hi welcome to the tenant file property management software the tenant file is an amazing program that puts you in control whether you're a property manager or whether you manage your own properties the tenant file will make your job much easier you can use the tenant file for managing single-family homes multifamily homes apartments homeowners associations many warehouses office buildings are basically any rental type of situation this get started and take a look at some of the features of the tenant file let's go ahead and get into a tenant by clicking on the tenant button this brings up your first tenant you've got all the tenants information on the top you can easily move to another tenant by clicking on the navigation buttons here you can go next previous jump to the last one jump to the first one you can find a tenant easily by clicking on the find button that'll give you a list of your tenants that you can pick from and it one or tenant to or you can find it by the owner name property name or unit address let's go ahead and select this address and it'll pull up the information about the rental unit plus it also pulls in the owner and the property and the tenant for that particular address you can see down here is the note space we're going to go ahead and click on the tenant and we want to see how this tenant has paid here are the tenant notes we're going to click on ledger and this is the accounting for the tenant we see that we've got the deposit charge the rent charge rent received and so this is your tenants payment history we can easily switch to the unit by clicking the tab at the top or we can click on the tree and we can find the unit that we want to switch to in this list and now by doing that it switched to the unit ledger because I clicked on the unit so the unit ledger is the owners accounting for this particular rental unit and this will have rent receive and management fees maintenance insurance payments anything that pertains to the owner if we want to print any of this information we can click on the print button and we can print a statement we can print what's in the ledger we can print any of the notes that are in there for any date range also I want to point out features that's this button right here this will keep track of all the interior exterior features that have to do with this particular rental unit there's four major categories interior exterior appliances in general and for each one of these there's 15 subcategories on the left-hand side here and you can easily set up default choices to make it easier to enter information now all of this information can be user edited so you can change these to say whatever you want and these as well as the default choices plus for each rental unit you can also have an image and as a matter of fact you can have an unlimited number of images attached to each one of your rental units and you set one of those to be your default choice so that you see when you first get into that unit besides images you can also attach documents and other types of information to that unit I'm going to go ahead and click here and exit and let's take a look at some of the report features when you click on reports you just simply choose your report type owner reports 10 or reports so on so if you want to run a tenant report let's say we want to run a statement for the tenant you just click on the report you want and then print report and this will bring up a statement that you can send out to the tenant there are several choices here there's also a tenant statement where you can add a note it'll ask you what note that you want to use you set a default note and when you print this report you can have a note to each of your tenants plus it'll have their ledger payment history at the bottom of the report now click owner reports just pick one of these and it's easy to create and print out reports that you can send to your owners there's a lot of choices there all kinds of reports for your owners also the owner reports and the tenant reports you can email rather than printing them out on your printer and all the financial reports you set a starting and ending date range so you can put any date range that you want the entire year the quarter are a month or a week let's go ahead and take a look at a very special type of report this is a user-defined report basically with this report you just pick what information that you want so let's say I want to create a report that's sorted by a unit address I want to put in the tenants first and last name then it's phone number their rent amount and the tenants current balance so I click start and based on what I've clicked it prints the report sorted by the unit has all the other other information that I requested another thing that sets the tenant file apart is the ability to quickly post your information it has quite a few built-in automated posting features most of the tedious chores such as charging ran to your tenants posting tenant and owner income writing checks paying vendors or paying owners all of these are automated let's go ahead and take a look at some of the things that you would normally do throughout the month the first thing that you would do is to charge rent to your tenant so I'm going to click on the post rent button when I click I want to charge rent to all of my tenants put in the date that I want to use let's say June 1st and click on charge rent to tenants now it gives you a message telling you what it's about to do and then does all the rents it's that easy no matter how many tenants you have it just takes a few seconds it goes through and post everything to the ledgers for you and now I want to credit the rent income let's say it's the fifth of the month and just about everybody's paid so I click on the same button I click on I want to post rent income I want to post it from all my tenants I wanted to automatically calculate management fees to charge to the owner I could create a bank deposit I could create a check to myself so I'm going to go ahead and put in the same date that I used for the charge continue and this simply lists all of your rental units in whatever order that you choose and what you see in white those are the areas that you can edit if you want to sometimes you don't need to edit anything you can just click begin posting now but let's say that this tenant here only paid $700 rent instead of 800 you just make the change click on another row to save it and it's art it's changed it it's also changed what it's going to post for the management fee or if they didn't pay rent you can simply put in a zero so let's say we're ready we just click begin posting now it's gone into all of the ledgers and posted the rent income we can take a quick look at that go to tenants go to ledger and here's the charge and here's the rent that we just posted another thing that we might want to do is to post any vendor payments and that would be any recurring monthly payments that you might have like a mortgage payment or an insurance payment that needs to be charged to the properties that's very simple we can just click on vendors we've already got quite a few vendors set up and you can see in this column here if they have a Y that means you've set up automatic payments for that vendor so those are easy to set up it's through the add/edit payments button just fills in what you want to charge let's say we've already done that we wanted to do our monthly charge we go to activities vendors make vendor payments put in the date that we want to use and then click start and it's saying it's our ready created the checks so those are sitting in the check file waiting to be printed let's take a look at that check file here's clicking on checks and deposits these are all the checks that are waiting to be printed here's I jump to last so here's the vendor checks that we just paid there was quite a few and it already created the checks and you can see every every check shows you the detail at the top is a check itself and at the bottom is the address that it was posted to the amount and what the account was so let's take a look at the register really quickly this is really the same information but it's in a register format so you can check on your bank balance at any time here's the register there's the balance now the last thing that you'll do at the end of the month is pay your owners you just simply click on the pay owners button the amount to pay is in red create checks to owners now and now you've added the owner checks into the checks to pay again we'll go back into that go to last and these are the checks to the owners that it added to it now if you want some help keeping track of what you've done so far this month you can always use the monthly checklist which is right here and this enables you to as you go along you can click off what you've done and you'll know what you need to do next time you get into the program lastly the tenant file has powerful features that you can't find any other software anywhere near the price it comes with the ability to be shared over a network
