Send donor radio

in this video we will discuss gift records sending receipts and setting up pledges let's begin with gifts gift records can be added to your data in one of two ways first through the web pages the process for creating those pages is covered in a separate video the second is through the donor record and we'll cover that here gift records can be added manually through the donors record they can be credit card ACH or eft gifts or checks and cash to add a new gift click the donors tab at the top of the page and select the donor I'll click Edit to edit one that's already here at the top of the gift history section will click on add a new gift to create that gift first enter the amount and I'll just put in a 50 here next choose the type of gift credit card ACH or cash or check your selection here changes the fields below fill in the payment information that it's appropriate for this type of gift if you're selecting credit card or ACH you must click the button to validate the credit card or bank account and this simply runs the information through the system to verify that it's valid now select a letter this is really a letter body and it will appear in the receipt that you may or may not send later you can create letters by clicking the correspondence tab at the top of the page you could also have a different letter body for each gift if needed but most of the time you'll probably use a letter for a special project or a monthly letter next select the appeal and the fun code the appeal code tracks your fundraising efforts and the fun code tracks what you're raising the money for you can create codes by clicking the code tab at the top of the page you can apply this gift to a pledge if appropriate in the pledge field a pledge is a commitment to an ongoing donation that has been set up by the donor either through the website or manually by you if the donor has a pledge you'll see it in the drop-down field here and can select it to apply this gift toward the pledge you can also apply this gift as a tribute in memory of or in honor of select the type and enter the name of the person or pet below finally click Save to finish the process the credit card or ACH will now run at this point if you choose to send a receipt for this gift to the donor you can do that at the top of the gift record so let me open that again simply click the send a receipt button all receipts are emailed receipts the template for the receipt is predefined at this point the program will grab the letter body you have selected and plug it into the template and email the receipt now let's discuss pledges as mentioned earlier a pledge is an ongoing commitment and can be set up by the donor through the web page but you can add a pledge manually as well again we need to find the donor so I'll click the donors tab and I'm going to select that same donor here and choose edit and now I'll slide down to the pledges section and I can click add new or add pledge to add a new pledge I'm just going to go ahead and edit the one that's here first you'll enter a description this is for you and tells you what this pledge is about if the donor has more than one pledge this field is helpful because it lets you know at a glance which pledges which enter an appeal and a fun code when a gift is created from this play the program will use these in the gift record the clothes check box allows you to close the pledge when it's no longer valid as we'll see in a minute the payments for pledges can run automatically and closing the pledge will stop those auto payments enter the payment amount this is the amount that the donor will pay monthly annually etc if the pledge is for five dollars a month then you'll enter a five here the frequency field is just that how often the pledge will run or will be due so we can have special one-time pledge annually semi-annually every four months quarterly etc the start date is the beginning of the pledge if the donor has set up the pledge through the website the start date will be the day that they actually set up the pledge but you can change it to make it whatever you'd like the stop date is optional if you leave this field blank the pledge will go on indefinitely or until you close it if you do enter a stop date the pledge will stop on that date the next two fields relate to the pledges that will run automatically by credit card or ACH or eft let's take the day of the month first that is the day the credit card or ACH transaction will take place so you could enter the first the 15th etc choose basically any day that you want of the month the next transaction date is the actual date for the next transaction you can control when the transaction will run for example if a donor were to call and request that you skip a month you could move the transaction date ahead by one month when the credit card or ACH transaction runs the program will automatically bump the transaction date ahead to the next date based on the frequency if it's a monthly pledge it will move ahead one month if it's an annual pledge it'll move it ahead by one year etc automatic payments of pledges can be made by credit card or ACH check the box here either pay by ACH or eft as appropriate and then click the button to either add the bank account or the ACH information filing set the status for the pledge live means that the that this pledge will run on the next transaction date but you can change the setting if needed for example if a donor calls to ask you to temporarily stop the pledge you could put it on hold and the program will suspend the transaction until you return it again to live now click Submit to complete the pledge set up the transaction will run as scheduled and the program will create a gift record for each donor
