good day and welcome to this tutorial that will show you how to use the EZ sign so the electronic signature in easy max so the first thing that we'll do is we'll go into easy max on your home page so we'll be using Benoit bellflowers account the broker in our example in our example the documents that we want the clients to sign are the brokerage contract and the sellers declaration so we'll have those two documents signed through ez sign so the first thing that we need to do is to go into the EZ sign icon here in your main menu if you don't have it in your main menu you can contact your agency to activate ez sign or you can contact directly ez time to have the unlimited package with us so I would click here we are taking you to all your ez signed files so we see that how the sent files have the ones that's already been signed and the archived one what I want to do today is create a new file so I'll press new file here I have to give a name to the file the important thing is that your client understand what file you're talking about so I think that in a case of a broken contract the best thing is probably to give the name is the address of the property you also have to give an expiry date what will happen is after that expiry date it will be impossible to sign the documents so past that date if someone didn't sign and changes mind wants to sign well it's too late so the name of the first signatory will be Judith Law our language is important so does she speak French or English will say that she speaks English so that way we'll send her all the instructions to sign a document in English or email address this one here so you'll see that I'll be using the same email addresses for my client because I have to receive all the notifications but in real life you'll be using your clients email address and their phone number so what we do here is what we call double identification so to be sure that we are talking to Judith we will send her an email at this address and when she will click on the link to sign the document she will also receive on our phone number four-digit NIP code so this will be a secret code that she'll have to put in and then that the people I find with recently I could come in select them here I can also search on the office brokers so if I would want to add an office broker I could do it do it I can also do a search signatories so all as soon as I enter as a signatory in the system I can always go back and search for that person in my case I'll go on my team if I would have other brokers in my team they would all be here but then wise alone in this team so we're just gonna select him and add Benoit so all the signatory have been added now what I have to do is I have to go and select the documents that I want to be sung by doing this I'm going to search through my files and then I know I'm in a good file I'm in the goods I want to select the exclusive brokerage contract here and open it so the name is okay and I'm just going to add the document then I'm going to we'll select as well my sellers declaration so as soon as my brokerage contract is added I'll be able to add also my sellers declaration so to and my documents I have to put the places where I need signatures on the documents so in order to do that hmm I can either click on the name of the document or click on the pen with the plus here so I'll click here and the document will open so as you will see my document is blind because this is an example but you'll have to put a document with all the informations obviously we are asking you here to verify that your document has been imported successfully and that it is conformed so yeah I see that everything is fine the signature is on my brokerage contract go at the end of the document at the bottom here so I need to put my signature while the brokers signature and the sellers signatures if I come here I see that I have my 3 signatories that are there so I'll start with Benoit and I'll click on the button add a signature and the the box will be added in the middle of the document so I can click on it and place it where I want it to go so Benoit will be signing here we'll be clicking in that box and signing here on the line I also want Benoit to tell us the city where he is when he signs so I'm gonna click again on add a signature and I'm going to bring it to this signed in if you click here on the tool the menu actually the type of signatures the name what I want is the city where it's been sung so signature city and then Benoit will be able to click put write down his city and then click to sign I will do the same thing with my sellers so I'll start with Judith I'll add a signature so Judith will be signing here and she also has to enter the city shears in when she signs so I'm gonna put here and I'm gonna click on the menu and say that I want the city of the signature here and finally I'll do the same thing with John I'll add a signature I'll drag it down here and I'll add another box here so I can put so John can enter the city he is in when he signs so now all my boxes are here mmm it takes a little while to take to put all these boxes one at a time so what we did is we loaded templates so what I'm gonna do is I'm going to click here on delete all signatures gonna say yes and instead of manually adding all the the fields like we just did we're gonna load a template so I'm gonna go in the English templates and I'm gonna select an exclusive brokerage contracts sale now I have to say the broker so I'd only have one broker so the broker has been locked and then I have to say who the sellers are so Judith will be the first seller and here the seller number two will be John and I will just click Submit and the all the boxes all the signature fields up and add it automatically so we loaded all the templates of the mandatory forms from Louis ik so every time you're using a form and the way sig form you'll be able to use the templates if you want to submit and preview if you want to see what it will look like once it's signed you can click here submit then preview and we will show you what the document will look like once it will be signed of course this is not a signature you can always it's only a preview so you can only see what it will look like once it's signed if I'm okay with that I can close my tab and I'm just gonna go back we're gonna see that all the boxes are there I'm just gonna submit and I'm gonna do the same thing with my declarations by the sellers I'm gonna come and add the signatures what I'm gonna do now is I'm gonna load the template right away so yes it is compliant I'm going to load the template I'm gonna go in English and I'm gonna select the declaration by the seller I have seller number one Judith and seller number two John and I'm gonna submit if I want I can come down here and make sure that the boxes admin add it to the right place and then I just need to submit now I'm ready to send the documents for signature so if I click here send documents the system will ask me to confirm so for the exclusive brokers contract Judith will have two signatures actually it's two fields so she has to put her city and then click to sign John also has to to feel - to - to fill out and burn one as well and for my declaration by the seller John and Judith both have two fields to fill out I can if I want put in a personal message here so it is optional but if I want I can come here and put the personal message but we do give instructions to the people that are signing the documents so it is not mandatory to do it here the first time that I will send a documents of course all the boxes will be ticked what we are telling you here is select the Singh Ataris to which you automatically applied we still have zero signatures to do manually so you will be redirected to your file so I say okay so now we are back in our file and we see that we have the status of the signatures down here that have been added so I see the number of signatures that I've been obtained and that versus the number of signatures that are required and I see the progress here once a document will be find so if we go in a signed document let's say that we go in this one here so one it's complete I see the progress as complete can I see here the document so I can see the document the brokerage contract now it was in French but I can see the documents and I also have the electronic proof of that document that was signed if I click on that document here and I say that I want to open it the document will open in Adobe so as you see I'm not an easy sign anymore easy max I will be in Adobe Reader so I'll be able to go down and look at the signatures so now this is another file it's not the file that we just signed because our it's not complete the one that is only partially fine so I went in another file to see what it looks like if I click on the validate signature when you receive an electronic signature you can validate it directly in Adobe so you have here the properties of the signature if you want to see the certificate and you have tons of information that is directly integrated into your electronic document and if I want to verify that signature here I can click on every specific signature to add all the information that I'm looking for so every time you receive an electronic document you should be able to read it in Adobe Reader and be able to click on the signature to validate the signatures that you have you also have here the proof so the electronic evidences so if I click on that and I open it you'll see that actually the electronic evidences is a zip so it's not only one document it's different it's really a file but if I click here on the PDF that we've created I could consult that specific document and see this is all the trace the IP the pages that were consulted and all the information about the electronic signature so this is edition information that we do keep in the system with your document what you can do once your document is complete is eventually you have to send it into your files so you'll have to send it into your easy max so if I say copy documents in EDM I'm gonna select the documents that I want to copy so let's say it's a brokerage contract and the vendors declaration and then I'm gonna say in which listing I want to send it to so let's say it's 21 in that case and I just need to say copy and then what happens is if I close this and I go in my listings files I'm gonna see in my listing in my documents that the brokerage contract and the vendors declarations have been added to my documents on file I still need to come here and say what type of document it is so the system doesn't know what it is automatically so I need to come here and say what type of document it is in my system and then those two documents will be kept in your EDM so in your electronic document management EDM will be
