today we are going to discuss electronic signatures for estimation agreements and other areas within Utica so the first thing we'll do is we'll go ahead and dive into a client detail for example we'll choose this Johnny Cash you can see the entire client details in here but if we go to the estimation section we could see he's already accepted two there is one that is pending one decline expired and so forth so if we go ahead and go to this pending estimate by clicking on the unique link here we will see what the customer will receive via email when they click on the link they will come in here and they can accept or decline the estimate so if we go ahead and hit accept we'll go ahead and type in the name and simply sign with our fingertip so now that it's signed the customer will just hit capture and update and we can see that they were signed on the specific date by this specific user and if we go back into the business management platform of utila Co you could see that it's been accepted the signature has been uploaded along with all the relevant information and if we go to the estimation section in the client you can see that it has been approved you can also change the status on behalf of the customer without any signature and you could do that just simply from the drop down here now let's discuss the agreements so let's say we want to send a contract to a customer and have them electronically sign it so they don't have to worry about this sign print fax etc you just simply go in here create any agreement all of the information that is relevant is automatically pulled from the client detail page and anything that is missing and required you may manually enter it in in this case we have put in a email address the ein list of services that are provided installation fee along with the monthly fee that the customer will be responsible for paying and again notice that all of this is customizable so you can actually choose use a template creating an e template under settings etc and we will go over that towards the end of the video so now that we've done that we'll go ahead and scroll all the way down if we have any special notes we will input that in there we will go ahead and select the salesperson if there's any value-added reseller we will add that in here and again this is a customized agreement that we have generated for this specific case we'll go ahead and hit save now you can see that the agreement has been uploaded now if we go ahead and click on here same unique link you click on that the customer will see this agreement they will have to enter their bank account information because that's what's called for in this Agreement so if you select checking into a bank name enter your payment account information etc then you can go all the way down capture signature just go ahead and sign it in here again and you may submit it so we'll go ahead and hit the submit button and actually looks like we missed a billing address so we will go ahead and just type in a billing address and hit submit so now this contract has been executed if we go in the backend and we go back to the agreement section you can see that it says client sign and here when we enter the agreement we have the ability to now counter sign that agreement and fully execute it and we'll go ahead and hit upload hit submit and now this agreement has been fully submitted and a PDF version has been generated and you can see it's now marked as complete we could download a PDF or just simply view the agreement in PDF or just a HTML version now let's discuss how to generate an agreement template that could be used for any future contracts if you go to utilities and go to your settings option under agreement templates you can see that you have a series of templates that are created previously if you need to create a new one you can actually create a new one here by simply choosing that option and you'll have a list of available merge fields these are your company address information if you just simply click here and just let's say we want to add the company name there it goes it will be added there you have a list of available fields for example if you want to insert the client name you could see that it's been inserted here and once you're done with your available fields you get to actually customize the entire agreement by typing in whatever terms and conditions that you have once that is done just go ahead and save your changes that agreement will be updated and now it will be made available to everybody in a system in order for them to use that to generate a new agreement we hope that this video has been helpful and you take advantage of all the functionalities that is built in to utila core business management platform to make yourself more efficient and profitable [Music]
