[Music] hello everyone in this video i am going to show you how to print multiple letter at once by using microsoft word mail match sometimes people would like to print the same letters on multiple people's for example if the factory manager would like to print the appraisal letter to all of their 100 employees letter content is same for the all hundred employees but the letter needs to change the name address and greeting line in this situation how they can print the letter with unautomated system microsoft mail merge is helping to make this process more easier let's learn how you can do this first you need to prepare the address list in the excel sheet same like this structure title first name last name address and city this structure you have to prefer for the all of the employees address list then you have to open the word document what you would like to print this is appraisal letter format content here we need to add the address and here we need to add the greeting line first you need to go to mailing tabs here you have to click on the start mail match then you have to select the step by step mail merge wizard the left side section will be open here you have to set up the step one to six here we have to choose the letter type we are going to print the letters so we can leave as it is then we have to go to next step here we have to choose the document if we're using the existing document we can use the current document option else we have to choose the another option then we have to go to the next step here we have to choose the address list if you already prepared the address list then you have to use this option else you need to type in new address list we already prepared so we have to click on the browse then choose the address list cutters list will be shown the preview by default all of the list will be selected if you don't want any particular address you can just click to unselect here i select all then click ok then we are going to the next level here you have to place the cursor where you would like to place the address block then you have to choose the address block in the address block window lot of format will be available you have to choose what you would like to insert the address so i am choosing this click ok now address block inserted the next i would like to insert the grading lines here i would like to add the grading line then click on the grading line here you can choose the title as you would like i choose here the there so click ok now the greeting line inserted click on the next to go for next step this will be show the preview of address list and grading line if you would like to change anything here then you can go back to modify that if it is everything is correct then go to next step here print option will be shown click on the print this will be show the this will be show the print will do option you need to print for the all letters or particular list for example if you would like to add one to five then you have to choose this i'm choosing for here the all click ok print option will be shown here you have to choose your printer then click on the print so i am choosing the microsoft print to pdf so click ok now we have to save the pdf file click on the save it will be write the all letter as a pdf file now we can open the file see here all of the letter will be printed the 10 letters printed as a pdf file if you choose the printer it will be it will be printed in your paper thanks for watching this video if you would like to more technology video subscribe this channel
