hey guys johnathan here with for the turf pros you know without a doubt one of the most requested videos I get is how do I send an estimate to a client and then how do I get client credit cards there seems to be some apprehensiveness or or uneasiness and having credit cards on file and how that whole system works and I totally get a man because I was there but in this video I'm going to show you exactly how us in the nest of it how I can get a credit card on file and how easy it is to do okay and before I get going and showing you how I do an estimate and then get the credit cards on file I want to tell you three major benefits of using credit cards on file okay the first major benefit to using credit cards on file as cash flow okay if you have already performed the work you need to be paid for that work as quickly as possible and the benefit of that is being able to use the money as you see fit as quickly as you need to okay if you're seeing an invoice at the end of 30 days and then waiting another 15 21 30 days to get paid from your client even if you get paid at all like you are just basically bottlenecking your business by restricting cash flow you know it's not right for you to be at the mercy of your client waiting to get paid okay you've already performed the work you deserve to be paid and the way you ensure that is by having a credit card on file for that client so first benefit cash flow okay the second benefit to having a credit card on file I have found that clients who put a credit card on file our great clients now it's not to say that if a client doesn't put a credit card on file or doesn't want to put a credit card on file that they're not a good person or they're not a good client I'm just saying the ones that do put credit cards on file they are absolutely fantastic client but anybody moving forward for the last two years they have got to put a credit card on file and I have noticed a drastic difference in the quality of the client okay so second reason is that you are going to get a fantastic client when clients put a credit card on top and the third reason guys is just out of necessity it is so you're simplifying your office work you know if you're having go through and manually send out invoices or manually a email invoices now it just creates a lot of work on your end it is so convenient to have a credit card on file that whenever you finish the job you literally click you click the done button I mean that's it you click that it was completed and then it queues it up to be billed alright you can build whatever you want we typically build a week after service on Mondays and what it does is guys it just simplifies so much of our office work ok I can do that myself within about 15 minutes I don't know what your invoicing process takes but you know having credit cards on file is a fantastic way to simplify that so again the three major benefits are cash flow if you're going to get a great client and number three it simplifies everything in your office ok so I hope that I've made you a believer at having credit cards on file or at least open your mind to the possibility of it so what I'm gonna do is next I'm gonna show you exactly how I go about doing an estimate how I send that to the client online and then they can put a credit card on file immediately ok all right hope y'all enjoy this let's jump into it ok guys we're here on the the site map of the yard look what I'm gonna do is I'm going to show you very quickly how I go about adding an estimate let's say you get a phone call but I add an estimate and then we're going to get a credit card on file from this customer ok it's very simple to do and just let me show you how easy it is to do ok you're come over here to a quick ad and then you're going to just go down here to estimate ok now if you already have your customer in for a loaded all you got to do is just click on this area right here and you can still scroll down and select your of your client but if you are just needing to add a new customer in let's say you get them on the phone what you're gonna do is just get right here to this plus button just how you quickly add a customer on the phone ok so I'm going to add myself alright let's just say I went ahead and populated everything in here okay okay so on you can see right here this is an estimate that is going to be pulled up and I have this already preloaded in the comment section so you can kind of look here and see you know what what I talked about in my estimates and then what we're gonna do is we're gonna go down here and you see this section right here that says lot measurements this is how we're going to do our estimate online okay so you come over here and click Add oops add and then it's going to pull up an aerial photo of the dress that you put in okay so this is my house all right and you uh nobody's show up at my doorstep asking for asking for advice eyeball my advice on YouTube guys alright so here it is what you gonna do is you're gonna just drop some pins but just tap it on the screen alright so check this out here here here here I got it go here here and then just drag these ones in here like this okay this doesn't have to be an exact science guys but you can kind of move it around until you get it you know pretty close and I have used a measuring wheel to confirm these measurements guys and and it's it is dead-on okay so this is just a rough X place of how this work so it basically just says that this total area that I've measured out if you look right over here is about 17,500 square foot now you can subtract the house out of here to pull the driveway and you can just really get an estimate of just the actual turf size but again I'm just I'm just showing you very quickly you know how we use this system to generate estimates without having to physically see every single property okay so you have your markers all set up and it shows you basically that it's a point four of an acre 17,500 square feet and you're gonna go down here and click Save and basically it just saves that estimate alright so what I would do is I would go to add an item grass-cutting we're gonna add grass-cutting to this invoice and for this size property it would be for me it would be about 49 bucks just because we have such good route density in these neighborhoods okay so you'll come down here and you'll see right here it says assessment is to provide it's the price per service and here's what it all includes weekly or bi-weekly options are available anyways guys I don't have to read you everything but that's basically how we do an estimate okay now what you're gonna do is is you're gonna go up here to actions and you are going to send to customer all right you gonna send it via email if you have a phone number that you collected from them which you should have you can send it to them text message but I found that email is the best way to do that and I'll show you why in a second so uh again you can kind of read down here you know what I populate into my estimates that I send out clients hi Jonathan it just it automatically will populate your clients name in there or your prospects name thanks for contacting us here's the estimate you're requested please correct me a click the approve estimate button now send you a link to begin service blah blah blah blah blah okay so what happens is guys whenever you send this invoice this gives the client the ability to just click the approval button right there online okay and it notifies you all right very very simple to do all right so you come in here click send and okay so here's what we're gonna look at don't be looking at my clients here okay so check this out you see this little icon right here see how this one's green down here at the bottom and this one's not that I just sent this right here tells me that this person this prospect has opened this estimate okay it's a very very neat feature so you can know exactly when you need to follow up with a phone call if they haven't opened it up yet you know there's no reason to follow up with a phone call but if you come in here you know maybe you know a few hours later or the next day and see okay they just open this thing you know that would be a great time if they haven't put the approve estimate button to immediately get on the phone follow up with them BAM you have a much higher chance of closing that cell if you're proactive okay it's a nice little trick right there okay you can see whenever they and guys it does this for invoices to okay okay so they click the approve estimate button and then what you're gonna do is this and let me get to the screen here okay and to quickly show you you know what it's going to look like see you up here whenever you open up the email this is exactly what it's going to look like okay this is the estimate that was sent okay this is the email that your client is going to get guys thanks for contacting us attach to the estimate your question to long macness you can view estimate this is how your clients going to view your estimate that you sent they can view it down here in a PDF file or they can view it online okay so you don't they can come here they're gonna hit a few estimate okay and this is basically what they're going to see right here guys all right the information in your comments grass-cutting and you can put the price or the the size of their lawn and all that stuff if you want i'm again this is the very elementary way to quickly show you how to do this that's all there is to it guys they look at this and they say all right that looks good these guys have good reviews they're hit here boom they hit approved they put in their name their email to confirm and then they hit the approve button and then you get an email on your end saying that this client has proved it that's when you send them the card old file link and guys I'll tell you this in the two full seasons that we have ran out the buck credit cards on file and I've went through hundreds of clients I'm sending this to I have had two in hundreds that have had anything to say about putting a credit card or filed negatively okay and if you scroll down to your client page you see this little button right here it says add credit card okay at credit card you click on it okay and what I'm going to do is is I'm going to send hard on file link so let's say your client has approved their estimate you're going to now you can take it over the phone guys but I've found that this is just the simplest quickest way to do it let them put in their own information you don't have to here's our card number you don't have to ever see their card number you just see the last four digits yours hit Send card on file link and it's going to prompt you to confirm so you would just check this little box right here and you're going to send your email okay and here's what I have populated okay again y'all can copy all this if you want but you know you know cuff try to come up with your own thing to you guys it's going to populate hi Jonathan you can add or update your card for billing under the store card
