hello and welcome to the point from nav attend this week we'll look at fixing zip code errors in Excel in Microsoft Word mail merge so let's look at my Microsoft Excel data file that I'm going to be creating labels from you can see that I have a couple zip codes here that are from the state of New Jersey and New Jersey zip code start with zero and I know some other states might also as well and what happens is Microsoft Excel actually strips out those leading zeros for some reason and the way to fix that in Excel is to just click this column right-click choose format cells' and under number choose special and then zip code and click OK you can see that all the zeros have been restored so that's good but when I go into Microsoft Word to create labels I'll find that that's not the case I'll go straight what I mean close this open Microsoft Word and choose the mailings tab under start mail merge choose step by step mail merge wizard I'm going to be creating labels so then click Next the starting document is basically the template that you're using in your printer I'm using an Avery 24 81 so choose ok next we want to choose that actual database of contacts my random data excel file choose browse and on desktop select that file and choose open click OK on the following two windows and my data has been loaded and next next screen I actually create my labels arrange what I want typically normal average person would just click address block and it would insert a merge field for the address block the only problem is that when we actually preview these results you can see that the zip code is is is missing and if I go through a couple of contacts all these ones in New Jersey they're the leading zeros on their zip codes are just missing so exit preview mode and to fix that we're actually going to delete the address block merge field and create our own custom merge field so insert a merge field and obviously we want to create an address block so we're going to basically create a piece wise so first insert a name merge field and enter and then insert the street and then enter then insert the city a comma and a space insert the state another space and then insert the zip now if I previously preview the results we're getting that but it's still missing that those zeros on the zip code so exit preview mode and this is where the key is press alt f9 inside this merge field zip use your arrow keys to move to the end of it right before this closing curly thing and do a back backslash a pound sign and then another space and then in quotes five zeros 1 2 3 4 5 and then end...
