[Music] all right now we are going to talk about validation rules so what are validation rules validation rules is to validate data entry when it is being entered into Salesforce so in this particular example on a trail you see so if somebody is doing a data entry and the account number it's typed in wrong so it's supposed to be eight characters long eight numbers and it's just four numbers typed in we can say hey account number must be eight characters wrong long you are doing it wrong please correct the data entry so based on that what do you think the validation rules are for to maintain clean and trustworthy data in your Salesforce organization so otherwise you will have faulty data or data that has many errors and therefore it is not helpful and it will create a big mess throughout the entire organization so this is a very important process to maintain data cleanliness make your data clean okay so for example if we ask for a birth day and then the data is entered a date in the future right that is incorrect a birth date must be in the past or today's date if it's a hospital and baby was just born so it has to be in the past so we can validate the date and that if it's a baby well at least it's zero years old or it's today's date it kept me the date in the future or if for example we want to have data entry for booking meetings and that has to be in the future it can't be in the past right so for example you want to meet me and have a meeting with me unzoom meeting Skype or whatever and then you set a date in the past well that's not going to happen because that's in the past you have to make a meeting date in the future so that has to be validated as well right so that makes sense so there is unlimited possibilities on how you can validate data because it depends on your situation so data validation is being constructed with formulas right so in order to be able to create validation rules you would need to know how to create sales force formulas which we already discussed on the previous trails right use formula fields and I have tips and tricks there so enough set about why do we need validation rules it is extremely important for maintaining a trustworthy data in your organization that issue that that you're working for so let's jump ahead and dive into our hands-on org I'm going to pop up a new tab there go to our playful wolf so remember our example here we are running a swimming lesson program for the Red Cross Swim Kids program Red Cross Canada Red Cross Canada has a swimming Kids program and for this example for admin energy intermediate modules we are sticking to that story so now I have written a simple validation formula so if we want to enter in new kids to learn swimming they have to be five years and up because it's swim kids we have other program for babies to get used to the water and things like that with their parents but this is swim kids so it has to be five years and up second validation rules we want to create is if you want to go to swim kids for you have to complete swim kids three otherwise you can't just go too far all right let's make that a rule as well so I have created a new custom field pass which is a checkbox so we will take a look together with that okay with that let's create a new swimming lesson now let's create the validation for the age first okay so to enter any swim kids the kid have to be five years and up all right so let's go ahead and do that so if I go to my contacts object and then I want to see the students here so you see we have age 14 age 8 because we have entered the birth date right let's enter a birthday for Lana here okay I'm gonna click Leonor and go to the details and enter the birth date let's make Leonor a tiny baby she was just born 2018 or 2017 maybe and that date okay save and now if I go back to my list and I go to my student again here Oh Renaud is just 2 years old can see go to swim kids one or even two three four five was he can't write but no she actually can because we haven't created the validation rule here so lessons are on on opportunities object so if I want to create a lesson for the not here swim kids one this is the mom Mary and let's just go through this and close one lesson start date that's an end date today as well just for a few minutes let's do 7:00 p.m. until 7:30 swim gets one okay so and now it's object manager and we go to the opportunity why because the lessons are in the opportunity right so when we are creating the lesson record we want to validate if everything is good okay so I'm gonna go down here and check validation rules all the way at the bottom validation rules and I'm gonna make a new one here and student has to be five has to has to be at least five years old okay so you can put more description here so error condition formula this is important this is the condition where it is error not when it is good but when it is bad when the data is bad right remember this otherwise you're gonna flip it around and you're gonna do it exact the opposite so we want to alert whoever is entering the data when the data is wrong okay not when the data is right so for this for this example we want to alert it if the baby's age is what below five years old it has to be five years and up so five years is okay all right so I'm going to insert the contact object which is the student right so I'm going to insert field here opportunity that means opportunity owner is also the count probably so we can't touch that so this is actually a good example because we don't have the student age here we have the mom's age because the opportunity is tied in with the account okay so because of that let's fix things up okay I'm going to cancel this rule for now and we are going back to the fields and relationships for the opportunity and we are actually going to link the opportunity to the student right now we don't have the student who is actually taking the lesson we have their parent which is the account but now I'm going to make a new one okay follow me along and it's going to be a look relationship to the contact object because the student is a contact here and hit next and I'm going to actually name this student all right not contact the student taking the swimming lesson copy that paste that we're going to keep that as it is and hit next and make it visible for everybody entry of the swimming lessons based on the students age right based on the student age we have to link who is the student not the mom because they acknowledge the mummer the pattern so now if we go back to validation rules at the bottom here and hit neal and we say student must be at least five years old okay it's active so it's going to be enforced and remember the error condition formula the alert is going to display when it is a bad data so insert field I am going to say the opportunity can't panic not contract let us choose contract our student is us right the student see the student age right now it's making sense the student age has to be or not has to be it has to be more than five five years code and up so if it's not five years old if it's less than this is less than right if it's if the student age is less than five then we are going to alert it you can check the syntax if it's right or wrong so it says no errors found that's good right so the student has to be at least five years old to enter swim kids all right we want the error location to the top of the page and we have to save it and there we go and it's active make sure it's active otherwise it will not be error condition that's bad data so whatever fill-in into this criteria means it it's bad data so this is the bad data what are you going to say if you see the bad data to enter this swim kids laugh ah the moms the panel schedule is good the teachers or the instructors the swimming instructor schedules are good and everything everybody is happy right not not messy and you don't have to ask the receptionist who takes the call to look up every single time with the kid past the previous level and then spend a few minutes on the phone and waste of time a waste of time all right so we don't want that so that's what validation rules are for so we created two pretty cool validation rules for this example and I'm sure you get the point all right let's go back to here and finish our challenge a conduct with them with a mailing postal code that has a that has an account and does not match the Associated account shipping postal code should return a validation error and not be safe the validation rule should only apply to contact records with associated account contact record with no associated parent account can be added with any mailing postal code value hint you can use the is blank function for this check okay let's head over to our trail head playground we are going to the object manager and we are going to play on the contact up jack okay fields and relationships I know we are going to validation rules and hit new and what what does the name has the name has to be contact must be in a zip code so back to here but a bing bada boom so what is the bad data a bad data is if the contact mailing postal code here right is not equal to the account shipping postal code boom so this is a bad data right mailing postal code is not the same as shipping postal code but it has to be related to an account you remember the contact see that the validation rule should only apply to contact records with Associated account so you can use its blank alright I don't want to use let's see I want to use my own logic so we want to use end okay and M is a logic function here N and logical 1 and logical to so and right this is bad so this is Error error condition formula so this is bad which is right right and we want another bad which is the bad data is when the contact the contact has to have an account ID ok so I want to say is blank is blank here here is blank now account ID contact account ID boom so if the account ID is blank we don't want that we want not it's blank right so this formula says the mailing postal code doesn't match with the account shipping postal code and write the count ID is not blank because it has to be associated with an account which is good so are you are you are you confused now I hope not so add that and we have no errors fun so the mailing postal code of the contact is not equal the shipping postal code that's bad but also it has to be linked or associated to an account ID meaning the contact half an account ID so the time ID is not blank I got that so we're gonna say contact postal code does not match account shipping postal code ok so we are going to save this and of course we are going to test it ok so how are we going to test this guy so if I go to my contacts here and let's say Linda and Julio right Linda and Julio so Linda we see the details of Linda and the mailing address of Linda right we don't get about any
