good morning everyone this is Dorothy from bloomerang and I am really happy that you are with us this morning and it's a happy Friday so we've made it through another week again this class is going to be a beginners level session on adding and editing constituent information now this will be a great class for you if you are someone who is either new to bloomerang maybe you're a brand new customer and this is your first you know you're really delving into learning how to use boomerang or you know you might be somebody that is just new to bloomerang ever I should say new to your organization and this is the first time that you have had an opportunity to really see what bloomerang is all about and what it is doing for the organization that you're working with so this is a great class like I said to see excuse me how to go in and start entering the kamistan information for constituents this is really like I say I think one of the really most important starting points for entering bloomerang because obviously you want to see the type of information that you can track so that down the road you'll be able to access that information easily when you're doing reports and all of that and not only am I just going to show you how to do something but I'm also going to explain to you in some cases why we have you do that and why things are set up the way they are so that will help you a little bit I know that always helps me sometimes if I know why I'm doing something as opposed to just somebody telling me to push this button here so that's my goal today so I think we are going to go ahead and get started once you log into bloomerang this is always what you see this is the dashboard obviously and there's lots of good things on here but since we're going to be talking about constituents today we're going to go here to the constituent icon so I'm going to go here and click on constituents now the next thing that you see here is it comes up and this little slide-out menu appears you're going to see this a lot in bloomerang how this menu can lower this way what you're going to see here is that we have an odd option here where you can type in a search now what you're seeing here it says recent accounts none now what this does a lot of times is I know that I'm in my duties at bloomerang not only do I teach but I also am a project manager in our conversion Department so I get to work with a lot of people that are just starting out with bloomerang and something in some cases just logging in for the very first time and a lot of times this confuses them because they see where it says recent accounts none and they'll say oh my gosh okay there's no there are no accounts in my database well what this simply means is there are no accounts that you recently looked at doesn't mean that there aren't any records in your database it just simply means that you've not looked up anybody else today so that's why the recent accounts will show none when you first come in here now I want to talk a little bit about how to search for accounts in bloomerang and how our search engine works and why you will see the results that you see so I'm going to type in I have a person here that I want to look up his name is Jerry Duncan so we're going to go ahead and type in Jerry and I'm going to go ahead and select his name here now what you've done here is we're on the search you can see again it gives you the results of what we're looking at and you can see that not only does Jerry Dunkin appear but you can see the bloomerang is also finding other folks with the name of Jerry you can see here we are also finding other people with the last name of Duncan as you can see as well and this is the way that bloomerang will look for what it considers the best match and we'll show that first or we'll show the best matches at the top of this list so you can see as I typed in Jerry Duncan Jerry Duncan's account shows up first because again this is the very the exact match to what I've typed in here now also what you can see here just something else to point out is a lot of people will also say when they're searching they'll say now wait a minute I think we've got a duplicate here we've got Jerry Duncan and then here we have Jerry and Rebecca Duncan so it looks like that's his wife but why is he showing up twice and you can see Rebecca is also down here by herself this is a example of a household account in bloomerang and now we're going to talk about households a little bit later in the session but just so you know when you see this situation if you see that there is a Jerry and Rebecca Duncan and then you're going to see that there is a Jerry and also a Rebecca that will let you know that these are the individuals in that household and then this is sort of that umbrella account for the couple and like I said we're going to talk about that a little bit more so you'll understand how that works but right now if you do see that situation don't panic that's how it's supposed to look for people that are married okay now what we're going to do here is we're going to go ahead in and I do want to mention as well that there are also times that bloomerang will look for people that have like for example I'm going to come up here and I'm going to type in Windsor if I could just type here there we go and you can see that it also found him because Windsor is in his address as well if you find sometimes that you'll come up and you'll see like you typed in somebody's name but an organization name pops up that simply means that they are probably the contact person on that organization so it looks at name for exact match and it will also come over here and look at address information and if it is a primary contact for an organization that organization will show up for you alright so now what we're going to do is we're going to go in and take a look at Jerry so we're going to go ahead and select Jerry here and what you're seeing here again it does show you that in this account that this is the household that he is a member of the Jerry and Rebecca Duncan household but we are in Jerry's individual account at this point now what you're looking at here is the summary page for an existing account in bloomerang this is sort of like what I like to think of as the dashboard for the account you know when you log into bloomerang you see the nice dashboard there for the organization but when you click on the summary page this shows the summary information for this particular constituent sort of like the dashboard does now what you're going to see here is we have a giving summary tile that actually shows here the amount that they have given and when there's a little graph here if you point to where these little circles are you can see the actual amount of the donation there's the year that it's in you can also switch this up like if you've got somebody that's got a lot of just soft credits and including donations you can click on soft credits and they will display here or you can also click on what's called the raised amount right now we're looking at revenue let me tell you the difference between these two because you'll run into this when you get into your reporting later on revenue actually in bloomerang is money that actually has come in is come in by way of a donation a recurring donation or it is a pledge payment meaning that it is something that has actually brought in money to your organization if you switch this to raised a lot of times it will be the same you can see the same information is showing here what raised and revenue show raised shows if someone then again this would only affect the folks out there that have pledges that you're dealing with with pledges a raised amount totals up all donations any you know donations that have come in and any pledges and this would be the total pledge amount so let's say that I've given $500 when in donations but I also have a $500 pledge my raised amount would be 500 I'm sorry it would be 1,000 but let's say that I've got a $500 donation but I made on that thousand-dollar pledge a couple of $200 payments that would mean that my revenue amount would be 700 because I've got the $500 donation and my two $100 pledge payments that's actual money that has come in so just think of revenue is actual money that's come in raise doesn't include pledge payments that's really the big difference there on those two all right so you can also see on this giving summary tab that we have the information here on some other gifts as well such as what he has given us over the lifetime of his association with our organization it shows the average amount of gifts that you give it also shows first transaction latest transaction and the latest transaction amount so you can see here that its latest largest first lifetime and average so you can see that that's right there on that giving summary tab now you can also see over here that we have what's called the engagement level now right now the engagement level for Jerry is setting at cold and these have different levels there's like cold there's more cool warm hot and then you on fire goes all the way up to that so this will change as your relationship with your completion actually grows and they have more interaction with your organization or they become more regular donors they will and more often I guess I should say this engagement level will change and everything that you enter that will affect the engagement level is entered on the timeline now we're not going to go into the timeline today but I do want to let you know that I believe it's week after next we do have a couple of classes that will follow sort of this one very well if you're taking this one you might want to think about taking the one the week after next as well because it does go into how you enter all the information onto the timeline I'll be teaching that one as well so you know welcome to join me if you would like to come week after next we're going to do it on either Wednesday or Friday like we did this week so love to have of you if you would like to come in and see part two of entering data into bloomerang now what you're going to see here also is we have a generosity score here as well those of you that have the donor search or a prospect view they call it sometimes you will see this window appear if you didn't purchase that this will not be beyond there it's no big deal this is just an add-on that you can purchase with bloomerang now moving on down you can see again this is the sort of snapshot of this account it does show you the relationships that they have so you can see there's we've seen that Rebecca is his spouse and we also see he's friends with Harry MacGyver you can also see that we show the recent timeline activity and the timeline is where you enter gift information correspondence information that sort of thing so again if you this is just a preview for what you can see if you want to come week after next and join me for the timeline information all right so that's taken a look at the summary now in this account for Geri you can see that there are three other tabs there is the profile tab we're going to go into this in detail here in just a second but as we go into the profile you can see that it shows address email phone numbers you know contact information it shows other basic information about how we want to address them we're going to go into all this here in a bit we can also see here that there are some spaces here for some personal information like their Facebook Twitter Linkedin that sort of thing I will say that you know in this day and age most organizations should have a Facebook and Twitter page so that folks can keep you know in touch with you that way on social media we have also something really nice that we do with Twitter what we do with Twitter is that if somebody happens to let's say you tweet out something about your organization and somebody either retweets it or they mention your Twitter handle in their tweet or something like that if we have their Twitter handle in bloomerang it will automatically then create and what we call an interaction that affects their engagement levels so you can just see that if somebody is kind of promoting you out there you would be able to tell that in their account in bloomerang if you have their Twitter information so again if you can you know gather that that's great I think that would be wonderful for you to do now lastly on this profile page we have the communication preferences again we're going to go into this a little bit more as to how to choose this but this just lets you know like this somebody want to be contacted how do they prefer to be contacted and that sort of thing so we'll talk about that in a bit because we're going to add a new record here in just a second so you can see why we enter the information in here as we do I'm going to skip timeline because like I said you know preview of coming attractions we've got a class coming up for that but I am going to go in and take a look at Gerry's relationship tab now with Gerry being an established account you can see here that the relationship screen is kind of in two sections first we have the household section up here you can see that Gerry and Rebecca Duncan you can see that household account is reflected here as well and it's showing the two members Gerry and Becky now down here at the bottom you can see that these are the actual types of relationships they are you can see that Becky is the spouse you saw that on his profile page and you can also see here I'm sorry on a summary page but also you can see here that he's got a friend here of Harry that's listed now I'm going to go through here in just a second add a new person and you're going to see how all of these relationships are created so that's really taking a look at an account that is already in bloomerang so now if I come over here to click on the constituent icon again now see how under recent accounts it's showing Gerry because that's the account that I've recently looked up now what I want to do is I want to add a brand-new record into bloomerang so we can talk a little more in depth of the information that we're tracking so what I'm going to do is I'm going to come up here and I'm going to click the new button so I'm going to go ahead and click new now one of the things that I always like to recommend though when you're getting ready to add somebody new into the database take just a second to look and see if they're already in there things happen you know maybe you've got a big office and you don't always talk to all of the other gift officers very often maybe you enter somebody into bloomerang and you didn't realize they were already in there well then you're going to end up with a duplicate situation so I always take it like 30 seconds and just come here and search the name of the person that you're getting ready to add or the organization just to make sure they're not already in there if they're not in there and you want to enter somebody new then of course click the new button and you can see that you're brought right here now the very first thing bloomerang wants to know is whether or not the account that you're getting ready to enter is an individual or an organization ok so what you would want to do here is you would decide which it is an organization of course would be like a corporate donor you know I guess a church a school you know if that group or that organization is donating to you then you would set them up as an organization when you click new on the organization area here if you're creating a new organization everything basically is the same between individuals and organizations but the big difference is right here you are actually putting in the name of the organization so let's say that we're going to call this the cat tacular let's see cat Acula cat wash I don't know if there is such a thing but if there isn't maybe there should be so we're going to say this is the cat tacular a cat wash here and then what you'll do is you'll notice that it comes over here and fills in these informal names formal names all of this information we'll talk about this a little bit more - but I'm going to come over here under job title I'm going to type in the word owner and I'm going to put here that the owner is mister and let's say going to mister and then first name is Felix and then his last name is cat all right so now what we're going to do is you can see that as I start entering this information here under the primary contact notice how these changed automatically informal name and bloomerang is just the first name of the contact formal name is usually if available title and last name and then we created for the organization a contact or an envelope name I should say if we wanted to mail to them that would have Felix listed as the the contact person and then the name of his business all right now any of these can be modified if you need to so but these just automatically fill in for you most of the time they're going to work as is you just click Save but in this case like I said you can always edit them if you need to so I'm going to go ahead now you can see there's other information down here and we're going to talk about that when we do the individual because like I said from this point down now for entering information it's the same for whether it's an individual or an organization but I'm going to go ahead and save and see save my new organization here you can see there it is you know that's our new organization looks like Gerry's account now but I'm going to go back in now and we're going to add an individual so again I'm going to come up here and do new and then I'm going to select to add an individual now you'll notice this time it goes right into the name information there's no organization name of the account this is actually an individual that has donated so what I'm going to do are is a name that you're praying it's a prospect that you're working with but you're anyway we're going to enter new person and date into the database now what we're going to do is bloomerang has a drop down field here of titles these are what we would consider maybe the most common titles that you would see now obviously you know clergy military sometimes you run into some titles that are not standard or not ones that are very common that you see if you don't see the title that you need here don't worry you can adjust what you see over here under informal formal and all of this I'm going to go in and I'm going to enter in missus and then her name is Virginia so we're going to type in Virginia and her middle initial is a and I'm going to show that her last name is Stark so we're going to type in Stark alright now once we've typed this in again notice how over here blue meringue has gone in and has changed and updated this information based on what we told it okay so what you're looking at here is informal name this is what would appear when you're doing letters out of bloomerang you can do letters in bloomerang right here if you're doing letters in bloomerang this would be what you might want to put after the word dear in the letter if you want to be really informal and use their first name you could do that formal name here is last name with title so again dear mrs. Stark also we have the envelope name here again the envelope if we're sending it to her would be mrs. Virginia Stark we would do it that way and again the recognition name this is what you use if you're going to publish a list of donors so let's say that you're an arts organization maybe you have the names of your donors in the back of the program or you're doing your annual report or you are publishing a recognition list in your newsletter or however you go about doing at this is how the person would want to be acknowledged on that list now if they say I don't want to be acknowledged I want my gifts to be anonymous then all you would do is you would come here even though it defaults into her name and just type in anonymous here okay so you would just simply come here and type in anonymous and that would take care of her being an anonymous donor all right but again if not you know you could put in however she wants to be thought of or considered or seen on a list what name does she want to use a lot of people will change this to say like the stark family or will list the names of the children or list everybody's name you know father mother and all the children you know and in that name so you've got the ability there to go in and change that alright so now we've got her names in place now the next thing we're going to do is we're going to come down here and start filling out the information that we know about her now this is just you know fill in the blank I'm going to come here under the address I have used this person before so I'm going to go ahead despair you from watching me having to type all this I'm going to go ahead and just take my autofill and let the autofill do it for me but you can see that you've got you know multiple lines of address here so if you've got somebody that has an apartment or a suite number or something you can always do that city state is a drop down you can select your state their zip code and you also have a type here so this tells you which address is this you can see here that we have the address type of either home vacation or think of it as an additional address you know like maybe they have a home in Florida that they go to in the winter or you know something like that or a cabin in the mountains that they go to in the winter or something that could be their vacation address and then they have of course their work or office address where they work but since this is an individual record she's not donating through an organization or anything she is the donor I'm going to make this her home address all right but you can always select what you need there same way now this is my email address but same way with email addresses you have the ability here to select whether it's a home email or a work email now if you are if there's any of you out there like me I've switched services several times so I probably have like gasps address I have an SBC global I have an AT&T you know so I have several home email addresses I can have multiples and I'll show you how to add additional ones in a bit but you do not just locked into having to you can have multiple home addresses or you can even maybe you have two places where you work maybe you have a full-time in part-time and you've got both numbers there you can also have multiple work addresses and I'll show you how to do that as well same with phone we've got phone if it's a business address you can put the extension there again you get to pick we have a little few more choices here we've got homework mobile or cell if you think of it that way and then fax for anybody that still has fax machine out there you can list what type of phone number this is and I'm going to say this is a removal number so we're going to go ahead and change that now remember I talked a little bit about their social media links and all of that here's where you will enter that for a new person again if you've got their Twitter handle you know put that in there if you know their Facebook or LinkedIn page you can do that if they have their own website or if you are entering an organization into bloomerang you will be able to put their website in here as well now the next thing you're going to see is the communication preference now the communication preferences here show up again on the summary screen but what you're seeing here is it comes up and ask a couple of things first thing it asks this how does this person prefer to be contacted so you can see again it's a drop-down and you can either you know how is the preferred form of communication is an email phone text message or mail I a big testament text message fan so I'm going to go ahead and select that / but again she can say you know the best way to get hold of me is text me I always have my phone with me so again you could select that is the preferred method now what you're looking at next are restrictions this is where people are saying I don't want you to call me I don't want you to mail me I don't want you to solicit me at all so what you can do here is let's say that she says I'm okay with you texting but I don't want you calling me so you can select there just do not call so that would mean if I'm looking her up to give her a phone call I've got her number but I would also see down here that it says oh we've got her mobile number she prefers text then I'll text her and not call her because she has specifically told us that she does not want to be contacted and again this is something that you may not know right off the bat but believe me if you do something somebody to like they'll let you know and then you could come here and change it all right so this is what the preferred channel is and also what restrictions they may have all right now from this point forward as we come down a little bit further we now enter into custom fields now the preferred I'm sorry communication preferences upward are all fields that are provided to you from bloomerang now anything that you see below communication preferences are your custom fields meaning that bloomerang doesn't have a standard field for this information so I just went in and created them because I needed them and once I set them up they will perform just like any other field in bloomerang meaning I can report on them I can filter on them I can merge them into letters there's all kinds of things that you can do with these so again you can see these are just examples of particular fields that I have created and and excuse me what I wanted to show you here is the different types of fields that you can create so you can see here that we have a couple that have like some drop-down boxes here this is what we call a one or a pick one or a single select some people might call that but what this means is they can only be one of these things so this is asking me where did I get her name I'm going to say that my choice is here that I created for myself I'm going to say she was a referral so again I could do a report to say give me everybody in the database that has a source of referral so I would be able to do that you can also see that you can create field set our currency amount so you know if I want to know how much I'm going to ask her for let's say that I'm going to ask her for five thousand dollars this will perform if you will just like any other dollar amount filled in bloomerang meaning that when I put it in a letter or if I export it into you know an Excel spreadsheet or whatever it will look like a dollar amount and that means you could total it as well if you needed to so again it acts just like a regular dollar amount field if you set it up that way you can also see that here's an example of what we call a multiple select it's called attributes and in this case somebody could easily be more than one of these I'm going to say that you know Virginia right now is a prospect and I'm going to say though that she's also an instructor maybe I do some webinars or seminars and maybe Virginia is one of my instructors so again she could be more than one of those things or like you could be a board member and also a volunteer or you could be a committee member and maybe a member may be we have a membership program or something so again you could go through and select more than one of those so you can also do dates as well so you can see there's a dated field that's really all I'm going to go into about custom fields right now but do know that you do have a lot of flexibility in creating those and customizing bloomerang to track the information that you absolutely need and it will appear here when you're entering in once you enter them in and set them up in settings then your custom fields will appear on your records for your constituents okay so we've gone ahead we've got Virginia in here so we're going to go ahead and click Save now once I click Save you can see that we are now in her account you can see that it shows her account number the bloomerang assigns there is her email address or address and her phone number one thing to note when you are entering in the information for the first time notice how the information that we entered home email and phone number are showing up as primary meaning that's the one that we're going to use in this case it's the only one we have so that's the one that we're going to use but I do want to show you that now that we're on this profile page everything is completed that we actually filled in you can see there's some of the fields that we selected for her here what you can also do is in Iran let's say that you learn more information about her and now you want to go in and add to this information so what you'll want to do here is you will go in and I can add an additional address like let's say that I've learned what her home or her work addresses so what I can do here under the address section I can click this little plus button here if I click plus or the add button you can see that now there's your other address if your primary it's your home but now I have the ability to add a new address so I'm going to say here that and again I'm going to use my browsers autofill just so you don't have to bear watching me type all of this but you can see that I can come in there's her address for her business you can also see that I have a spot here where let's say that we find out that this business address she says a would you mind when you're mailing to me would you mind mailing it to my business I can change it to the primary if I wanted to so I could make this the primary address meaning I'll still have this address that'll still be on her file but this is the address that we're going to be mailing to because this is the one that she says she wants to be primary ok or you could also know again this is another field that we have called bad address I'm kind of of the school that if we find out as the address is bad I would just delete it to get rid of it but some people like to keep them and just mark them as such so maybe if that was the last known address for this person you could also mark it as bad if you wanted to but once I have this set up I'm going to go ahead and click Save and so now you can see that she has two addresses she has her home and she has and I did this incorrectly notice I want this to be her work address so the reason that we now have this edit button here is the plus adds something new but the edit will let you fix something that you find incorrect on anything that's already there so let's say that here I'm like nope it's not her home I need to go back here and I need to change this to work so I'm able to go in and edit that I'm going to click Save and now you can see we have our home and work now I can also say that like unser the home address maybe I've got the wrong zip code here so I'm going to go up here and I'm going to change your zip code so we're going to go ahead and put in the correct SiC code for that address and again I'm going to click Save so just so you know edit means you're going to change what's there add or plus means we're adding an additional one and just so you know it works exactly the same way for email and phone numbers as well so if you have multiple email addresses or you have multiple phone numbers same thing add a new one if you want with the plus sign or edit the existing one that you can here with the edit button alright so everything that you want to do with addresses emails and phone numbers are right here on the profile page now for everything else on this page like if I want to change your name or I want to come down here and add additional custom fields or something like that we have edit alright so we're going to go ahead and click Edit here and once we click Edit you can see that it opens it up and now I've got access to everything but address email and phone number because we do that on the previous screen but you can see everything else here now is set that I can add it in for her like maybe I want to go ahead and track her gender maybe I found out her employer so I want to go in and type that in and see there we go and once we have that in we're going to say her job title is CEO and again we're going to come down here and I'm going to say that I've got a solicitor assigned to her and we're going to say that Jason Oliver is her solicitor now you can also if you find that you have the need to come up here you can change the names as well now what I found out is that I found out that her nickname is pepper and she likes to be known as pepper so for her in formal salutation I'm going to change that now I did also find out that she's not a real fan of being called mrs. stark she would prefer just to go by you know her first name so in her formal name instead of it saying mrs. stark I'm going to use Virginia so it's a little bit more formal than her nickname but again she doesn't like to be referred to as mrs. Stark so here on her envelope I could remove mrs. if I wanted to in this case since your first name is showing she's what she's fine with that and same again with the recognition so you can make any kind of change here that you need for this particular account that you're in so I'm going to go ahead and click Save and now you'll see that we have changed her names we've adjusted or added to her solicitor down here you can see that we've added our employer her gender and again her solicitor we added that in there as well all right so that's how you go about editing a constituent you either excuse me you either go through and you will change the address email and phone number right here on the profile page or if you click Edit it opens up everything else and you can go in and make a change there now the one thing that I want to also mention is we have this little drop-down arrow right here this little drop-down arrow has some little hidden gems in it there we have merge change type and delete I'm going to start at the bottom delete is just that delete you've entered her in and somebody comes over and looks over your shoulder and says why are you entering her in she's already in there we already have an account for her if there are no donations added to her you can just delete it so you would just click delete and it would be gone if there are donations for the account bloomerang will warn you and say we can't delete this because there's historical information but if you go and delete those donations or merge them into another record you know you could then delete the account at that point and speaking of merging records that's the one that we have up here let's pretend that we want to we found that Virginia is already in the database and we need to merger with someone else if I click merge you're going to see here that it brings up a list of accounts that bloomerang identifies as possible duplicates and what bloomerang looks for is name match address match they might look for a phone number or an email address so if it thinks it might possibly be a match it will bring it up here you can see that in this case we got somebody with the same address the same last name we'll talk about him later but we're going to pretend at this point that we have Virginia Anderson here we're going to pretend that she's duplicate so I'm going to go ahead and select her now what happens is you're going to see here that bloomerang is asking are you ready to merge these two constituents what you're going to see is this arrow the arrow is currently pointing to the account that we're in which is Virginia P Stark and what it's asking me here is is this the one you want to keep and is this the account that you want to merge into this one and this account will go away once it merges into her record or if you want to go the other way this is the account I want to keep and this is the one I want to merge I come down here and click to switch the direction of the arrow when I switch the direction now you can see I'm keeping this one but I'm going to merge this one into the account on the left and just so you know if let's say this were a case where this was an actual duplicate and this is an address that we don't have on file for her when we do the merge when we click to merge this address we'll come over as an additional address on this record along with any relationships or anything on the timeline all of that will merge into the other record as well so you would then just be cleaning house a little bit you'd be getting those two records together and getting rid of one of them so that's what the merge would look like if that's what you wanted to do alright now the last one we have here is what we call change type now like I said when you come into bloomerang the very first thing it asks you is what kind or type of constituent is it is it an organization or is it a constituent so our own well sorry so what we're doing here is let's say that we find out that we get in Virginia all entered in there and everything is good to go but let's say that we have found out that really it's from an organization she's the contact person at Stark Industries maybe we set up our relationship with her she said I'm sending it in the first check we're going to get our first donation we get the donation the check is drawn on Stark Industries well all of a sudden now she's the contact person at Stark Industries so instead of deleting her account and then transferring all the information manually and all of that what you can do in bloomerang very easily is just type in the organization name then you get to edit her contact information if you want to do that and at that point then it would become an organization account and it works the other way as well if you've got an organization that you thought you were working with but all of a sudden the owner of the organization is sending you personal checks then you can switch it from an organization to an individual record if you needed to do that as well so those like I said just some little hidden gems there that we have okay so that's what would be necessary for editing any existing records you would just come over here like I said edit add you can do edit here if you want to change everything else on the record and then also if you need to do any of those little maintenance items they're emerging changing the type or deleting it you would do it from that drop-down so you can see it's pretty easy it's you know a very easy database to understand all right now the last thing that I want to look at right now are the relationships now we're going to come over here and click on relationships now currently as you can see this is a household section up here and then this is the standard relationship here now as we know we did see a kind of a teaser of Anthony Stark and I happen to know that's her husband so what we're going to do here is I'm first going to go into the new relationship and just add that their spouses okay I'm not going to do the household just yet but I'm going to come down here to new relationship and we're going to see that we're going to find the constituent here so I'm going to click to find the constituent and I'm going to search for Anthony Stark and there is I'm going to select him here alright so we're going to say Anthony Stark is V and then I'm going to come here and say spouse now these are this field here that I'm clicking on is what we call the relationship role or relationship type however is easiest for you remember and these are things that you can add to so bloomerang will supply you with some of the more common ones again but if you want to go in and customize this list I can see I got some crazy ones here like great-grandfather next-door neighbor I mean you know it you can be as precise as you want you can see that we also have here you some people will do husband and wife I prefer spouse because it you know it suits everyone's situation and then you only need one of them you don't need husband and wife on your list but you can do brother sister aunt uncle I mean you know you can do things like that if you want to you know sister brother those types of things so it's up to you but like I said for this one I'm going to select spouse and then I'm going to also come down here and say that she is the spouse as well now there may be reciprocal situations like I said where it's going to be employee employer or you know parent-child or something like that where you would choose something different but for friends and spouses and things like that you would just choose the same one you can then go over and put in a note there if you want and it would say you know like maybe they met in college or you know something like that you could put a note there if that helps you with that information and then you would just simply come down here and click Save now I can have as many of these types of relationships as I want so I'm going to come here I'm going to say we're going to find a constituent again this one is just not going to be a spouse but it's going to be her friend Natasha here we're going to go ahead and select her and again this time we're just going to select the option of friend so I'm going to select friend and there that is and again if this for like employee employer or you know business associates or something you might have different reciprocals that you would do here so I'm going to go ahead and I'm going to do friend again there we go and once we have this again I'm going to save it the same thing I mean it was very easy and I can have as many of these as I want now the good news is if I go in and set these up if I go in say - Anthony's account and you can get to their account by clicking this little down arrow where it says go to related constituents so you can either edit the relationship from here like if you want to change the relationship type you can do that or you can go to the related constituents so if I click here you can see here we are on Tony's account you can see he's been real active with us for a while but if I go to his relationship screen you can see all of his relationships and here is the newest one here at the bottom showing Virginia alright now on the relationship again as you can see there is not a household account established or that they do not belong to a household account they still have their two individual accounts and they're related as a spouse but what I want to do is I want to put them together into a household record so what I'm going to do is then I'm going to come over here and click new household when I click new household you can see these fields look familiar don't they we've seen them already when we're entering in an individual record so what I'm going to do is put in what's the name of this household so I'm going to type in Anthony I just am the worst I went everywhere yay autofill I am just like the worst one I'm trying to type and talk at the same time so I apologize but here we go autofill got them in there now what it does is it changes all of these and adds that information in for every one of these different names but for a household this may not you know this may not work you may want to edit this a bit and I've been in this doing software training for many many a year and one of the things that I find that is the hardest to do our people's names because everybody is different you know they have different ways they want to be addressed and we can't say that all women want to be addressed as mrs. what if they're not married do they want to be Miss or MS I mean that's just the start of what do you do you know what if somebody you know has a nickname they prefer only certain times and things like that so names are tough and people I find in the nonprofit's that I work with people can get and you probably can attest to this people can get very touchy about their name especially when you're sending them a letter asking for money so this is why again you want to take care when you're looking through setting up accounts that these names are what you feel reflect what this person would like to be called now for the sort name for the household I'm just going to take out Anthony in Virginia because again you want it to be last name first so that we know in a particular alphabetical listing where would I like for this account to fall so we can see we want it to fall in the S is there the informal name now remember that we said this is for if it's available the first name of the person and it's used after the name or after the word dear in a letter so in this case I'm going to use their nicknames in their informal and remember Virginia gave us your nickname so I'm just going to put Tony and pepper here and on Tony and pepper then you can see that will be their informal name that would say the letter would say deer and that's what it would have for them now for formal name again most people the standard would be mr. and mrs. Stark but what did we learn about Virginia she doesn't like to be referred to as mrs. Stark so if that's the case I will probably in their situation I would probably opt to do their formal first names so I would do Anthony and Virginia let's see I would just do Anthony in Virginia Stark so that would be on let's see that's out am i there there we go this would be what would show up if I don't know there actually I don't think I need this if I don't have there I can't use mr. and mrs. with them then I'm just going to use their formal name of Anthony and Virginia so that would work now the envelope name in this situation also works I mean again if you wanted it to be mr. and mrs. Anthony Stark you can do that again knowing Virginia we're not going to do that on the envelope for them nor are we going to do it on their recognition name as well so once you set up the new household like I said this is how we're going to address this household and I'm going to go ahead and click Save okay now you can see that Tony since we entered this household on Tony's account Tony is automatically a member of this household now all we need to do now is one more quick thing I need to go down and join Virginia to this particular household so we're going to go ahead and to go to related account and going back to Virginia's account I'm going into her relationships and I'm going to join a household and I'm going to join the stark household so there we go and there it is Anthony and Virginia Stark and now you can see that they are members of this Anthony in Virginia star council but yet they still have their own individual records now a lot of people say well you know I always have people that give together and you know I very rarely would need an individual record we still recommend that you do this because again this is our best practice for handling households also you run into a situation a lot of times where let's say the Tony is a board member but Virginia isn't or Virginia is a volunteer and we want to send out volunteer correspondence we don't need to send it to mr. and mrs. cert to Tony in Virginia Stark I just need to send it to Virginia or also remember to when we were entering accounts that there is a field for gender or there is a field for birthdate this would be individualized so that's why it's important that we have all records for everybody but here's the thing a lot of people are concerned that if we have this which appears to be three records since bloomerang charges by the father by the number of records is that counting as three records and the answer to that is no if there are accounts join to a household we only count the household so if you have a husband and wife or later on if you have a husband and wife you find out they've got somebody else living with them and you want to relate them to the household it still will count as one record okay so again three records are so that we can be very individualized so that you know not just the husband but you know both of them you know both spouses and you can enter information for them and also again if you need to address them as a couple you've got that ability to do so within the household okay all right everybody well I think we had a pretty good session today we went through a lot of information we looked at adding in a new record into bloomerang which was Virginia and you can see that now we're showing you know there's her household information her account number her name address phone number if we go to her profile page you can see all the information we entered for her and we also have her relationship information that we've entered so hopefully like I said you've understood now what we can track why we asked for the things that we do again I think households is something that is a bit of a lot of folks have questions on it I think initially but I think once you understand why we're doing it that I think it makes a lot of sense and it gives you so much more flexibility when you're contacting your people so again I think that would be something that you would really want to again be conscious of when you're working with your folks to find out how they want to be addressed I think it makes them feel very special if they know that I've told you five times that I don't like to be called this but this way you can go right in and make that change in bloomerang and you'll be ready to go at that point well everybody again I want to thank you so much I know that it's kind of a hectic time of year it's always busy it seems like I keep waiting for that time of year that's not busy but having quite run into that yet but I
