so I like to just go to rooms DocuSign calm okay now once we're in here you're gonna see your room your different rooms signing activity document activity right here on what's called the dashboard alright and if I click on this rooms section it's gonna show me all of my rooms at a glance okay so I'm just gonna go into one of my rooms here okay alright and whenever you open up a room it always goes right to the detail section I'm gonna go into documents so you can take a look now I have um some different folders going on here um including my what's called the room folders which is the root folder and some independent folders then that I created to help me stay organized and the first thing that you're gonna see that I want you guys to take note of is that every single room has a ID attached to it so that's a room number alright so I want you guys to remember this room number because we are going to be coming back to this alright so you can copy it you can just remember it so what I want you guys to do now is come on over to this tab that's called an inbox so if you click on the inbox right here at the top you're going to notice an email and a fax number so these are your DocuSign inbox email and inbound and outbound going fax number now you can adjust these or change these in your profile so if we come on over here to our initials we hit the drop down let me come into preferences here all right and what we want is the inbox details and right here you're gonna see an inbound email now yours might have some letters and numbers behind it but you can change this first half the last half stays the same so at nail jockey signs are not that parts gonna stay but this part here you can do it to match your email or make it just something that's easier for you to remember so that when you're on the go and you just want to send something to this inbox it's gonna be easily accessible I also highly recommend that you guys save your fax number as well because this can be used in faxing situations where a client maybe just has a fax machine in their office or their scanners broken or you need somebody to send you something like an attorney who usually are still using the good old fax machines so you have these these are both unique to you and your account alright but you can use them to manipulate and manage your documents which is really awesome so I made my DocuSign email just my name qjo Rommel at mail jockey Simonet now this is something you're gonna want to save as a contact in your email program so if you're using Gmail like us you're going to want to save it here in your contacts ok so that's what I would do is I would save it in my contacts you come here we can just hit create a contact and we can name it you know my name DocuSign or just type in DocuSign and that way when I go to email to that so if I want to do a compose I can just do my name here so I just did my DocuSign email and there's my email page our mo mailed at DocuSign dotnet alright and now I can go ahead and I can send documents to this email and it'll pop up in my inbox so so I just want to do an attachment alright and I can pull in a PDF okay it's gonna attach that PDF and I can go ahead and I can hit Send alright so now when I'm back here in my document account you're gonna notice the number one pops up here on my inbox if you sometimes you have to give it a minute or so we just refresh real quick and once it's in your inbox then you can move that those items basically wherever you want to move those to alright it's not here yet sometimes it takes a minute to pop in but we'll see a number one pop in here on this inbox now this is a general inbox so you can have people scan to this inbox they can you know you can use this as it's something that you give to your admins to go ahead and forward things to so that way they're already in your DocuSign you make sure I actually sent it yep it does have an attachment so it's just taking them I also may have chose a very large PDF which I am NOT on a percent sure if I did also guys we can forward Doc's to this particular inbox as well and that's especially great when people are sending you guys offers right so somebody scans you and offer and what you want to do is you want to bring it on over into your dock you sign up there it goes right here is the red dot I go to my inbox right here is the PDF that I sent over yeah it was an image so it was pretty high high quality there so it is named whatever it was named on my computer and from this point I can move it I can copy it I can email it I can download it I can delete it now remember see this delete this trash can this is the only place and DocuSign that you can delete when you're manipulating forms and documents in your rooms it's all an archive feature so that is the same exact way that that loop was functioning only in the Inbox could you delete so it's just like a email inbox all right if I want to move this to a room all I have to do is go ahead and hit move select a destination I'm gonna say one of my rooms and this is where I can go ahead and choose the room I want and hit move all right and now it's out of my inbox and over into my room which was Brett Baier you pull that up fire and whenever you move a document or upload a document into a room it always will be going into your root folder called room Docs okay there right here it is alright so the other way like we were talking about with the offer so if I have somebody sent me an offer alright I can go ahead and I can forward this offer that the other agent sent to me and I can do my DocuSign email alright now I can actually take this one step further so this isn't just a general doc that I'm not sure where I'm going to move it to this is specifically for a room a particular room that I already have created so for that instance I am going to copy this ID number all right and I'm going to do ID the pound number and the full number okay I'm going to copy that and in my subject line that's where I'm going to go ahead and put in that number all right so I'm going to do so it says ID my room number and it's going to my DocuSign email which is my name at mail DocuSign net all right so I'm gonna go ahead and hit Send and what that's gonna do is that's gonna actually skip the inbox and it's going to go right here into my actual room that particular room in the room Doc's folder all right so just give it a minute and that will come on over into your room Doc's okay those now we're going to move on to the facts so that fax number again remember if you go to your inbox you can see it I would highly recommend saving this all right you can give that to anybody any of your clients who might want to fax this also alleviates faxing going to the front desk and then the front desk has to forward it to you and you're waiting around for a fax so this allows to skip that middleman all right but you can also fax these out as well so if I come back into my room so we can fax our documents and come in to Brett Baier to my documents see and right here offer one two three demo Lane has popped in and now I can manipulate this document I can move it I can drag-and-drop it up into one of my folders you just come on here and drag-and-drop it up here right into my actual offer or my consultation Docs this would actually be drags up to the demo lien offer and when you drag make sure you get the dark blue outline and then it'll move up alright so what I can also do is if we right-click over the document that I want to fax you come on down here here is fax if I hit fax then I can send it to a fax number alright and you just put the recipients name the fax number and hit Send okay you can also do this with inside of the document as well so if we open up a document and we hit the document actions button come on down right here is fax alright and again we can place that fax number in there okay um I actually haven't tried faxing it to myself I don't know that that is possible but let me try it just so we can see what it looks like when it comes in because that would be nice if we could see what it looks like come on document one might say that I'm trying to fax it for my own number okay then let's see I didn't get an error so that's good all right and then we'll come on over into our inbox and might take a minute or so and we'll see if we get a notification that that has come in the other thing we can take a look at guys is if we come back to the dashboard here all right you can see that we have some document history going on so email from Katie Jo Remmel including the attachment of the 1 to 3 demo lien offer so if you guys are using this document you know tracking your documents you'll see that we are getting a notification here when something comes in to your inbox and we should also be getting a notification in our email if you have your notifications turned on some of us have turned some of our notifications off right here in Bound document has been emailed all right so also attachments were sent to your inbox all right Rachman sent to you were not added to your inbox on here just double check here oh so there were other items attached to that email including a image inbound notification for my room and also for my inbox okay PDF right there it is alright so let me just refresh this real quick let's see if that fax comes through not sure if you can fax yourself none that you would ever have to guy thanks but just in case um you do have this fax number so I would highly recommend saving this in your contacts all right and put it on your marketing materials for anybody who uses facts and also save this as a contact in your email program alright PDFs obviously work the best and when forwarding it will not forward a image it looked like that was not possible so that is going to be your fax and your inbound email alright don't forget you guys can change that inbound email to more reflect your branding or
