okay so I just had an offer signed by a client and I just got notification at all the documents have been signed and signed by both people that are purchasing the home so what I want to do is I want to go into DocuSign find the signed offer and I'm going to save all the documents and I'm going to email them to the listing agent because I am representing the buyer so I'm going to go to DocuSign and log in with my account and next thing I'm going to do is go to manage and this is going to let me see all the stuff I've going on so right here I'm gonna go to sent next and find is very recent she just signed this a few minutes ago and I'm going to click on this and you can see that it has been completed so it's completed right here and here are all of the pages that they sign over here now when I go to save this we're going to let's just click want to make sure it's been done I'm going to click on this and we can see that it was signed by both buyers wait through there's their signature right when I go to download this from DocuSign it's gonna give me two options I can either document this as seven separate PDFs because it's separate seven separate documents it doesn't mean it's seven pages it means it is seven different documents so the wonderful contract that's ten or eleven pages the third party financing that's two pages but it's considered one document even though it's two pages the one to four family contract is one document even though it's 11 or 12 pages so when we when we download this if you want and you're on a huge hurry and you're gonna race against time and it's the only thing you can do you can combine it all into one PDF and then shoot it over to the other side okay that is the quick easy way to do things or it's easy right now later on and we'll get difficult so this is another example of being proactive if you can go ahead and download these all as separate files right now moving forward it's gonna be so much easier when anybody whether it's the title company the listing agent the transaction coordinator if anybody says oh we need a form update it or can you send me over the so-and-so or whatever it is if it's always in one big long string of like seven or eight documents which can equate to 25 pages on one big document it is a huge pain in the ass if you work for me and you're my assistant or buyer's agent you don't have an option you have to do these separate sometimes I will be in a hurry I'm working late on a weekend night something like I am right now it's almost 9 o'clock on a Sunday I've been working since 10:00 a.m. and I just got home it would be great right now if I could just download this into one PDF and then tomorrow I'm gonna tell my assistant take that PDF I need you to extract all those pages and label them correctly but what really should happen is right now at this point in time you time you're going to download these as separate files so right now it's giving you the option to download all eight files which means the seven documents I got signed plus an additional file which is a certificate of completion that comes from DocuSign and it's just got all the information that proves who signed this from what email what time what IP address were they located at and things like that because if this ever comes up in court where there's some kind of discrepancy with this this is what everybody's gonna default back to to see who it was actually signing these documents and who was sitting behind the computer but anyway so I always download I always download these and so once these are checked off you hit download once you do this you're gonna see this down here okay what it does is it takes all these forms and pages and it puts them in a file with a little zipper on it so this is called a zip file what we want to do is once it's finished which it is it's completed once that blue circle fills in we're gonna double-click this and open it up so here are all of the documents that I just got signed and DocuSign and here is the summary so just to give you an idea of what this looks like if this is the certificate of completion and it's showing who was involved in this where and when they did it right here as soon as you open this up Adobe as well as a million other softwares will recognize this that this was digitally signed as soon as it recognizes that Adobe verifies it but from this point on it's not going to let you change anything so if you wanted to extract pages from this at this point you're gonna it's gonna just be a big pain that's why it gives you the option to download them like this if I had downloaded them all into one big file and then told my assistant to extract them tomorrow it would be a pain for her she'd have to print everything out it was ink use paper scan everything back in scan saved them separately so it's just nice when you go ahead and do right now so what we want to do once these have been downloaded is I go in here and I'm going to change the names of these so that I can have them nice and neatly organized so in order to do that I'm going to have to get these out of this zipped file right here can I need to save them into my property file so I'm going to go into where here is a where I keep my files so I'm going to go to my drive property in clients here's an arrow here's the house that she's trying to buy and this is where I want to save all these signed documents so I can send them over to the listing agent so to make my life easier and everybody else is easier for a minute I'm going in here and I'm gonna hit new folder I'm gonna say this is 20 to 10 you know ranch offer okay now we've got a folder I'm gonna grab these and dump these into this offer folder that and I'll show you why I do that the first thing I want to do is I want to click the first document hold down the shift button grab the last one so now I've got everything and I'm going to drag these over here and put them into the offer folder okay so this up here this doesn't matter anymore let's get rid of that and now we're working within my Google Drive so here's all of our offer documents I'm going to go in here and I'm going to rename each one [Applause] and I don't need all this so I'm going to call this mountain ranch third-party financing I shortened it to two TPS I put a number one because it only has one set of signatures which is the buyer signature this is the actual one before contract that has been signed by the buyer so I'm going to rename this one we don't have the seller signature on this yet so an offer here is the Atilla for ranch so the buyers are the only ones that sign this so I don't need to put a one or two it's just Mountain Ranch Atilla it's the ti LA here is the addendum that gives my buyers the right to terminate if the houses aren't raised so name is appraisal and one because these sellers haven't signed it yet now the mud when we received it it did have the seller signatures now it's got the buyers signatures so we're going to change the mud from having a one after it now it's going to have a treat now we know I better close this to limit change the name now we know this is complete it's got the buyer signatures and the sellers same for the HOA we're going to change this to a two and now when we're working in the office and I take a look at this I know this has two sets of signatures the pre-approval obviously doesn't need signatures but now we've got all of the documents to make an offer signed and ready to go once the easier we get these back signed by the seller then of course these will change and once you get used to doing this and it's very very it becomes much easier and faster obviously learning in this video is taking a while so I've already got a I've got the listing agents email address and just just some advice I know the listing agent always has their email in the system it's in the listing usually sometimes it's even in the and them agent remarks but I always always text the agent I tell them I'm sending an offer and I ask them what is the best email to send this to and at least fifty percent of the time a give me a different email and what's listed in the listing so in this situation especially I've got some buyers that are looking at a popular price point there's been several houses they've been interested in in multiple offer situations and I want to make sure that this offer finds its way to the listing agent and finds its place online so you don't want to send this and wait to a day or even two and then the listing agent sale I never got it that could be the difference between your client getting this house or not so just be proactive text the agent get in front of their face and say hey I'm sending you an offer what email did I send it to so I've already confirmed the email here I'm going to put green screener I always cut author in capital letters and then okay so I've written out a little something I usually go into more detail here but that would be for another video but for the sake of this video I'm going to show you how easy it is to attach all of these offer documents now that I've got the email prepped this zip file right here that came from DocuSign a little while ago that is not what we want to do and even if we did try to grab the zip file in and throw it into this email it wouldn't let us so we want to browse the PC I'm using Outlook you might use a different one you might be doing this for Gmail or something and I go in here to find these documents that I want to send to this listing agent this is how simple it is instead of digging around and a whole bunch of different PDF files and not knowing what to sin or having to send multiple versions of things you just go into this little offer folder where you saved everything nice and neat you're going to grab everything out so the summary that's just for my records I grab all of these and now we know that this listing agent is going to receive everything they're supposed to nothing more nothing less and then I'm going to go ahead and actually I'm going to copy my girls on here but then I'm going to go ahead and send it over and that's it and then same thing when we receive these documents back we'll have a video showing how to save those documents
