data validation particularly drop-down lists are a great tool for restricting the type of data or values that users enter into sales which ensures you have consistent and easy to work with data in this video i'm going to focus on drop-down lists and show you how to set them up so they automatically update when new items are added to the source table i'll also show you how you can get a searchable drop down list without having to upgrade your version of excel so stay tuned here i have a table ready to populate with sales information by category now i want to ensure that the category is entered consistently so that i can easily summarize the data first i'll select cells i want to create a data validation rule for then on the data tab of the ribbon over on the right we've got data validation so in here i want to choose list and in the source field i can either type my values separated by a comma or the more common method is to select a range of cells that contain your list i've got my list of cells here in an excel table so i'll select those cells over here i can ignore blanks and this allows users to simply type blank spaces in the data validated cells without giving them an error if you want to receive an error for spaces then deselect that the incel drop down activates a drop down button when the user selects a cell so it tells them that there's a data validation list there if you don't want them to see a drop down button then you can deselect that i want the drop down button so i'm going to leave it as is on the input message tab you can type a title and message that will display a tooltip when the user selects the cell by default the error alert is on and it will stop the user from entering a value that's not in the list you can turn off the error alert by deselecting the checkbox here or you can change it from stopping them to simply giving them a warning or giving them more information again you can type in a title and a message so i'll click ok to complete entering my data validation lists you can see now with the cell selected we get the pop-up tool tip that lets the user know what to do we can click on the drop down list and choose from the categories available we can also type in a category as long as you enter it exactly it will be accepted and if you make a mistake it will give you a warning you can see that here please choose from the list and it gives you an opportunity to retry if you turn off error alerts i'll click ok and then for example i can type in just b you can go...
