thank you again for taking on the very important role of troupe product coordinator let's spend some time in your troupe plan book and see how to place an initial order for the fall product program the only way to guarantee having the product you want is to place an initial order you will be able to order more products but only initial orders are guaranteed unlike the cookie program where you can have product on hand the first day of the sale for the fall product program girls take orders on an order card first then the initial order is placed for the products the girls have sold and for booth sales parents and girls should enter their initial order in unify or email their girls total order to you so that you may place the order by the deadline as listed on the dates to remember page of the true plan book remember to have the girls send you a copy of their order card if they are entering their initial order themselves so you can double-check that the order was entered correctly girl rewards default to the prize so please check if the girl has chosen oh see bucks and add her t-shirt size girls are able to change their reward choices through the date listed on the dates tree member page of the troop plan book next enter the virtual care to share orders in the thank you nuts or thank you voucher fields then enter your troops initial booth order if applicable by using the ad cupboard order button remember all orders are placed by the unit not the case order just what you need so there is no financial risk to your troop there are step-by-step instructions in the troop plan book about how to enter your troops initial order in unify there are also training videos demonstrating how to place orders located under the trefoil icon in unify check the dates to remember page in the troop plan book or Girl Scouts OC org slash calendar for the dates of the webinars after all girl orders are finalized in your troops booth order is placed click the pink submit troop order button which will notify your service unit product manager and Girl Scouts of orange county that your order is complete your initial order must be complete and submitted no later than 9 a.m. on the deadline date or you will be locked out of unify and only your service unit for product manager will be able to make Changez even if you do not have all of your girls initial orders place your troop order by the deadline you can always order more product through a cupboard since everything is done online there is no paperwork to submit however we encourage you to run the tea to nuts candy and magazines report now so you will have it ready to bring with you when you pick up the product on that distribution day there are step-by-step instructions on running this report in the troop plan book after the initial order is placed girls may continue to sell fall products both online and by using their order card turn to the page in your troop plan book for picking up your initial order your service unit nut distribution coordinator will let you know when and where to pick up your initial order bring the tea to report you printed with you to use when counting your product carefully check and count products before you sign the receipt to ensure you have all your product as mistakes can be costly once the receipt is signed the troop is responsible for all product received be sure you receive a copy of the signed receipt for your troop files before you start loading your car after you have picked up your troops initial order distribute to your troop right away chocolate melts and you do not want to leave it in your car for a long period of time when distributing product to girls sort each girls order before they arrive for pickup make sure the girl and their parent or guardian count the product before loading into their car have the adult sign a receipt for the product and remember to always use receipts receipts should be used every time product is checked out returned or swapped for other products and for every money transaction be careful to pull out the cardboard to place between a set of receipts before riding on them so you do not go through the entire booklet this is old school and see our paper remember girls cannot sign receipts keep the white original receipt and give the yellow copy to the adult for their records if you missed initial orders or need to order additional products you can order items from a cupboard a cupboard is when a volunteer stores fall products in their garage and distributes to troop volunteers when more is needed to find the dates the cupboards are open go to GS cookies org slash fall product to view the cupboard list cupboard hours and days are set by the volunteer running it to order products from a cupboard email a cupboard using the nut cupboard order form located on GS cookies et Cie org slash fall product slash forms be sure to include all of the information requested on the form orders will be confirmed via email within 48 hours with your pickup date and time if you do not pick up your order at the confirm time your order will be cancelled and you will need to email the cupboard to replace your order place covered orders right away because popular items may run out before the fall product program ends care to share items sold by the girls after your initial order must be ordered through a cupboard even though the care to share items are virtual the cupboard manager will transfer their products and unify to your troop so you can allocate them to the girls during the fall product program cupboards may gradually close be sure to check G s cookies et Cie org slash val product for a current listing before placing orders for additional items also cupboards can assist you with exchanging damaged or defective product or replacing customer returns you can delegate a troop helper to pick up from a cupboard a troop helper is an adult who has completed the Girl Scout membership and background screening process be sure to review with any troop helper assisting you with cupboard pickups how to count the product before signing the receipt and be sure to get the yellow copy of the receipt from the troop helper when they deliver the product to you to distribute to girls after completing the brief knowledge check for this module and downloading your certificate of completion
