In own and operate a small business and this has been great in helping to close more business. I was printing out large amounts of paperwork for the client to sign before we could start helping them with their business. The problem was that the client felt overwhelmed and would delay in signing it until they took it home and read all the paperwork. [Music] it's easy to send out documents for signature from docusign rooms you'll start from the envelopes tab if the term envelope is new to you think of it in terms of a fedex envelope instead of sending documents out individually you can put as many documents in the envelope as you need send them out all at once and receive them back all together to create an envelope select new in the top right first you'll name the envelope the name you enter here will not be seen by the customer so name it something easy for you to recognize best practice is to enter the type of document or packet you are sending out next you'll add a document by clicking room docs you can select documents already present in the room including pdfs and zip forms by clicking use a template you can pull in your docusign e-signature templates for both options use the radio buttons on the side to select the documents you want to send and click add selected by clicking more you are given the option to upload documents directly from your computer or from a cloud storage provider now let's add your recipients if you selected an e-signature template or zip form document the option pre-tagged roles will appear and you will want to select that one select the role and a recipient from the drop down then click add selected you can add room participants which includes anyone that has been invited to the room or is listed in the details page just select the radio buttons on the side and click add selected you can also add them by name and email address each of these recipients will be assigned a recipient action determined by the drop down menu on the right there are four recipient actions needs to sign means a field on the document needs their attention whether that's a signature initial or data field they need to fill out the recipient would still be considered a signer needs to view means the recipient must physically open up the envelope before it can be seen as a completed envelope or be routed out to any subsequent recipients receive a copy means the recipient will simply receive a copy of the document no interaction is needed specify recipient allows one recipient in the signing order to enter the name and email address for another recipient within the envelope on the other side of the recipient names you will see fields for numbers this is the routing order in which recipients receive the envelope when the numbers are the same this is called a parallel signing order meaning that all recipients will receive the envelope simultaneously and can sign in any order when the numbers are set sequentially this is called a sequential signing order this means one individual will have to sign the envelope before it is routed to the next recipient you can personalize the subject line and message body of the email that will go out containing the envelope this will go out to all recipients once everything here is set select next now docusign rooms will connect with docusign e-signature and open up a tagging screen where you will place information fields if you selected an e-signature template or zip form document certain fields should already be placed for your recipients you can use the recipient drop-down on the top left to match the recipients to their correct fields or edit the recipients further for every other kind of document you will set your own tags the recipient drop down in the top left can help you determine which signer is responsible for which fields indicated by color take the fields you need from the column on the left and drag them into the corresponding areas on the document once you are satisfied select send in the top right your envelope will then be sent off and will now be available to sign your envelope can be found under the envelopes tab with a colored status banner across the middle a blue banner indicates the envelope is still waiting on actions from others the green banner indicates the envelope actions have been completed and a red banner indicates further attention is requested all documents will still be available in the documents tab the completed document the original file as well as the signing certificate which is the legality behind the electronic signature
