hey everybody I'm going to share with you how to create a thank-you list for your donors for perfectly for nonprofits that need to keep track of donations for a certain period of time and write thank-you letters so this is gonna involve QBO quickbooks online Microsoft Word and Microsoft Excel so let me go ahead and just prepare us for the correct report all right so if we go to the reports and then you'll be able to scroll down and you're looking for sales by donor summary now if you might see something else for example if you go to the gear and the menu up here the gear you can click on account and settings yours might say customers sales by customer summary it's just gonna depend on your settings under advanced and all the way towards the bottom you have the ability to select which kind of customer label would you like so the default customers but you might have members for example you want to write thank-you letters to your members ok alright so let's run that sales by donor summary it will give you a list of the customers donors members by particular amount so it's important you do cash ok because I make a difference and then select the date frame that you like for example you might want all of what happened last year another thing that you can do is you can click on customize select filter and you just might have an opportunity to filter it by class or filter it by certain programs if you recognize certain areas like that it might be a particular program that you're filtering it by you're trying to get that data set from their fundraising for example and so that would change the report to only calculate money that you receive from your donors with those particular products or services tied to stat or certain classes as well it might be an opportunity as well to select so once you carefully go through there and make sure you select the correct filters you could then run the report to grab the data set that you see there ok all right I am gonna go back how it was right just a second guy website we'll go back to sales by donors I just want to have more than one person when I do this Excel list here ok all right so we'll never get to say like that and then what we need to do next is we need to select the export command export to excel look at that Wow that's booting up here be my kick you might see there's no numbers here that's just for security reasons once you enable content will come through here okay all right unfortunately there's not a built-in QPR report that can share the address and the city and the state and the zip we're gonna have to kind of package it together to be able to do that so I'm going to return back to QBO and do another report we just basically want the donor addresses next so you will find that under the sales and customers donor contact list or customer contact list you'll be able to do that here you okay and then I recommend that you filter this list go to customize and come into the rows columns change columns and what you don't want is the billing address shipping address instead what you want will be the billing city the billing street and while I'm clicking these they're going up here by the way the billing zip state music okay last name first name perhaps if you want to sort okay so the donor phone numbers I'm not gonna grab that you can also drag these so that they go towards the end of the list this is basically the columns that we'll see here and I want to put first name here last name there okay see I think I have it all run reports there we go alright just like that so now I'm going to take this and select the little export button same thing Excel awesome okay so I've got this list here and now it's time to put them together so I'm going to switch back to my other report and I'll just go ahead and copy that here control C control tab and I'm going to put that insert a bunch of like rows here all right and that's what we have right there okay so now I'll just go ahead and just type amount donated and then here's my contact list so it's two separate lists I was trying to get it on one worksheet but I'll just go with this for right now and then I'm going to create the values here so I'll just type of mount died and will work with the vlookup okay so the vlookup does is I go to the formulas tab lookup and reference vlookup I lookup value so I'm gonna match the donor okay with the table here I'm on table around go down to mount donate I'll select these guys right here I'm gonna press f4 on a PC the absolute reference that just trust me that you want to do that on a Mac I think it's ctrl T column index numbers too because we're going over to to bring in two columns the second column of that table and then for range look at one type false so it can get the exact match all right so the ones with na just basically means that it didn't find a bills when shop serve here I found the diego 800 dillon 2003 to 500s let's look at that sure enough dill in 2000 and then that last one there so okay and then what we can do is you could possibly filter this even further by going to data tab and clicking on filter and possibly not showing the na s like that and you might just copy that into a new worksheet because that's what we need to prepare the actual letter in Microsoft Word okay so I'm gonna save this I'm going to make sure I call this mail merge I'm in Microsoft Word we go to what we're going to do is connect to the data source by clicking on mailings select recipients use existing lists from here just a matter of finding the records here okay I got a make sure I remember which worksheet it was is the mail merge and they just to verify connect to the correct worksheet we can go to edit recipient list this will show us all of the values that were brought in Dylan's missing a an address so that's one things you gotta make sure your QBO has it so we have we would need to refresh that site and you have to run through the system just a couple times to get that so that's kind of a pain if you don't have the correct addresses first we need to verify that ahead of time all right now that I'm in business I have these fields that I can work with so I just might you know if I have a company letterhead I'd have a variety of things I can select the address block I don't want to match fields if they didn't come in properly here and this will be billing Street billing city we're just going through I'm making sure I get these here there we go and that looks good okay then we would just write a little quick notes all right perhaps dear first name or full name whichever you prefer thank you for donation of and then when you get in spot where you'd like to bring it in just click on the field insert merge field and select the appropriate value here all right let's take a look at the results here pretty cool huh so when we're ready we go through the results analyze it edit it however you like and then when you're done edit to individual documents we'll create letters for each one now these are hard-coded right here so this is after the the merge is done so in the event that we came across somebody who is missing an address like here we could type that in here just on the fly if we wanted to and print those out awesome so again just a real quick recap this was done by creating two reports and linking them together using a vlookup inside of Excel we need to go to the reports you need to grab the donor or customer contact list or remember a contact list report as well as in the same category sales by donor summary once you get those connected a vlookup will identify the customer donor member name against their summaries of sales I hope you enjoyed this video for more tips and tricks check
