E signature assurance agreement

hello and welcome to our service agreement solution webinar my name is Courtney peek on the head of support here at precise FP thank you so much for joining us today let's go ahead and get started so many advisors still use service agreements in PDF or Word formats and some of them don't even provide an external electronic signature service this means that they need to prepare and send each agreement individually and the client needs to open it review print sign scan and return the document and this entire process becomes both lengthy and cumbersome and also creates unnecessary friction so how can we improve this process and save you and your clients time the answer is with precise Epis customizable service agreements precise FP includes a simple service agreement template that you can use as a starting point to create your own advisory agreements letters of authorization or any other advisory related document engaging your clients with an agreement works exactly the same way as any other engagement they can review and update information and add their electronic signature without the need for any other third party services and then once they're done the signed document is available instantly in your precise FP account we also provide a certificate of completion that includes a detailed audit trail with the signers IP address time stamp and all relevant information to ensure a proper signature attribution now before we start let's go over a few terms and definitions that you're going to see throughout the demonstration today as well as within precise FP accounts accounts are your client or prospect household records all their applications call them just clients or households contacts or records and account will always include one main client but may sometimes include a coke client like a spouse partner or significant other templates so in essence templates are smart dynamic forms and they are fully customizable and we do provide a large library of ready to use templates for a multitude of situations engagements when you engage a client or a prospect account with a template a new engagement is then created engagements will store the information input by the client and they can then be either previewed or printed exactly as they were left and the account profile is where your clients relevant data is stored so contact information household assets liabilities they all reside in the account profile and we use this information to pre-fill some engagements and when your client completes them we actually automatically update their account profile to include that new collected data and some information from the profile can then be exported to other systems via our integrations now let's go on over to the application and build a custom service agreement template and once we're done we'll engage a client with it capture their signatures and review that certified signed document so let me switch on over here now let me just start with showing you the write in the library we actually have a template a service agreement template that is great to use as a starting point so it's just a base service agreement so if you want to take a look at it you can certainly do that just click on it and then click on the preview button and this is just again gonna pull up a blank preview of us so you can see what it looks like so this is again just the base service agreement and then we've got the spot for the signatures at the bottom so that's it so it's again just a base service agreement what I want to do is I actually want to customize off of that it's a great starting point but I need to add some some elements to it so I'm going to actually click on it and then I'm going to click on add to my templates and now the service agreement is going to be available to me under my templates now I want to go in and actually is it so I'm going to click on it and I'll see this customize button here I'm going to click on that that's going to open up into the template editor so this is where I can do things like you know adding pages adding elements removing elements adding more text and the sky is absolutely the limit here so what I want to do is I'm going to add a new page with some more content so I've got this new page option here I'm actually going to click on that so then I can come out here and I can either choose a new connected page that automatically saves data to the profile maybe I want to copy a page from an existing template or if I want to build a new one from the ground up I can do that so I'm just going to just call this sample just you guys can see what it looks like when I create a new page here so now I've got a new page that I can essentially come out here and I can build you know more text or more feels however I want to you know however I need this to look and feel but let's go to the the pre-made service agreement page here so again this is the the base service agreement that we do provide now let's say I want to go out here and I want to which is essentially what you can do and predominately what we see a lot of folks do they create a service agreement and they pre populate it prior to sending it out to the client so we discussed the services maybe I want to add a fee section out here I can do that but that part of the form I actually want to make it so that the client can't alter what I have pre-selected for them and what that does is it makes us that when I send this out to them they'll see that I checked a box for their services and then on their end they can't uncheck them so and this goes for any field that's not just limited to the service agreement so let's say this services field here I actually want to basically lock down the check boxes here so I'm going to click on it I'm gonna click on the edit icon and then you'll see this option here called block field updates that's currently at no which means if I were to pre fill this out and put a check box in there the client would ultimately be able to change that I want to mark yes don't want my client to actually modify the data in this field so then I'm going to click on Save Changes so next what I want to do is I want to add an initial here element for maybe the the client and the co client so let me go back to my my additional page that I added here let me resize this field because I need one for my client and my co client so this is just going to be a section where they can initial it so let me add a new element and I'm gonna use the e-signature element and I'm going to say initial here and this is going to be for the client and I can mark that this is mandatory if I want to so that they can't skip over that which I'm going to do so there's one for the client now I need one for the co client so I'm just gonna add a new field to the right of that let me do no element Dewey signature again let's just say initial here again but what I want to do is I want to make sure that this is only the Koh clients initials not the not the clients so under a loud sign e I'm actually going to click on ko client and that'll make it so that they can actually work in this same document so when I engage one of my clients I just need to engage one of them and as long as they're present in the same room the ko client can go through do his or her initials do his or her signature and then pass the computer a laptop smartphone over to the ko client and then he or she can actually click on their initial or their signature spot login to the same document and then they would authenticate themselves by doing that and then it would state their that it was the actual ko client that did that so now I've got a spot here for initials that I need for the client as well as the ko claim just to make it so that it is clear to my to my actual clients I made changes up to say clients initials here and then let me change this one to say coke line just so again it's clear to my to my clients what I need in this actual field clients initials here there we go so now in the forum it's clear when they open it up I need my clients initials here I need the co clients initials in this section now what I want to do is I actually want to make sure that I get a certification for this so I'm going to click on this and then this certified document field here what that does is precise epi will actually generate a certificate of completion with information related to the signing process so it will have all of that important information that you need to you need to prove that it was the client that authenticated him or herself it along their IP address and the date and time of that so I'm actually going to mark yes for these two fields here so I'm gonna go do that on the co client one and then I might also do it on the client once so under certify signed document I'm going to mark yes to those now let's take a look and see what we have so far so let's go and do a preview here so I'm just gonna click on preview and now we've got this so we didn't do much in here basically all we did what this section is we just we lock down that that field so that I can pre-populate this and then the client can modify what I input there but now we've got the initial field for the client and then we've got one there for the Copeland this is my custom section that I created here and then what I can actually do is I can come out here and I can print this as well so if you do have open scuse me if you do have a situation where you do need to come out here and print this for for whatever reason you do have the option to do that so let me just show you what this looks like here okay I'm gonna save this as a PDF save open this up and show you guys what this looks like here all right there we go and let's open that so let me go into my files here and pull that up show you guys what that exactly looks like so there it is let's pull this up so we've got that page there here's our service agreement page that we have and then there is this was already on there this signature page here oops I wouldn't scroll to further so here's that that page that we custom created back here there we go so there's a section that we custom created so I will have a date as well as the line for the initials for both my client as well as my coke line because again I created two initial fields there so this is what it would look like in the actual print version if you need to print a hard copy of that now what we're going to go ahead and do is I want to engage a client with us so you guys can see what this looks like on the client side as well so let me go to accounts I'm gonna choose my test client here for demonstration purposes so I'm going to click on engage and I'm actually going to click on that service agreement there and just for demonstration purposes I'm just gonna click on no to the new engagement email so I generate a URL and then I'm going to just simply copy that I'm gonna open up a new browser here and I'm going to paste that URL here so now I'm acting as if I am in this case the client Emily so I just created the engagement for her but she does have a co client in her profile so I'm gonna show you what that looks like so first it's gonna ask her to authenticate herself with her password her precise SFP password they're brand new there's gonna be that pin process involved so now I didn't pre-populated so I apologize but you can come out here and you can pre-populate that and that would make it so that they aren't able to edit that but going on down here so here's the the that pre-made signature field I'm actually just gonna skip ahead and go and show you our initial field that we created so she's going to click in because she's the client she's gonna click in here and she's actually going to either type or draw her initials which you can actually change that to only allow one of the other if you want to so I'm just gonna draw something here and then so she's logged in right as you can see it shows right underneath there signed by her on the date and the time and then if I actually click in the Co client you'll see her spouses Brandon it will not allow her to you know act as if she is him so then what would need to happen is she would need to pass the computer over to brand him he's gonna click on sign in and now this is Brandon he needs to login so I'm acting as Brandon now so I'm Brandon I'm gonna click here I am going to type in my initials okay so there are Brandon's initials and then Emily's as well so that's how it would work with having the actual enabling the the co client to go out there and sign in his or her appropriate spot and then that makes it so that they are authenticating themselves in that document there now let's go to the part where we're gonna actually pre populate this prior to sending it out to my client so that you can see what that looks like when they actually have it filled out so we check the box we'll check the box for services and then on their end they won't be able to they won't be able to edit that so let me go through and actually close out this one and let me send it again so let me go back to my clients here and I'm gonna click on their name I'm gonna click on engage and I'm gonna choose a service agreement and I am going to still do the same thing I'm going to do no to the new engagement email and I will create the URL for that now instead of going through and opening it as if I'm the client I'm actually as the adviser going to click on this view edit button so this is where I can open up that engagement and I can go in and I can pre-populate it so I'm going to go here I'm gonna choose are services and this auto-saves as you're going through so you don't have to worry about hitting a safe button so as you're going through and like I said if you add like a fees field and you put in a dollar amount and you lock down that field so they can make edits you know you can go through here and fill out as much as you want and this works the same way for any any template as well so I'm going to click on the X there in the upper right hand corner I filled that out I'm gonna be on the engagement details panel here so now what I want to do is I want to send my client that prefilled out engagement that I did for them so I can click on the send resend button that'll email him or her the actual URL but just for the demonstration purposes or maybe you want to send that out of your own email the link is here you can copy that and then I'm gonna open up a new browser I go here open that up click on the start Emily needs to authenticate herself so she's gonna enter in her password and then you'll see here there's that check box that we marked and you'll notice that it has the little icon over it that tells the client that they can not edit that so it locks down the data in that field that does not allow them to modify again you can do that on any field within any template that you so choose so let's go ahead and close out of that now what we want to do is actually let me sign this just so you guys can see what this looks like so I'm gonna sign for Emily so I'm gonna sign here and then I'm going to also do her signature or excuse me her initials here save and then what I need to do is I need to have Brandon do the same thing so I need him now I'm gonna pass the computer over to him he's gonna authenticate himself he needs to sign here okay and then we also need his initials there we go we'll save that finish and then what it does for the clients is it actually provides them with a PDF at the end of this so they'll have the option to download the completed and signed and in this case initial document that they just did so that they can take a record of that so here's the download option for them they'll download that that'll download that into a PDF for them then what I want to do is I actually want to come back into precise FP and I'm going to show you what that completed engagement as a signed document is going to look like here in precise FP so to view that what I'm gonna do is a couple of ways you can view that it's completed document you can go right through the clients account to actually view that if you go to accounts and click on their name this drop-down arrow to the right of the engage button then click on engagement lists that's one way to go in and find any completed engagements by your clients and then you can click on it and go through the steps there or what you can also do is from the main navigation panel here click on engagements you could do all engagements and then what it will do is it will also show you all engagements for all clients all prospects so theirs is the most recent one that was completed so they are happen to be right at the top just based on how I have this looking here I'm gonna click on it and then what I will do is you'll see because I requested to certify that document you'll see this little certification icon here if you click on this this is going to download that certificate of completion so I'm going to open this up just so you guys can see what this looks like so let me open up this download here alright so this shows you the name of the actual engagement there which was service agreement your firm name your email address will be there the time zone that this was completed in it'll have the sender of the actual engagement it'll have the recipient in this case your client it'll have the date this was date and time that this was this engagement was created as well as completed and then it will have the full activity trail there too so you'll be able to see every step of the way as well as the IP address of the you know the action that happened at that point in time now let's go back and let's take a look I'm sorry let's look at under East signatures here if you actually click on where it says signed by and I'll have your clients name click on that and then this is where you'll be able to come out here and download that completed signed document it will do a PDF of that for you and then you're able to come out here and take a look at this let me make this a little bit larger and let me just pan through here so here's our service agreement page so you were called I had the checkbox for the services I have my client and my co client signature here and then that custom page that we created with just their initials so at the top there I've got their initials and again each ISA each signature field that you use you're going to notice there underneath it it is going to have the date and time that it was actually signed so you really don't need to add an individual date field next to the signature I know that is there on all signed documents that's usually a requirement to have a date field you don't need to have that because that is going to appear automatically right underneath that signature element so whether you use it for an actual signature or you use it for you know the client entering in their initials it is going to be there as well so let me scroll up so you guys can see that on me it's not working on the initial page it's there as well so you can go out there and you can do it for for both in that date field date and time is captured right there underneath the actual East signature elements so doesn't matter which which route you're capturing the e-signature if it's just for initials or the actual actual signature itself as you saw the date time will be there all right so if you
