other names on there which which I recognize but yep people good friends on here so I'll be moderating except Ben's doing all the talking but what I will do though is just to keep the flow going if you do have any questions I'll answer the questions as we go on if there's anything that accountants what I'll try and do is I'll aggregate the questions and ask on your behalf at the end of the session if it's okay so doesn't explode and we don't lose any questions so Ben about me and a bit about way beyond so joined on this from newsletter though he sends out from Pine Point so High Point has merged with myriad or move it has taken an iBook depending on how you want to put it terms so we have now become one formidable unit for our key partner so bases training arm of course I'll be taking her from High Point we have consultants so we we we there's gonna be a lot of exciting things coming from myriad in the Manx sort of few months there's got a strong team of 20 people of strong consultants so we'll look out for us so what about me is Ben carry on now suppose we just just kick into the okay okay so right so we that was the introduction so what I want to start with is is just have a look at the evolution of reporting in in you for a RP it is now called you need to be calling it unit or ERP the good people in uniform get very stressed if recording anything other than that so Agresso the blue bull anything like that it's all gone I'm afraid and now it's unit for ERP which I guess from a search engine Bois Vieux makes an awful lot of sense we're going to look at information browsers and analyzer in practice and we can take any sort of questions and then questions rounding up on key messages there so that's that's that's pretty good and we've got the sort of stuff that harbor was talking about and a little bit about me for those who don't know you my name don't you know you but you might not know me my name is Ben Houghton I've got twenty odd years the business world I saw a unit for ER P I've got two boys and a border terrier this one here is called Darcy and this one here arrived last week and he's cool days so I'm talking to you at the moment from this shed with his Christmas tree lights on from the wonderful city just outside of birth and sort of around Chippenham area so that's all great so the evolution of unit four ELP from a reporting point if we have a look at this then way back in the Agresso days we were used to seeing what could browser templates they could create powerful and complex inquiries we could save those inquiries we could link inquiries we could do all sorts of things with that was good we all know the familiar sort of look in the in the desktop so you got a setup tab a search tab and a dear old results tab and that's all fairly fairly standard associated with that was a tool called analyzer which has little Sigma button in the in the menu and what that made me to do was take that data and to show it in different ways so we could have a crosstab a sort of a call-out folder type structure pie charts bar charts all of that that good good stuff then around this time unit four really realized that we needed to get out into the web and they needed a tool to reporting the web so at that time you were still writing browsers and indeed today you're still writing browsers in the desktop and then publishing them out to the web but there was also various reports that are available from within in the web itself so those were reports like this so a requisition workflow inquiry or an aged debt report that kind of simple thing was available within in the web those charts you could present in the web too and a very rudimentary chart setup which was a little bit cumbersome too to work out but once you got it sorted you could get some pretty pictures which you could then use which was great if you don't think of the evolution unit for then what came out with the idea of information pages and this in these information pages are basically grouping browser templates and other things together to try to create a dashboard so here we go we have a dashboard here with a report on a debt we've got the total total spy a debt that's a good position to be in I guess gone the wrong way I think I click the wrong thing here and then down here you can have some reports embedded within that okay so this is a dashboard and now we're going to look today the main thing is information browsers here so for girl of any information browsers then listen tables are actually write what looked like browser templates in the web so this is actually exclusively in the web so now we're creating reports in the web we're publishing in the reports in the web and we're sharing them in the web which is what information browser does linked with information browser is a new web analyzer now this new web analyzer is actually also available in the desktop this Web analyzer looks like this and this isn't this basically takes the results of our browser template web browser and then enables us to do cross tabs of different sorts of charts and all of that good stuff so here is a very simple report and that's sort of the basis of what we're going to be looking at so this is the main meat of the things I'm going to slow down a little bit now having done the introduction this is the information browser information browsers basically if you have the access in all of the modules you will see a reports folder and underneath there you'll see a create new report option okay so the create new report option is is a fairly of year starting point and what that enables to do is is to start creating a new report system administrators or anybody who has access access to the common module will have access to the same sort of thing but this is enables us to see reports or create reports when we click on that and which look across all of the modules so here these are all of the modules that we have that are available and then within a module the way this works is there were are what are called objects so I'm now currently looking at the accounting module and down on the left hand side yeah we've got this thing called general ledger transact as tax transactions as payment methods and all sorts of other good things that you might want to report on now those of us who use the the template browsers browser templates and if you've done anything in work for you're used to the phrase element types and broadly speaking these objects match to element types and their collections of data I'm not a techie if that offends somebody that's very technical on this course on this little thing I'm very sorry but I'm just trying to keep it fairly sort of light-hearted and not too techie so if we want to have a look at general ad transaction then you just simply click on general age of transactions to open up of that object so objects our system elements useful reporting in the web objects contain all the related information for a given product area such as suppliers or supplier groups and users of objects removes the need for any understanding of the Alai underlying data structure you don't need to understand the data tags terribly much to use this and that some extent was true within the browser templates it's you don't need to be a report writing wizard to be able to use this so if we're going to go and have a look at this we're going to go and create a a report then what we're going to do here is navigate back to where we were accounting Journal ledger transactions and we're going to double click on the object which is general ledger transactions if I click on that I get a screen which will be very familiar to people in in business world unit 4 Yawkey sorry this is the ABCs data so for general ledger transactions you can view whether they're registered posted or input as a scientist Oracle tables so generally for most day-to-day reporting is either registered a transaction that's been posted to the system but has not yet been approved or it's an approved transaction has been posted to the general ledger so that's the first sort of thing that we can we can work on and we can change most of the time we'll want to add a criteria so very helpfully there is an add criteria button just here just here and if I click on on that we get a little table like this and this is the equivalent of the add field function in the temp rouler templates here we have all of the the fields that are listed and the ability to choose whether we want to just recall or reuse the code or the text or indeed both of them it's just a case of going down through the list identifying those that we want to use and then clicking ok at the bottom there so here I've got account and period ok and I've got usual operators I've got like between greater than less than I've also got the enlist function and various other things that we are used to using ok also on the right hand side here I've got a down with Chevron and what that enables us to do is to is to say things like do we want to prompt for this so when I run this browser is it going to ask me for the period or not so what period of my interesting what account my interested in that kind sir is it mandatory so I have to have a value in here to make it macro make it to use it and then of course I've got this macro and the macro is things like that the prompt so dollar user so only show projects for this user only show GL transactions for the current period and that kind of thing so those all of those sorts of things were used to seeing in their browser template we can use user once we're happy with our selection then we can view the result by clicking the view results button at the bottom of the screen and like the results tab on the template we get the results I'm a simple Greek yeah okay I can do things here so I've got my my columns of data here and we can do things to rearrange columns and move things around it so if I go and click on account here so I clicked on account I can actually then use this to search for specific accounts within the data I can also use this to set up conditional formatting I could rename it so if I didn't want it to be called account if I wanted it to be called general ledger then I can do that or I can remove the column completely so there's a whole raft of options that I can I can do there if I want to sort things here I've got a sort of group option there if I click on that I get another table and this says select a column what we want to do the grouping form so if I click on that I want to go up on transaction type and I'm going to do sort in ascending order and I'm going to group by the name and I'm going to show this as collapsed so when we run this the result will be collapsed if we then see what that looks like this is what collapsed so it's subtotal level and that's what we see too is here a result for each of the transaction types that have hit the general ledger and I can add in more sort and group here I can then do carrying and account you really go to town on this and I have them some of them collapse and some of them expanded what I like to do is have the higher level ones when my first search is collapsed and my lower ones expanded it just seems to make more sense that way and then when we click through the record you can see that we've got the first line of subtotals then we've got subtotal apply period and then when I bring that out yeah I've got the detail okay so if if we then want to drill down to to the detail I've got the transaction number there if I click on on that transaction number I can then drill down into the individual detail behind the transaction and if there were an image that image would be displayed here so I could see all the way down from the if you think about this from the transaction type through to the period through to the individual transactions and then into the actual details of that transaction if we want to customize the results so that cost center - M so in here at the moment because Center isn't showing here and we want to add the cost center to report then this icon here is where we gain access to all of the rest of the fields similar to that when it's similar to the search bar when we look at your options so here if I click on that I get again a list of the tables that are all of the view that are available here and I can select here and I want to show the code and the text okay there is an arrow here the evil ID amongst you and that allows us to look at some sub tables for cost cents or so other danger and if we get time later on when we actually look at this for real if I remember I'll show you how how that that works but the moment I'm just trying to give you a really good overview within the time that we have been so we've selected those two options and we're going to click OK and that then brings a cost center back into the record okay so if I didn't want to have those there I could drag those so if I wanted to have that cost center on the left hand side I could just drag those columns over there and drop them wherever I wanted them to be for the moment we're going to leave those there because actually what we want to do is neat we've created this lovely report now and we wanted to save it so if I click on here and there is a Save button there and by clicking on on save it opens this window here which says ok what do we want to call this so we give it a name we can have the sort of buttons that we use doing they in the browser template so run automatically when opened so when somebody runs this report people automatically pull the result rather than open the report then you click search and then it goes on find results so I like to have run automatically when I opened already set in all of these here we go through the account through the menu structure and we're going to place this report in the shared file with an accountant and that's what we need to do there that's telling it that's where we need to resit to save the report if I click that there then once we route the system once we refresh the menu a new report will be presented unfortunately on the left hand side we do where we didn't show the accountant option because accountant is down here some sorry is down here somewhere but we are in accounting area within the reports within shared area there is our report that we've saved and if we run that report now it opens it runs the report and produces the video so that's the information browser in summary and that's sort of how to find it roughly how to use it and some of things you can do with it and then how to save a report one of those things you need to play with but it is really powerful and if we look here the main benefit is actually you can create really powerful browsers without really being too techie and you can then share those with your your colleagues and you can say even where you want them to be and what I want to talk about now is the next part of that so having produced a report we might they'll want to look at analyzer so the analyzer tool here going back to our browser that we just created this button here is the button that activates analyzer so here just called analyse so here if we click on that button there opens the analyze tool can you see that there is a breadcrumb here so this has gone from transaction windows to analyze it we've wanted to get back we can just use the break room to get back to them essentially the analyze tool has two two sides we've got a left hand side which enable those to state what data we want to use and the right hand side here here which is all about the presenting the data and that's what we're going to see in just now so in here if we go in and the first thing that we want to do is to select the data so I've only brought in the report one value one one column values and it's abound but if I had budgets or forecast those would be presented in here so at the moment I only have amount so I can just show the amount if we had budgets and forecasts you could choose to show them separately or you could choose to show them combined the next one sort of helpfully labeled to is is to state what do we want to spread those values own so if we want to spread those over cost Center then here we've got all of our cost centers and there we have all of the amounts very simple simple report but you get the idea if I want them to do account within cost Center so here is the cost Center there are the counts and those are the results okay so that's that is the account account within cost Center and drill downs sorry just lost my lost my flow so oh right sorry sorry this will be edited out of the recorded version and what we need to do here is get back to analyzer so can you see here in the breadcrumb it's going from here through analyze to information browser to present this to get back to analyze we just need to click on on that and that then takes us back to the tool so that we can do the next thing we can apply some further filtering here so here if I use this I can then say things like I just want to use specific accounts or look at specific cost centers and there are more in that particular list to do that you just literally highlight the ones that you're interested in and then you click OK so that's what I that's the data set that I'm interested in and you'll see that the table changes accord to get back out of this filtering option you just click the going back button which is there and that then takes you back to the 1 2 3 buttons ok and I've got my data set here with the filter on and we can add dimensions or field by using this field list as well so the field list there if I click on that and I've got a list of fields within the report that are available to me and I can realize I can drop those columns into the report here so if I click on that and drag in period then it's produced a period there with the results in by period which i think is really quite neat and you don't need you to be a reporting guru to make this work at the end of the day this is just a a it's just like a pivotal isn't it which we're all very familiar with and if we move on we can then group things here and change the different views across the topic so these things here I've got a different view so I can go chart view I can add in different levels or details so what I've got a peer sorry the chart and the account by using your drill down and I can do different sorts of searches here to refine the data and if I'm happy with it so I've got a picture that I I like what I want to keep I can save that too so if I click that I can give that a name and maybe a description and and if we click on that and that's then saved and when we come in again to have a look at this this browser you can see the saved searches just there and that's the the picture that we just used okay so I'm going to open this up and if anybody has any questions then now's the time for any questions before I go and have a look at the system for real if you've got any questions please submit yourself this one question that came in from Neal Ben earlier I think we've answered it right which was he can't see basically couldn't conceive it was missing reporting objects but it looks like a permissions issue so I think any given time system access and to the reporting objects and try that again I've just tested something on one of my machines over here to make sure that's the case yeah if you if you I'm just logging into here so if you go into interview just go into into system for a moment so I go into system administration okay in the access control there is a here called objects access and and that's what gives you access to the objects and that's what controls who who can see what and that's where where that level of control is okay these are all predefined access it's re predefined up objects and then predefined on it they don't usually find in any way these are all we these are all pretty funny you can do user-defined ones but we want to just keep it simple yeah that's a user-defined objects and those yours it works very much like the menu access sorry before thing goes on there's any other questions please take your cell phones off mute if you need to okay we'll code on the but there is a question so leezar see okay so you didn't see that Felicia yeah is it possible to share at the moment it isn't and one of the drawbacks with it when we come go because the next step of the evolution if you remember my evolution thing is is really workspaces which we're going to look at in a few weeks time I think and one of the drawbacks with information pages and then workspaces workspaces is that some of these reports that we create here in the information browser can't actually be published through those tools I'm sure they will be eventually because as we all migrate to be in the web they will have to be but at the moment if you you can't sort of share back to the desktop from you shared browser templates from the other way but you can't share back can you share these reports as private global yes you can when it but you see here these are shared and those are private so if you wanted to create a report that was for you yourself then you would put it in this this private folder and the shared thing worked very much like the browser template so yes by putting them in there you're potentially sharing them but the users with whom you want to share it have to have the right access to so by putting it something a reporting there doesn't necessarily mean you have shared it with somebody you will it's potentially available to be sharing somebody provided they have the right access which is very much the same that's what happens in in the desktop so that's great there's a few thing I just wanted to point out so when we did is if you've seen my screen let me just we go into [Music] reports so these reports here so we think common if I go into common and click on reports then from common I have this really I don't think I made clear in the presentation this is where I can see all of the specific modules and I can actually write a report from within common using any of these modules and any of these objects provided I have access to them within the other modules so for going to accounting for example there is going to be a reporting option in here and if I click on the reporting tool here create reports I am taking straight into the accounting option and if I wasn't logged in as a super user or a system administrator I would only be able to see accounting and I'd only be able to see the specific objects that I've been given access to so it's quite handy when I'm writing these I actually quite like to go into the module and then pick up the create report from there because I'm probably wanting to save the report within that area as well and I'm not quite sure if you have anybody from an HR background in you know but if we went in to the personnel then I've got a report option in here I've got a quick HR inquiry let's just have a quick look at this and so I got a name and I've got all sorts of things in here if I click the result then I've got a very simple simple table in here what if I wanted to do a account of people within this within this position well exactly the same as within the browser template there is if I click on here and there is there is expressions okay so if I click on expressions here this enables me to write expressions I am struggling a bit at this resolution so I'm just going to shoot and make it a bit smaller bigger so everything see so here I've got in this one plays the normal expressions and then the statistical expressions those of you used to the information browser the browser template these are two different tools in that environment here they're in in the same place it's great one we just click new and we've got to give it a name so if we just give it a name maybe like count and this could be head head count okay and the expression is just number one and I can do a running total if I wanted to I like has a tongue has a some sorry and I wanted to have a preferred some and if I click OK now hopefully what we will do here if we click on here is I've got this one here and I've got my head count there with one and I've got one person there but two people in there so that's a quick way of doing doing a head count so that you can you can do this is an obviously number of hates not your FTE okay and if I wanted to save that then I can just click quickly click save and exactly that like like the browser template it remembers where it was saved before I could make some changes here so I can say run automatically I could give it a different name here if I wanted to or if I wanted to overwrite it and just leave that there and I can click Save and that will then say that browser template if I want to remove a browser template then come into here and I can click on this and remove and that will will remove the browser from the inquiry okay and it's going to have a look at analyze to do that it is best to pick a report with some data in it so we're going see if we can find the report and I've got this one called and their lives test we've got a result here and it doesn't really matter as long as we've got some data in here like I said if there's two amounts in here we would be able to use those click on the analyze tool and this is the screen we saw previously okay so we want to start our analysis so I'm going to go in here and like before select amount so it's already so we're trying to build that and I can say okay all I want to perhaps do that by period and then perhaps I want to do it by account okay so we've got that within here look we can change and we can ascending or descending order and also we can filter things so I can say actually I just want to do though so I know I showed you the filter tool earlier but I'm just showing it also a vein in India I can kick back on that I like in clear the filter and click OK and away we go it back to to where we are can you see here this is page 1 of 55 and there's all these other pages going over to page 55 which is the last page that is controlled by this option here rows per page so if we click on that I could show all or five hundred hundred in the row whatever week we wanted to to have okay and if we scroll down here and we want to group by so let's say I want to group by the transaction type then that shown the different transaction types and this is the different amounts have been posted during those particular periods probably would have been better to do another view but you get the idea that the other way around so that period along the top and the transaction type there you get the idea and I can then toggle between these options here to present different types of graph some of them are a bit busy and with the amount of data that we've got in here so if we come into the filter button and I say actually I'm only interested in scopes for transaction types for any interesting these transaction types that should make it a little bit ok not a lot here but that you you see what we can do okay if I then go on this chart I get this it's all pretty good isn't it oh great one of my personal favorites is this one if this is going to work for me thanks not they've changed it although these were grayed out you used to this still used to be able to work in these area tracks the idea was was with these things have you seen them before the larger the square the like the bigger the significance for you so that's where you got there you've also got dials and things you can produce from this this data in terms of exporting the data we can put it out to excel we can edit with the chart settings and I can open this in it in a new window if that's what I wanted to do okay so if I want to say that we just clicked a button at the bottom there and that gives us an opportunity to just save the chart and retrieve it and another time if I wanted to clear all the filters and start again then I can do that and we can start again from the raw data and build it out okay so that is and I don't use a bread crumb to go back to the data I could have caused change the data in here and then start the analyzer tool again and but the intention here is just to show you that it really isn't that scary it's a really great tool to use it's just a question of playing with it and getting some data together and working with it and to create reports and you can see how easy is to save the record and and then to retrieve the reports and edit them take the report out to the analyze tool and see what you can get from from the system so with with that in mind and that I didn't really want to go over the hour we just want to use your sessions just a bit of a like relief to show you some functionality you may or may not be aware of and to give you an opportunity to see things and maybe ask some questions so are any more questions so there was a question Ben but it's not related that I've just just a question came in from Karina which was asking will the unit for screens be real able to unit for ERP as opposed to unit for business world I know an update v this little business well although just I know some of our team are actually on the unit for the update six demo as he speak so it's on a note out to the guys to sort of see if the screens have been Brendan real able to unit for ERP in the update 6 version no one's about to me yet if I don't have any different to about screen rafters you don't you don't know the answer question
