hi everyone and welcome to video 5 in this series of videos looking at Microsoft Access in this video I'm just going to show you how to change the data type for a field and just where you might need to be careful with that so far in our database we've got one table for our rooms and we've got some field to describe those rooms and I've got 10 records here what I did and I'll switch to design view for this when I created the field I just left them all as text but as you can see looking at the record I've got room number which is only numerical so is number of beds ensuite as a simple yes or no and price is is currency so what I'm going to do I'll switch back to design view so price I'm going to change the currency and you can see when we change the field type it changed changes the properties that we can set so for example if I change price to currency and you can see for example I can change the number of decimal places well I'll fix that at 2 pounds and pans for unsweet I just want this to be yes or no so it's true or false and number of beds I also want to be a number and room number now before I alter this I just want to show you and my access will ask me to save the table because I've made changes now here's a warning some data may be lost because I've changed the data type let's say I change from text to a number brought some of the records that you have text rather than just numerical data that might cause me trouble I'll just click yes to continue so here we go the contents of fields in ten records were deleted you want to proceed and as you can see big side yes or no and I've changed this to a technical tick box so it's true or false it's got rid of that on-suite data so that's that's just something to be aware of really and again I'm just going to change one of my room numbers to be a name and I'll go back to the design view and I'll choose that sorry I'll change my room number to a number save that same warning again and 1 record deleted this time so I'll proceed and as you can see because Pennine sweet as it was and was text that fails the validation rule for a numeric field which can only contain numbers so it's deleted the field data for that for that record I'll just pop that back in and so just be careful if you are changing data types once you've entered data I mean now I'll just go through and make this up again but just be careful and it just shows it's better to design the table as you want it to start with rather than having to make this kind of change later on so there we go we've changed field types and we've seen the effect that can have on ammo data if we're not careful thanks for watching
