Condition zip code field

[Music] all right now we are going to talk about validation rules so what are validation rules validation rules is to validate data entry when it is being entered into Salesforce so in this particular example on a trail you see so if somebody is doing a data entry and the account number it's typed in wrong so it's supposed to be eight characters long eight numbers and it's just four numbers typed in we can say hey account number must be eight characters wrong long you are doing it wrong please correct the data entry so based on that what do you think the validation rules are for to maintain clean and trustworthy data in your Salesforce organization so otherwise you will have faulty data or data that has many errors and therefore it is not helpful and it will create a big mess throughout the entire organization so this is a very important process to maintain data cleanliness make your data clean okay so for example if we ask for a birth day and then the data is entered a date in the future right that is incorrect a birth date must be in the past or today's date if it's a hospital and baby was just born so it has to be in the past so we can validate the date and that if it's a baby well at least it's zero years old or it's today's date it kept me the date in the future or if for example we want to have data entry for booking meetings and that has to be in the future it can't be in the past right so for example you want to meet me and have a meeting with me unzoom meeting Skype or whatever and then you set a date in the past well that's not going to happen because that's in the past you have to make a meeting date in the future so that has to be validated as well right so that makes sense so there is unlimited possibilities on how you can validate data because it depends on your situation so data validation is being constructed with formulas right so in order to be able to create validation rules you would need to know how to create sales force formulas which we already discussed on the previous trails right use formula fields and I have tips and tricks there so enough set about why do we need validation rules it is extremely important for maintaining a trustworthy data in your organization that issue that that you're working for so let's jump ahead and dive into our hands-on org I'm going to pop up a new tab there go to our playful wolf so remember our example here we are running a swimming lesson program for the Red Cross Swim Kids program Red Cross Canada Red Cross Canada has a swimming Kids program and for this example for admin energy intermediate modules we are sticking to that story so now I have written a simple validation formula so if we want to enter in new kids to learn swimming they have to be five years and up because it's swim kids we have other program for babies to get used to the water and things like that with their parents but this is swim kids so it has to be five years and up second validation rules we want to create is if you want to go to swim kids for you have to complete swim kids three otherwise you can't just go too far all right let's make that a rule as well so I have created a new custom field pass which is a checkbox so we will take a look together with that okay with that let's create a new swimming lesson now let's create the validation for the age first okay so to enter any swim kids the kid have to be five years and up all right so let's go ahead and do that so if I go to my contacts object and then I want to see the students here so you see we have age 14 age 8 because we have entered the birth date right let's enter a birthday for Lana here okay I'm gonna click Leonor and go to the details and enter the birth date let's make Leonor a tiny baby she was just born 2018 or 2017 maybe and that date okay save and now if I go back to my list and I go to my student again here Oh Renaud is just 2 years old can see go to swim kids one or even two three four five was he can't write but no she actually can because we haven't created the validation rule here so lessons are on on opportunities object so if I want to create a lesson for the not here swim kids one this is the mom Mary and let's just go through this and close one lesson start date that's an end date today as well just for a few minutes let's do 7:00 p.m. until 7:30 swim gets one okay so and now it's just the swimming pools Coaldale and same here Aaron Davis then not a see ahead we're just going to enter the game and then I'm gonna hit save and it's going to allow the creation even though she was just two years old the student right this is Mary is the mum so I'm gonna save and it allows it so now when Mary comes to the swimming pool with what's the what's the student name again Mary Ellen R with an R and an unassuming folder instead of the sea oh she's too young she can't go into swim kids were it has to be five years old and then Lenore or Mary says to the swimming instructor I didn't know that nobody told me see now it's a mess so Mary's disappointed or even angry and then she has to go rear edge astir again and waste her time and every everybody's time is now wasted so let's prevent that okay I'm going to delete this row record and let's create the validation role so to do validation rule as always it means we go to gear icon and go to set up there on here we go to the object manager and we go to the opportunity why because the lessons are in the opportunity right so when we are creating the lesson record we want to validate if everything is good okay so I'm gonna go down here and check validation rules all the way at the bottom validation rules and I'm gonna make a new one here and student has to be five has to has to be at least five years old okay so you can put more description here so error condition formula this is important this is the condition where it is error not when it is good but when it is bad when the data is bad right remember this otherwise you're gonna flip it around and you're gonna do it exact the opposite so we want to alert whoever is entering the data when the data is wrong okay not when the data is right so for this for this example we want to alert it if the baby's age is what below five years old it has to be five years and up so five years is okay all right so I'm going to insert the contact object which is the student right so I'm going to insert field here opportunity that means opportunity owner is also the count probably so we can't touch that so this is actually a good example because we don't have the student age here we have the mom's age because the opportunity is tied in with the account okay so because of that let's fix things up okay I'm going to cancel this rule for now and we are going back to the fields and relationships for the opportunity and we are actually going to link the opportunity to the student right now we don't have the student who is actually taking the lesson we have their parent which is the account but now I'm going to make a new one okay follow me along and it's going to be a look relationship to the contact object because the student is a contact here and hit next and I'm going to actually name this student all right not contact the student taking the swimming lesson copy that paste that we're going to keep that as it is and hit next and make it visible for everybody and next and just on the swimming lessons here boom um yes we want everybody let's just save that okay now we can go back to the validation rule what just happened because we want to validate the data entry of the swimming lessons based on the students age right based on the student age we have to link who is the student not the mom because they acknowledge the mummer the pattern so now if we go back to validation rules at the bottom here and hit neal and we say student must be at least five years old okay it's active so it's going to be enforced and remember the error condition formula the alert is going to display when it is a bad data so insert field I am going to say the opportunity can't panic not contract let us choose contract our student is us right the student see the student age right now it's making sense the student age has to be or not has to be it has to be more than five five years code and up so if it's not five years old if it's less than this is less than right if it's if the student age is less than five then we are going to alert it you can check the syntax if it's right or wrong so it says no errors found that's good right so the student has to be at least five years old to enter swim kids all right we want the error location to the top of the page and we have to save it and there we go and it's active make sure it's active otherwise it will not be enforced okay now let's go back to Leonora sol another one to take a lesson again and the mom called the mayor I'm on the Mary Wilbert called the swim kids program and she wants to enter Lenore to swim kids won right and it is today whoops closed date that's weird is supposed to choose date not names and closed one lesson let's just choose today she wants to take in a lesson today to see if Lenore likes water or not maybe at night 9:00 p.m. to 9:30 p.m. because this is when the mom has time and swim kiss level one all right oh wait it hasn't at the contact yet oh no you have to fix that we haven't see we haven't added the page layout my bad so cancel this out if I go back to the opportunity set up we need to add the student on the page layout here because we just added a field so I'm going to go my edit my swimming lessons here and we have student oh it's it's already at the bottom maybe I missed it let's put it on the side here student okay I'm gonna save this guy back to an hour let's just refresh this so it picks up the new fields and I'm gonna make new opportunity again there we have the student which is learner right so again in swim it's one close date and then closed one start date and date same one start time 9:00 to 9:30 it doesn't matter because it's going to be blocked right I'm just going to show you that it's going to be blocked so account is called their swimming pool Aaron Davis and student is Lenora right and we want to save it uh-huh the student needs to be at least 5 years old to enter swim kids you can choose to live all right [Music] okay so we cancel it oh sorry we can't because she have to be 5 years old so we cancel it so now if we want to test the correct one if I go back to contacts here and change this to students again and we'll see 8 years old is fine so John John should be fine right so let's add a new swim kiss for John he wants to go swim kids too right today's the day today is the day close one and let's do it for a week December 2 to the submerged 6 start time let's make it oh no no no not 11 p.m. maybe 8 p.m. to 8:30 p.m. [Music] alright and then swim kids to and this should be allowed it's called their swimming pool instructor is Davis student is John West and we are going to save it but a bing bada boom it's a lot so that is how validation rule work we want to do another one so this is practice right so the level level has completed previous or the level meaning the student has to complete the previous level before he or she can sign up for the next level so for example here John West right has swim kids too and he has to pass first right if John was passed then he can go to the next level okay the swim kids three if John was didn't pass so he can't go to swim kids three he have to pass him kids to first and sometimes it's hard it's not that easy I've been there okay I mean my kids have been there okay come on swim kids instructors give us a break here okay that make it so tough alright so now let's make that validation rule so let's go back to here and at the bottom validation rules I'm gonna make a new validation rule must pass previous swim it's level okay same thing error condition formula so what is a bad data that's the mindset you have to have what is the bad data for this rule the bad data is if the swim kids being registered right the swim kids being registered is what is higher so the swim kids being registered can only be one level higher than the previously completed swim kids you got them let's do some blackboard so if the previous one is swim kids too this is the previous one right we can only register swim kids three you can't register Shimkus for you can't register some kids five and so on okay so if it's if it's if it's so if it's not trim kids three if it's a bad data that's pretty simple right if it's not swim kids three it's a bad data so let's construct that formula all right so one at a time so insert field opportunity account and then I have created a row up summary field for and last complete that I think it's last last complete swim keys level number this is a roll up summary I've created so insert so account last complete that shrim kids never write plus one right so if if it's swim kids if it's swimmer kids too you can only go to swim kids three right has to be equal Oh what is the bad data is not equal so if it's not equal right insert the field the opportunity that is being created and then the swim kids left for here right or even formula here yeah insert I have a half another formula here so it's not equal dad then it's a bad data you got that so now I respond so the last completed swim gets level plus one you get the plus one so if it's swim kids too now it can only be swim gets three it cannot be swimming it's four or five you can jump you cannot jump like that okay you got that so the last completed swim gets level plus 1 is not equal to the current registered lesson that's bad not good so this is the error condition that's bad data so whatever fill-in into this criteria means it it's bad data so this is the bad data what are you going to say if you see the bad data to enter this swim kids laugh ah you have to complete the prefuse level first ok so that's pretty much it you cannot jump all right you can't jump or skip a level so unless the lifeguard assess you that's another story but now let's stick with this formula validation and I am going to save it and that's it right so account last completed swim kids left four plus one you got that okay let's test this thing so if I go back to a student or the opportunities here and I'm just going to see swim kids six here Giulio Julio Julio this is the mom so as you can see last completed swim case left face blank right let's fix that so if I go to the swimming lesson and change this to pass so the student passed there we haven't even picked the student because that's a new field was the name again for Brunton Linda Linda pass room gets six okay so now if we go to the account you can see the takes a bit maybe to roll up let's refresh see last completed swim gets left for it's six now Linda is six and now she wants to go to eight because she thinks she can do it but you have to go to 7 first Linda alright so now who do the dad call let's go back to students again they're students I'm gonna go no no not count contacts and then students what's her name again I forgot Linda right Linda Burton dad yes aunt arlene we should even enter her birthday first let's intro we have to clean this up as well and this is Linda Linda Linda where's the birthday oh here birthdate Linda is I don't know what let's pick 2010 too old probably thirteen they're safe Linda is six years old well too small let's add some years or move some years there okay Linda is now six top three freshmen six years never change the birthday I think I did 2013 let's change it to I don't know 2010 I didn't I didn't pick the the dater if I save now she's a nine okay now let me is h9 and we want to book her a lesson she pass him get six but now she she wants to go to him it's eight can she do that if we don't have the validation rule whoever is taking in the coal doesn't know it right so she wants to try I want to go to swim kids ate that okay okay that says okay let's give it a try let's skip the system okay circuits 8 it is Linda and then we caught and then we want to book December 16 oh it's almost Christmas time Christmas Christmas and 20 and then stop is our normal let's pick 5:00 p.m. until 5:30 p.m. you can actually type this and you don't have to scroll okay swimmy kids level is shown to go to eight oh you wanna skip okay call the swimming pool instructor is Andrew where is Andrew Andy I forgot the name Aaron Aaron Davis the student is Linda okay so can she book swim kids eight let's see boom Oh to enter this room gets level you have to complete the previous level first oh the data you can't Lehmann they know they know us they're smart they're on Salesforce and then the receptionist says you can only go to swim kits seven I'm sorry do you want to book for Simchat sermon sure let's book swim kit seven all right Lee now you have to go through the system swim kits seven it is now Linda is booked cool so that is what validation rules can do it helps everybody you know have a very clean data not messy everybody schedule is good the moms the panel schedule is good the teachers or the instructors the swimming instructor schedules are good and everything everybody is happy right not not messy and you don't have to ask the receptionist who takes the call to look up every single time with the kid past the previous level and then spend a few minutes on the phone and waste of time a waste of time all right so we don't want that so that's what validation rules are for so we created two pretty cool validation rules for this example and I'm sure you get the point all right let's go back to here and finish our challenge a conduct with them with a mailing postal code that has a that has an account and does not match the Associated account shipping postal code should return a validation error and not be safe the validation rule should only apply to contact records with associated account contact record with no associated parent account can be added with any mailing postal code value hint you can use the is blank function for this check okay let's head over to our trail head playground we are going to the object manager and we are going to play on the contact up jack okay fields and relationships I know we are going to validation rules and hit new and what what does the name has the name has to be contact must be in a zip code so back to here but a bing bada boom so what is the bad data a bad data is if the contact mailing postal code here right is not equal to the account shipping postal code boom so this is a bad data right mailing postal code is not the same as shipping postal code but it has to be related to an account you remember the contact see that the validation rule should only apply to contact records with Associated account so you can use its blank alright I don't want to use let's see I want to use my own logic so we want to use end okay and M is a logic function here N and logical 1 and logical to so and right this is bad so this is Error error condition formula so this is bad which is right right and we want another bad which is the bad data is when the contact the contact has to have an account ID ok so I want to say is blank is blank here here is blank now account ID contact account ID boom so if the account ID is blank we don't want that we want not it's blank right so this formula says the mailing postal code doesn't match with the account shipping postal code and write the count ID is not blank because it has to be associated with an account which is good so are you are you are you confused now I hope not so add that and we have no errors fun so the mailing postal code of the contact is not equal the shipping postal code that's bad but also it has to be linked or associated to an account ID meaning the contact half an account ID so the time ID is not blank I got that so we're gonna say contact postal code does not match account shipping postal code ok so we are going to save this and of course we are going to test it ok so how are we going to test this guy so if I go to my contacts here and let's say Linda and Julio right Linda and Julio so Linda we see the details of Linda and the mailing address of Linda right we don't get about any anything else just the postal code nine four five three eight sure so we are going to save this boom contact postal code does not match the count shipping postal code ha ha ha it works so I'm going to cancel and I'm going to call Giulio and I'm gonna change this whoopsie just click Google Maps tear again look at that I want to edit this and change this to nine four five three eight actually instead of doing it I'm just gonna copy this right and cancel and I'm gonna go back to Linda here so this is the dad's postal code right this is a fake address okay we used the fake address fake name generator' remember so if I go back here to Linda and I'm just gonna put the postal code to this to the to the same one and it's going to allow whoops contact postal code does not match account shipping postal code Oh the shipping not the billing so shipping is kind of blank here so I'm going to put here and save and I'm gonna go back to Linda damn safe again so our validation rule works but what if Linda is not connected so what if we create a new contact that has no account all right so we are just going to create a let's create the swimming pool or just a parent maybe but it has no account we're not going to associate it with an account so test test it has no account so we are going to put anything we want here right it's gonna allow us yay so our challenge is completed so what is the validation rule again I'm not gonna let you copy paste it alright so you have to do this your own and mailing postal code not equals to the account shipping postal code comma the account is not blank not it's blank account ID so there you have it I'm going to do the challenge and we are done but a bing parable it should be done put put put run boy let's go keep moving come on giddy up giddy up three two one launch I see you in the next module you
