[Music] welcome to cadenza eLearning in this lesson we will discuss profile confirmation letters profile confirmation letters allow you to define a confirmation letter for each different profile type this works with all profile types and can be defined per property or global let's have a quick demonstration of this functionality sometimes you may find it necessary to send a confirmation letter to multiple profiles on a reservation let's have a quick example of this if we look at a reservation from Tina Adams and we scroll across here we can see that this reservation has quite a number of profiles attached let's just edit and we can see that there are four additional profiles an agent a company a group and a source now while this may be rare it does occur and because we would send a confirmation to each one of these we may wish to have the content on the confirmation addressed differently too because the audience is different and from a business to business or a business to guest perspective so if we go to options and confirmation we'll see here that opera once there are multiple profiles on the reservation opera then allows you the opportunity to send a confirmation to each one of those profile types now what we're about to show here is the capable of opera to populate in here a default confirmation letter her profile type so if you take a look here we see that I don't have anything configured for the guests and I'm going to do that just now but I can select from the list here of confirmations I want to send for the guests but if you look at Wernham Hogg they've defaulted the company confirmation hug Robinson have defaulted the source confirmation I don't have a group confirmation configured but the travel agent has defaulted the travel agent confirmation and this is done based on a profile configuration and for allowing default confirmations per profile type let's have a quick look at how we typically configure a confirmation letter in that list so if we exit out of this go to setup configuration and the first place we're going to go to is setup a port setup and reports and in here in the configuration area we have a report group called confirmation letter now the first thing we would need to do is to get Oracle or an external party that is capable of doing this to create these confirmation letters for us because they're quite complex to build this in the Oracle report writer and you can see here that I've got a confirmation created that is one for the company one for the travel agent one for the source and one for the contact and I'm going to add two more so I'm just going to click on new and I've been just going to create this one as an individual confirmation and I'm gonna pick up from the list which is located as a fine located on the Opera application server so and I've created these earlier so I'm going to pick up an individual conformation that's pretty much it all I need to do is associate it here and I'll click OK and a parameter form is going to pop up and I'm just gonna click oath okay through that so now I've got a confirmation that has been created for me by a third party company or oracle themselves and they've called individual conformation and we create one for group as well and these are my default conformation letters it doesn't necessarily mean that they're the only ones and but they are the default so I've got one here prepared for a group conformation then I click OK and click OK so now I've got travel agent source individual group contact and company so once I've prepared those confirmations in here then I can come out of here and go to profile confirmation letter at the very end and here you'll see that I can define a default confirmation letter per profile type and I'm just going to pick up on individual and it provides me with the list I've just configured within the reports confirmation group and yeah I can just find for individual there it is when I select that and save I'm gonna do the same with group there we go so once I do this it's not going to populate any existing reservations that I've opened the confirmation screen on but let's say Tina Adams was a new reservation I would be able to go here to update reservation find Tina Adams again this is my reservation and like I just said this is typically just going to pick up on the next reservation that you create or open the confirmation screen on but if I go to edit you'll see nothing really has changed here on this reservation but it go to options confirmation and now you'll see that the missing confirmation letter is the individual and the group have now been populated for me so in the instance where I want to default a confirmation letter based on the profile of the guests I get a third party to create the confirmation letters with the content in them that I want to direct at those profile types you add those confirmation letters to the report group called confirmation letter and then under profile default confirmation letter I'm able to then add the confirmation letter per profile type in there and then once I create the confirmation on the reservation it will populate automatically but again it's not stopping me from picking up on any other confirmation let's say in a different language or so on it will pick up on that in here and that's the default profile confirmation letters the key takeaways from profile confirmation letters is that you may define a confirmation letter for each different profile type it works with all pms profile types it can be defined on a per property or at Lobel basis if you have the M hot multi property license code enabled but note it does not work very well with multilingual setup where you need to set a different language for a different
