later of importance of bidirectional days slow condom using Salesforce to generation agreements but then is only actually using that execution engine to provide data backing yourself force as well so it could be a purchase order number it could be a change of address for example so at this point and it's a great chance to go and transition into a brief demo as a congee and Toby offerings so hopefully on my screen in front of you you can see myself or demo screen right now so at this point if there is such a thing as standard self box opportunity you will see opportunity name account name stage amount etc you will also see these Adobe link great contrast Adobe sign for context Adobe's on 1-click then you have products contact Wells etcetera now from a condom perspective you can initiate a document generation process through button or a link and you can create as many different buttons or links as possible so in this instance unless you're going to click on one without adobe again with and in group that's going to talk about how Congress and Joe be working users and actually focus on the execution base but the first thing I'd like to show through these demos the dynamic nature of the tonga solution so your feet are the tick box here contracts include priority shipping this is just an example of dynamic document generation capabilities the combi has you can actually have rules or parameters within your template itself or within the actual button that drives information of the site on the actual template so if I click on create an email contract you're now launching the Congress system so again we are all about creating smart professional dynamic looking documents now there's a range of different options here you can what we will show later is this running background mode one click and the adobe inside is automatically kicking off but you could also choose to simply email out maybe in the first stage of a contract that you're selling for a few you may want to download it and say it's a self horse maybe you want to say the copy to notes and attachments or maybe your big chatter utilization you want to save its chatter or you want to login activity and a follow-up call you can do that but you can also customize this and run it in the background but what I'm also going to do here is I'm going to click preview to show you an example type of professional looking sophisticated dynamic documents that come to create so at this point that I just bring this up in GDS you'll see company logo is pulled through we can include which text images color phones we can group product in this example is a contract but you'll remember i click on include priority shipping or didn't you click on include party shipping and that can be included or not you too dude it accordingly you can also do things such as saying it within your template logic if country of the account is you came into the UK the conditions or a person applause to the UK it could be in countries Germany include the German terms and conditions or Anna German floors or additional tax and may be relevant in that market for example so really important to stress with dynamic document generation and where we work closely with Adobe tends to be in the quotes and contractor and that's where ladies and your second talk later today hunger is also used for a range of other use cases so that could be invoices that don't require a signature that could be advanced sales force reporting and it could also be things like QBR and account lands so I'm just going to click on one more example before I hand over to Rupert and show you the account brief example so you'll see here and we're using some google maps into salesforce we have information on the actual accounts here about through the contacts are the opportunity the cases in project family cetera and if i simply texas create account break we generated agreements here which is absolutely nothing to do with a signature but the great thing about the congos Adobe taut ship is if you purchase Conger and Adobe you can use in unison for signature but you can also use some of the common functionality to generate different types of documents you may require for your organization how to salesforce so lots of people come to a sarah congo and say we want to generate a quote or contract and then typically a few months down the line they're adding multiple different you skaters so here's an example of an account free for an account plan go including contacts recent cases for the accounts forget etc so again just to conclude the combi piece honda is all about dynamic document generation and leveraging that day to in self or to create the dynamic documents literally created inlet/outlet clips as opposed to people using salesforce copying pasting later and taking 10 20 30 minutes to create a document so at this point I would like to hand over to bloopers from Adobe who is going to actually talk about how condor and adobe was in unison to execute these agreements if I much Phil you just passed across to me I've shared my screens everybody should be seeing that now Phil can you hear me ok absolutely it's good ok so what we're going to look at now is how conger an Adobe sign can work together to capture a legally binding electronic signature on a document but driving through sales force so I think Phil's raised a few points I'm going to actually show you this in a in a relatively interactive way however all of these processes can be run silently and dynamically based on sort of a batch process on a schedule or the workflow in the background so what we're really going to do here it just gives you a flavor of what's possible by integrating conger salesforce and Adobe's cloud signing solution into your activities within Salesforce so what you can see on the screen at the moment is my Salesforce instance I'm actually just going to go into an opportunity and I'm going to drive this from an opportunity however the phils already mentioned you know we work with all of the standard objects are provided by a sales force but we also work with any custom objects that you may want to use as well before I execute this example I just want to sort of highlight a couple of points for you so what we're going to do is we're going to use Congress generate the document but I'm also going to be using a little bit the data that comes out of this opportunity to populate the email I'm going to send to the person for signing you'll see down below here we're actually going to incorporate copies of our signed contracts into our Salesforce opportunity automatically and I'm actually going to pick up the primary contact with in my cells also opportunities to drive this so that's the person I'm actually going to get to actually sign the document now as I mentioned there's a number of ways we can execute I'm literally just going to click on this conga document button so this is going to effectively initiate this sending process what's going to happen in the background is we're going to generate the documents we're not going to interact in quite the way phil has done because it's going to give you a flavor of what's possible but after we've signed it I want to bring you back afterwards to the p.o number and the stage because we're going to not only take data using conger to merge into the document but we're also going to have the ability to drive data back into Salesforce as well so just show easy this is I'm going to click on Congo document the Congo composers basically going to go away do all of the rendering that it does normally and as phil has already shown us to create our document but at the end of this one rather than presenting it to us it's actually going to pass it to Adobe sign in to one of our agreement object which will render on the screen now which will effectively start the process for me so what you can see here is I have an agreement in draft you'll see down here I've got a word document which is the one that's been generated by conga now we can accept this as word or as Excel or as a PDF we don't mind what document is and there can be multiple documents you'll see here it's picked up my primary contacts this is who this is going to go to signing and i'm just going to authenticate them based on email but i could add in things like password or phone or sent vacation if I wanted to I'm also just having a single signer but we can have multiple participants in this process and they could be signers or approvers or they could be delegated so I'm going to keep this really simple that's with a bit tight for time you'll see I've populated a message which is going to appear in the email body when I send it through I've got a completion deadlines the person's limited as to how long they can take to sign this and all I'm going to do at this point is click send and this is going to initiate a transaction on the adobe sign platform so that document that was generated by conga is now being uploaded to Adobe sign the details of the signer and the details that are going to be contained in the email have automatically been uploaded as well and this is going to generate an email which is Anna pop into my inbox momentarily but in Salesforce we update dynamically so you'll see this is now out for signature showing down below that we've initiated the process there's been sent the signature if i go to my email I'm just going to force it to synchronize there we go you'll see that I've just received an email you'll see we've got the conga an Adobe logo across the dot so you can sort of customize this to your heart's content you'll see we've got the message that's come through from Salesforce from our opportunity and I'm just going to click on the document to sign it so simple as this now I'm doing this all on my laptop and you'd probably guess that I'm using a Mac I could be on a phone so I could be on an iPhone or an Android phone or I could be on a tablet doing this anything that has a modern web browser allows me to actually interact with these documents and sign them you'll see the datas be merged in by tonga from the opportunity you'll see down here I could put a purchase order number is I'm just going to put in Tonga and i'm going to use today which is the 10 of the 11 and you'll see that back in salesforce in the moment i'm going to click to sign and because we're assigning it's all about intent design so I could literally just type my name if I wasn't a tablet it would be more natural for me to scribble it or i can upload an image of my signature but these are all legally binding ways of capturing the electronic signature i'm going to apply and it clicked assign so from the customers perspective they've now signed a legally binding contract in the background we are synchronizing with salesforce in real time so if i go back to my agreement object which is on the screen and refresh F you'll see that it's now signed you'll see that we have copies of the signed contract attached to it we've tracked all of that through the process I as the signer would have received an email separately with a copy of what I've signed I just step into the opportunity as well you'll see that the stage is now closed in one you'll see that that p 0 numbers been merged back into my Salesforce record and I have a copy of the agreement actually attached to the record I used an opportunity that it could be any object that we're using to drive this and that is a very brief demonstration of how ponder an Adobe sign can actually work together inside sales force at this point I'm going to pass back over to fells and use very much for that reverse so at this point again one to apologize with you audio issues earlier in the court this afternoon but I would like to introduce you all to highly Lynch one of the businesses and families that job sites based on cabinets but and Heidi good afternoon how I could afternoon sale thank you again for joining so couple of questions for you I know Rebecca is going to join us shortly as well to answer a few of the questions so its first and foremost if you give us a little overview of the job site is a business and your role would be the organization that goes to interacting with sell for Adobe in Congress yeah sure so am job site we're an award-winning multi-sector job board we've been around since 1995 so we've got over 20 years experience in the online recruitment industry our key sectors at the moment ite engineering and finance as a company we serve about 120,000 jobs and to about 7 million candidates a month so a lot of a sort of candidates and jobs on the site we have an umbrella with two other niche boards and the job site as well we have City jobs an email careers as well there there are other sites that we run parallel in our in our system myself personally i've been at job right now for over 16 years so for quite a while with the business and when i started initially i was actually working sort of on the sales side so had a background of how the sales guys works and how they generate their contracts and how they they sort of worked initially and then I actually moved after about six years from sales into the IT industry and I moved over to that department and worked as a business analyst and yes oh I sort of trained up became either diploma qualified in the company and then moved on we had an implementation project in 2013 with Salesforce and as part of that team I I was one of the analysts on board and then as we had the six-month project the go-live I became certified as a self-willed administrator moving on from there took on the role of the south wall systems manager and currently work with the sales team and the stakeholders involved the partners by yourself that we work with and aligning our current and our future roadmap shows that's where where we are state perfect that's right and I guess a good place to start oh I'll start that and it's could you explain what documents that you're using and you're getting signed with the adobe Congo integration at the moment I did yeah yeah sure so at the moment we primarily use congra new time for our contracts so these are our client contracts that we generate out for recruitment services and we have two different types of contracts that we generate to our client what we call is a block and monthly contract so we generate two different conga templates to those we have two different merge fields and set up for those templates in the system once the Khans templates are generated by ourselves forth we then use the ECM process to then capture the electronic signature and pull that back into the system as well so that was our primary function for using congra nissan initially three years ago which was the reason to date for them in addition to that in the last year we've actually also boarded our HR department they now use it for our employee onboarding process and they also use it for any internal staff documents of any validating or approval or sign off on so as if I'm actually now a user or v-sign as well as as a partner so fantastic you're a super user cause yes do you have a view than on how long it was taking contracts to get signed before and after adobe and yeah well when i started like i said have been in 16 years when i started initially years ago on sales process went right back from literally writing on a bit of paper your contract what services you wanted handing it over to a different department you'd uploaded so then what grew from the manual intervention process where we literally send an agreement out and have it signed and faxed back through to pre sales force we did have an in-house built CRM system which one of our developers created and we had a very basic design process of our own again that one of our developers created we never actually really tracks that the process from start to finish them on on how long it actually took to generate a contract but it was quite a lengthy process because when we had sort of a four-step process of generating the contracts and then it went out but we have no visibility of once it actually gone out where it gone so since using Adobe and congruent in Salesforce instance we get a lot of visibility from the report angle so we know in a contracts gone out and been signed and come back how long that's taken us as an average our contractors taking about 26 minutes went from a natural legal system to when they come back signed we know that about eighty eight percent of our agreements as an average are actually being signed and completed and sent back so there's loads of information were able to sort of capture now which we couldn't before now that's fantastic 26 minutes yes yeah 24 this month's is an average sweet we have a great report that comes over to us and actually senators or finance directors and our sales directors and it's great because it's of show them how many contact event what and sent back how many minutes it's taking sign but he has an average and we've been going the last three years it's about 26 minutes for a contract to be literally from the minute it leaves the system to it comes back and we with flags up in sales or that it's any sign so pretty quick turnaround group and I know Heidi you mentioned 26 minutes to execute the agreement I guess using kroger you'll generate any agreements and a couple of clicks of a button yes the process a moment like I said for pre sales force I know it's the processes that we've implemented praetor thoughts are in belt CRM system we actually have two processes that was we had a CRM that would generate the document and then we pass that across to another system which would then our or finance team and our customer support team and our managers would pick up and we'd have a whole approval process in another system so when we implement itself or to actually combine that whole system and that gave us visibility across all of those departments as well so everyone can see where the contracts at what status it's at who's approved it and so really depending on the contract type and if it requires approval via our credit team or not if it requires a management approval for example if it's gone above a certain discount the process itself can be extremely quick to execute document we can literally add in the products and services if it meets all our existing approval recommendations then we can actually just click create document and then from there we can bring up as you saw earlier in the demo the Congo composer screen we we were able to bypass that screen if we wanted to and we set it up but we actually wanted to ourselves guys to be able to validate what documents say yes that's definitely correct services and correct discount we're offering and then they continued and literally click a button same contract in that clinically self or system so what was the impression internally from the sales guys or externally from your customers about know what these documents look like and how easy the process was to generate and so internally the sales guys think it's really really quick and easy and it is literally a few clicks of the button and like I said with the visibility across all departments that's that's really really good externally the customers and the feedback that we've had has been really really positive they literally it will open up the document via the clicking private email by just clicking on the link and it will take them straight into the document and then the thing they actually love is the ability to be able to literally click in the certain field and it takes them through the process but they're not scrolling down the page trying to find where they actually need to sign it it prompts them and it takes them through the process and as part of our legal team we have a couple of extra field which we've been asked to capture that was just a sort of in health process where we want to to be able to like you push the pitch thought another number back in South force we do that too we also capture their name and our sins business job title down so we'll capture some extra field but they will merged back into cell fourth once they sign the agreement and yes from a external perspective as well it's so quick and easy time so just sort of click the buttons and then as soon as they've actually eat on the contract ourselves guys will receive an email notification and flagging up saying that that clients designed it for the process for us if we've got no sort of barriers approval wise or or once the contract comes back we can actually have a contract send out back and open live to the customer within about half an hour excellence yeah what is good and for myself a Motec me for asking this program I do what's next for these over conga integration within job site no we were talking earlier about the HR UK is only act yes so um we I mean we actually am on the customer advisory board meeting for Adobe so that's really handy every sort of six months or so I go and speak with other customers that using it and that's a really good way of us also looking at what else we can do in the system that was how we actually imported our HR team as well because we realized there was other opportunities in the business we were missing and we have regular sort of contact with our account manager as well and quite when he comes in i'll drag some sales users and things in as well so that they can see back to him on on any feedback we've had some customers as with anything there's always improvements the guys using at one so one of the big key things that we're looking for at the moment is the ability for the cosine piece to integrate with the prepayment so that's something we're speaking currently with a baby about so that when we actually send a contract out signature we can actually purchase and pull in the payment section as well and the other thing that we've not got on the agenda for next is the as a training piece with Congress so we're we're looking to get some training across the team so that we can generate more and more documents at Salesforce using Congo any design perfect and Phi D times as you so much from Rebecca and How can I scan my signature and use it to sign documents on my computer?

airSlate SignNow enables users to upload a scanned version of their handwritten signature to eSign documents just like they would any other electronic signature. To do this, open up a PDF file in the airSlate SignNow editor and select the My Signature element. After that, you can choose how you want to generate your signature, e.g., uploading a scanned signature. Once you’ve uploaded your scanned signature, drag and drop the element wherever you need it on the document, and adjust its size. Create an account and get started today!

What type of field allows me to eSign my PDF with my finger?

airSlate SignNow allows users to sign documents in three different ways: typing, drawing, or uploading an image of their signature. To choose one of them, you need to upload a PDF and open it in the editor. After that, click on the My Signature field and select the drawing option. A pop-up window where you need to sign documents with your finger will appear; click Ok and adjust the field until you like it. Once you’re happy with it, apply the changes by clicking Save and Close.

What is the difference between an electronic signature and a digital signature?

The most important thing to note is that both electronic signatures and digital signatures are legally-binding. For inserting an electronic signature, a signer only needs to add a symbol and indicate their intent to sign. While to digitally sign, a signer needs a digital key that confirms their identity. Therefore, it’s more challenging to close deals using a digital signature because you have to be sure that your recipient has the proper type of key (and they aren’t as simple to generate as eSignatures are).
