started i have a feeling we'll probably have some people bouncing in throughout i know you guys those counselors are always so busy so i just appreciate you taking a few minutes to jump in and hopefully answer some of your questions or give you some tips i i guess what i'll do to start off is to say first of all thank you for being here and thank you for all of your team efforts in this crazy time where we're all facing together and reinventing education and how we service students through education this time so a big big thank you to all of you guys um for those of you who don't know me i'm amy leary i'm the executive director of the montana post-secondary educational opportunities council in a nutshell i work with all of your high schools and all of you almost all 300 counselors in the state and then also all 25 colleges and all of the 100 plus admissions and new student services folks all helping everybody work together to help students and if in the last 16 years of me doing this if there's ever been a time that we need to work together it's it's now and i know we're all exhausted and and we're all trying to do the best we can i just want you to know as we start this fall out not just with this virtual college fair but in general if there's a way that we as mopsa can help you or if you have ideas that are different but you think would help students better in this time please know our door is open we're here to help you um i know by us all working together we'll be able to help students more so thank you guys just to kick us off i always got to thank you because you guys really are the magic men and women around the state helping students and i really appreciate all you do so with that what we're going to do today is i'm going to try and walk through and show you what we put together for the virtual college fair plan that's coming up next week i want to be honest with you as you guys all know this is new for all of us and we are reinventing this too so we're learning as we go and i really appreciate your understanding and grace and patience as we might not have all the answers either what we're trying to do is is still offer this service in some fashion and we're excited about having this option even though we know we're still learning so with that said i'm going to try to answer some questions today if there are questions that don't get answered in a nutshell this is fair for you guys to try and offer students the service of knowing their options after high school if you think of something that i haven't presented or if there's a question that we don't really know the answer do the best you can however you think is going to serve us the best in this time and we'll learn and we'll grow together in this so with that um let me share my screen i am going to share my screen and show you a few things today because i know sometimes it's just it's easier if i can show you what's going on and then of course i'm going to let you guys ask some questions and we'll process together what i will say is you're welcome to post in the chat function questions that i'm going to try and get to and i also want to introduce another person on the line in just a minute who's going to help us with those questions but i want you to know you can post those questions throughout while i'm presenting so we don't miss any of your questions and then we're gonna try and answer some of the most common questions being asked and then by the end i'm gonna stay on the call for anybody who wants to hang out and just talk want to introduce you to carissa chris are you out there hello hi everybody hi everyone so this is carissa she's one of our team members who's going to help us today with the chat so while we're going through again she'll be kind of looking through and and trying to answer questions and collect the most common questions but let me give you an overview of what we have for the montana virtual fair so i've been sending you emails hopefully you're getting those and i apologize that they're more than usual i'm usually i'm pretty careful about how many i send you in this time i am sending you a few more because i would rather you have options and ideas to play with versus nothing so i apologize that there are a little more emails than usual from me um feel free to disregard what's not important to you but what i would say is in those emails if you looked at any of the emails there's links to a special counselor pan cla planning page on our website and that's at montanacolleges.com forward slash virtual once you click that link it brings you to this page and this is your special counselor page to help you with the planning for this um and i'm going to walk through of some of what's on here again it's linked in all those emails and it's a page you're going to want to keep checking back even throughout next week if glitches or something happen that we don't foresee i'm going to be of course sending you emails and updates but i'll also post it here so this is a good place to check back to if you have questions or having challenges or anything it's gonna be a good reference point so first off how it works is basically it's a virtual fair in the essence that we've tried to create a platform that looks like a real live fair as much as we could in this virtual world we over the summer have been looking at many different options and we were really excited to team with a technology company called visit days that has done national virtual programming for colleges and now nationally at a large scale through knack ack um and so we were excited to have one that was reliable that was safe for students to use and that's what we're using and i'm going to show you hopefully you guys have had a chance to log in and take a quick look at it already but i'm going to talk to you a little bit about that as well today so let's talk about what it looks like as far as how it works for students is they're first of all going to have to go in and register it's free for students it's free for counselors it's also free for parents and i would say that's one of the best benefits of this event being virtual is with our live college fairs it's usually in the school day and parents can't attend what we would encourage you as counselors is this is a great new opportunity to get parents involved for free and attend any of these sessions too so they can log in and create a profile attend any of these sessions all week long as well so what you're going to see when you go to the registration page is a login like this i sent you an email just the other day saying that we added some special security due to making sure that only our montana students in montana attendees are attending this especially for us um so that you do have to put in the code montana 2020 that's on all of the pages so hopefully it makes it easy for everyone but that is a question that has come up so make sure you're having students put in the code of montana 2020 that will connect them to our fair event they click on this registration button on our home page you guys got those cards that i mailed you in the mail um you should have got them gosh a week and a half ago now and those are the cards you can pass out to students so they know to just go to montanacolleges.com click this orange button they'll get taken to the fair and they can register for the fair from there it's going to take them into the platform and i'm going to walk you through and show you how the platform looks in just a minute but i want to share a few things with you as counselors first because i know outside of getting students registered the next question is how are you doing this within your school day normally you guys would just not just because it's a big effort you would register get on the bus bring them to the fair and then go home right and we know that's anywhere from two to four hours or maybe even a full day event for you out of class now with this virtual event it's requiring you guys to do more of the work to host it within your school day or within your plan and we realize that that's a big ask and so what i will say as we start to talk about schedules and some ideas this is again we've offered a week-long event for you to utilize it in any way possible we were when we first started brainstorming this we talked about doing one day event and we quickly heard back from counselors saying oh we don't have schools that day that's not our covid plan and so we quickly realized we were going to have to offer a week-long event that allowed each of you to pick your own plan that would still offer you the service without scheduling issues so that's why we have a week-long event that's why we have a lot of options what i will say right off the bat is you do not have to nor would i recommend doing the whole week event i would encourage you guys i'm going to give you some recommendation recommendations now is pick spots of time if your school is willing to work with it where you will let students get out of class to participate in some of this as their fair experience where they get that quick touch of maybe six to eight colleges and then promote the rest of the week for students to run with it on their own so if they want to attend any more sessions in the week outside of what you guys are doing they can do that on their own so that's what i would recommend again whatever you guys think is best that's what this is for so let me walk you through a couple couple next things as you prepare for planning your schedule so first off if you have any technical issues we do have the team at visit days available to you and this is linked again on this confirmation page jose is our specific contact and then the general support line is there that if you're having any technical issues and can't reach me reach out to the tech team first see if they can help you if you're having some technical issues because they're really great on that so that's a great recommendation for technical issues obviously we are in the counselor webinar right now um also in this page you're gonna see that there's a video that iris specially recorded for you as counselors i know many of you have already watched it because i sent it out last week if you haven't looked at this you might want to take a look at it after today as well it does give you some tips in addition to what we're talking about today i'm not going to show it today but if you want to look at it it's there if you don't want to watch the whole video i did break it down so you can see what topics are in the 30 minutes that are there so let's talk more about schedule because this is what the questions i'm getting from most of you right now is how do i plan for this week now some of you on the call today might have already created a plan i would say run with it don't go back and reinvent if you already have a plan and it's working go with it but for those of you who are still trying to wrap your mind around how this can work for students that's why i'm doing this call today is to try and help you so the first question i'm getting is how do we start off the week on that monday with those intro snapshot sessions how does that work so let me explain and again for those of you who want to look more take a look at the the confirmation page because i've updated it with more information here than you probably need but it talks about what monday looks like but in a nutshell what we wanted to do was to kick off the week with an opportunity for students to get a quick look at all 108 plus colleges universities military branches that are attending this event and we realized that asking a student to attend 30-minute sessions before they even knew who was part of the event was going to be a challenge so that's what monday is for monday is a day where we are this week recording with all the colleges who and universities who are attending we're recording group sessions by category so for instance montana four-year schools will all be in a 30-minute session giving you a one-minute spiel about each of the institutions then we're going to do a 30-minute session with the two-year campuses in montana the tribal colleges washington and idaho schools there'll be one for oregon schools there'll be one so basically by the end it comes out to if you scroll down on this page it comes out to about 10 sessions that are broken into groups that have those specific colleges attending the whole week in those quick little sessions so what could you do as a counselor well first off we're recording those this week i will have those ready by sunday for first thing monday morning for you guys to go in and share them with your students in a multitude of ways you could just share it with your students the link and say hey watch these on your own or you could schedule some time in the afternoon on monday where you reserve a room or the gym or some big space where students could choose to come and watch these 30 minute sessions as they would like now i had a counselor say to me well i don't want to show all 10 of them i'm going to only show six of them and then i'll let students watch the ones i don't think that are as common for on their own and i'll share the links again however you want to do this you can do it i also had some counselors say well i'm gonna i'm gonna show a couple sessions on monday a couple sessions on tuesday and a couple sessions on wednesday throughout the week you can do it that way too again these are pre-recorded as a way for students to get a quick touch of who's at this event and then go into picking their 30-minute sessions so that's kind of the snapshot sessions if you want to see specifically which colleges are in each group come to this section and you can click see the file link here below for the colleges in each group if you click it you'll see exactly who which colleges are going to be presenting in each of those videos so you can take a look at that if you want to decide how you'd want to utilize that so i think that gives you an overview of the intro day i will tell you that a lot of the colleges have are also going to be offering some just general live sessions during this block of time where students can just pop in and ask questions so let's say they watch the four-year group montana college group session and they get really excited and want to chat with one of the colleges they can go on the virtual platform and look if the colleges are hosting some live chat sessions during this time and talk with them that day too so you will see some sessions offered on monday for sure in conjunction with these pre-recorded sessions so that's live that's the live snapshot sessions on monday if you have any questions feel free to post them in the chat i'm going to come back i'm going to keep going and talking about schedule for a minute and then we'll open it up and kind of do a review of questions that are being posted if there are any um so that's the monday plan let's talk about the rest of the week and what how i would recommend or some tips on how you might utilize the schedule to the best of your ability basically we have over 108 plus different colleges universities and agencies which in a short time we're feeling really lucky that we were able to get that many colleges and military branches and universities together to connect the students so we're really grateful to all the colleges and universities and agencies who have come together to make this happen um in that right now i was just checking the page we have 376 live sessions in the entire week that students can pick from that's a lot so basically let me show you how to navigate that and what that means for you as a counselor and planning for this so what we did is to try and make this easy for you as counselors instead of just having this open schedule with random sessions all over the place who knows when colleges were offering sessions we wanted to create some priority live sessions that would allow you to block some time in your school day where students could basically be guaranteed to catch every college in a chunk of time and in one day if you wanted to so what did we do we basically on tuesday wednesday and thursday blocked off some priority times during the school day that we pre-scheduled all 108 colleges to present during that time what that means is basically on tuesday from 9 to 11 and 2 to 4 and then wednesday from 9 to 11 2 to 4 and then thursday from 10 a.m to 12 p.m and 1 to 3 p.m on each one of those days all 108 colleges are guaranteed to have one presentation time within those two blocks during the school day so what does that mean if you as a counselor wanted to pick just one day to promote the fair and let your students go to these sessions from 9 to 11 and 2 to 4 they could attend up to eight thirty minute live sessions so eight colleges they could connect with and get that fair experience in just those two blocks of times on one day and then the rest of the week you could just say hey do this on your own there's a lot of other sessions when you have time attend when you want so you could just pick tuesday wednesday or thursday as just one day to catch all the colleges that alone would be a nice kind of just kickoff to get students into this event like a fair but again if you have other ideas run with it however you want these scheduled sessions are linked here so if you click this link you're going to see all the colleges who are presenting in the times they're presenting on tuesday and then there's wednesday if you keep scrolling there's a windows wednesday schedule and on the thursday schedule so why this is nice is you as counselors could print out this page post it up and say students pick your four sessions from nine to eleven then you can pick your sessions from two to four and make again their 30 minute sessions so realistically within that those two hour blocks of times they could attend four college sessions if they wanted to so again that's food for thought it's however you want to run with it the second option is basically you could just go to our virtual platform and have students pick their sessions just from the platform those 370 some platform you could just have students do that on their own or create your own schedule however you want that too so i'm going to show you the platform in just a moment but with that i'm going to pause for a minute and just see what questions we have and then we'll hop in and look at the platform i'll show you what it looks like and answer a few other final questions before we go today but chris what questions we have so far we only have one question and that is uh will all the monday sessions be open all day or are they set times oh so the monday session again these are pre-recorded videos that will be linked on this page and also on our mopsock montana post-secondary educational opportunities council profile in the platform so you could schedule those pre-recorded videos however you want the sessions that i mentioned that colleges are offering on this day they're random we basically said if if you as a college want to offer just some quick chat sessions during this block of time while while students are looking at these snapshot videos you can and so how you're going to find that out is when we talked about going to the virtual platform and just looking at all the live sessions that's what you'll do and i'll show you you can sort by monday you can sort by times and see who's offering sessions so i'll show you that so hopefully that answered the question but i'll show you in the platform how that looks too any other questions nope okay okay so let me show you what the platform looks like so if you click this link it takes you to this page which is basically the virtual fair and so how it works is in a nutshell this is where all the colleges are listed you can see we have 108 colleges universities military branches i will just state right now that you can see that there are some blue profiles still being worked on this is the preparatory week so we wanted to get you guys in and registered and let students start registering and checking this out so it wasn't the shock on monday but the colleges are also finishing up their profiles so even though you see 108 colleges that we might have another one or two ad when we get into the live sessions you're going to see like i said we had 376 but they're still adding some so it's changing this week so if you're having students in there right now let them know that they're going to want to check back as we get closer to the event and definitely by monday everything's solid so they can start going in and scheduling things but no things are going to change a little bit so this is basically how it works let's say a student's interested in bismarck state university if they click on the profile you see obviously a cover picture a little blurb about the campus let me tell you how the fair exchange works and this is important because part of the fair experience is that a student goes and picks the places they're most interested in and then the college or university or training program gets to then contact them after the event and share more information and connect with them from there how does that exchange happen well as a student registers for the fair that data then gets transferred over to any college that they interact in one of five ways so the first option is if a student registers for one of these upcoming live session events so for example if a student goes in and says oh i want to attend this exploring energy oops i gotta log in let me show you how it looks so this is like what a student would do they would log in and once they are logged in go back to bismarck state and go and sign up for that session i click on the session it tells when it's being offered tells a little bit about the session it tells who's offering the session there's also these linked brochures that this session's connected so a student could get some preliminary information before the session and if a student decides i really want to attend this or you as a counselor want to attend this you just click remind me and that goes up into the students dashboard up here which shows my schedule for the event so i obviously have been kind of playing around in here i already have a schedule of all the sessions i'm supposed to go to that gets saved in my schedule so a student has this every student will have their own little saved schedule they also have an opportunity to favorite colleges so the colleges that they're they love they can favorite and that stays in their favorites videos that kind of thing um but yeah let's go back to the fair that's basically the student dashboard or you as the counselor dashboard that tracks everything you want to keep track of uh let me get back to the fair screen for you okay so i signed up for this session this then will auto remind me the moment that i sign up i'm going to get an email and i'm going to get a text message with the information about this event saying i signed up and then up until the moment the event is happening you'll get reminders the student will get a reminder with a link to join so it's super easy um really nice dynamic reminding system is what we were really looking for with a platform and we're excited that visit days and heydays offer that so you don't have to do anything as counselors it's all done through their email and text messaging system to remind them to go to the sessions uh so let's go back so we now signed up for this session now i signed up for that session this college then gets my data and information and that's where the exchange of data happens so that the college gets information there's other ways that a college can also get their information and that's by when a student watches any of their pre-loaded videos that are here or if a student likes their profile or if a student wants to schedule this last option which is schedule a meeting and i've talked a little bit about this in my emails but let me explain so basically schedule a meeting how it works is if you click on it if the college has put in availability where a student could meet one on one with them in 15 to 20 minute increments they can click on this schedule a meeting and it will pop up times that they can choose from so let's say a student thinks oh i'd like to meet with bismarck on wednesday and the times that are available with amber are this you can just schedule it and again it goes right back up into your schedule and they get all those auto email and text messaging to remind them of those sessions when they come up so that is the overview of how the fair experience works how students exchange data with colleges so that colleges can connect with them afterwards um is through those functions so what you're going to want to share with students is of course those four steps attend a live session watch videos on their on their profile schedule a meeting and or like their profile those are the ways that then the college will know to reach out and give them more information after today so that's the fair exchange uh so let's talk about a few other things in this platform and again you guys are welcome to play around with this too i encourage you as counselors to attend any sessions i'm going to talk about in a minute that one nice option of this virtual affair is we have been able to bring together some amazing agencies to offer some really good resources for you guys and i'm going to talk about that a little more um and some some some prizes and incentives and prizes and things for you guys so i'll talk about that in a minute but i want to show you a couple other things on the platform just to give you an idea so if students are asking you questions is one other feature that we like with liked with this platform is there's a really nice search model and so you'll see that there's the search option on the side where you can search by state if you wanted to um you could type in let's say i want to know let's say i want to know the california schools well we have just one california school but let's say we wanted to go to i don't know let's look at oregon you could look at all the oregon schools so again this is ways that you can just quickly sort through find which profiles and campuses are represented in this fair through this search model you can search by majors which programs have accounting which ones have this or that and it'll bring up the colleges that fit the the search private or public bachelor's associates house site what's the size of the college uh those kind of things are all ways to kind of quickly sort through these 108 colleges um that are here you can also do a quick search just by name so if you're looking for a specific college you can type it in um you can do a quick sort by a to z those kind of things so that's how the profiles work and how the searching or what we would normally do at a live fair walk through the fair is is that's how the virtualbond model is from that standpoint the other button i want to show you is these live session buttons so this is where you can actually see and sort through all the live sessions that are happening and since i looked this morning we've had another one ad so again by monday i would imagine this is going to increase even more as more sessions will be added so how do we make this digestible first off what i would recommend is not going into the live sessions and just looking at the live sessions i would recommend a student picking the institutions they're interested in and then looking at their live sessions otherwise you know gosh 400 live sessions to look through is pretty daunting but this function is here for you to see this and they will show up as the most upcoming sessions throughout the event so as events pass these will change and show up in order what's nice is is this is a nice function if you're just trying to search to find something is to go to the search and you can type in the title of what you're looking for so let's say you as a counselor decide i would attend the financial aid session you could type financial aid oh let's try it we'll see what comes up we might not get all the sessions that offer financial idea there's quite a few that tagged financial aid so um you can look through all of this like this if you want to and see all the sessions about financial aid you can see the the maps of financial aid session you'll eventually find it um what you might work better is if you already know what you guys already know this time for these sessions is to look for the time and day so let's say you're looking for we know for sure that the session for the financial aid session is from eight to nine starting on monday starting on tuesday oops let me erase that let's see if i think i get it let's see it's a good test there we go okay so it pops right up so again gotta love technology i'm learning too in this world but basically that's what's nice about these live sessions is you can do a quick search to try and find the sessions you're looking for within all of these to make it a little more digestible the other thing i want to say about these live sessions is another way that i'm going to try and make this easier for all of you is i'm going to send you an excel spreadsheet of all these sessions come sunday i will have this so again along with those snapshot videos and the full schedule of all the live sessions i will send you an excel spreadsheet and the link to all those videos so you're ready to go first thing monday morning if by chance you would rather use an excel spreadsheet versus the online platform obviously they're both going to be accurate it's just i know some counselors like working and promoting it their own way so i want to make sure you have all the tools you need so that is the virtual platform do you guys let's look and see if you guys have any questions anything i think carissa had to hop off but let's see if you hope you guys haven't posted any other questions do you guys have any questions just verbally that you want to bring up at this point anybody is making sense okay i don't know okay i want to make sure i'm getting you guys this question answered okay so let's go back to the confirmation page then you got a feel for the virtual platform i want to mention these counselor resource sessions a little bit more um and i know you guys are very busy so if you can't attend that's okay too we just knew how much effort you guys are putting into this week for students that we also know it's a time that instead of all of our agencies and us coming together and doing different things why not use this platform to offer you guys some updates versus another separate zoom meeting at another time with nasa or with msca so we've teamed and so grateful to all of our partners sponsors who come together to help you guys too these are some specific sessions that i've promoted again by the end of the week i'm going to promote all of the resource sessions so that you can promote them to students too if there's a session that you think in the resource sessions on friday that would be helpful to students they can attend those these specific counselor resource sessions that i've put here they're just for counselors and they're pretty important ones we've tried to block them off so that that's the only session offered during that time so for example to start the week off on monday it's not really a session but we want you to know that we are going to be available that you can sign up and just come in and ask us questions that morning so if you're getting last minute issues feel free to prop into this session anytime you obviously can email and call me too if that's easier but we want you to know we're going to be available of course that morning for any instant chat for you guys the next is um on the tuesday morning wednesday morning thursday morning and friday morning from eight to nine we have some special sessions that we are hosting for you guys as counselors one is a a massa financial aid question and answer and fafsa highlight kind of just to give you a little tickler on what's to come because we know that's coming quickly and so president of maps nasa is going to be hosting this session along with a few team members he also asked if you have any specific financial aid question if you post them in the chat right now i'm going to share them with them ahead of time so if you guys have any financial aid questions please put those in to the chat and i will pass them along to the massa team but that's happened on tuesday morning wednesday morning is apply montana and college application week we all know college application week is happening the week after the virtual fair so their team is coming together to make sure we get your questions answered as you prepare for that as well so that will be a great session on wednesday uh evening montana school counselor association has come together with us and they're going to offer a counselor social question and answer hour in the evening from six to seven and a really exciting announcement is they are going to be giving away one free math um maska uh membership to randomly given away to people attending who don't aren't already members so great session to get a free membership uh the other is they are also going to give one free msca membership out for just counselors who participate in this virtual event so big thank you to msca for their team efforts they're offering a session on wednesday evening thursday from 8 to 9 the department of labor and industry is going to offer a session to talk about how you help students with career choices and mcis and some of their great tools as we know that's a big part of choosing what comes after high school is knowing what their career options are so that'll be a really great session and then on friday reach higher montana and montana youth apprenticeship program are teaming together to offer a morning session for you guys on an overview on their programs and services too so some really great sessions for you as counselors we also are going to be posting some more so check back i'll be posting more as i i get those from the agencies here and they all are also in the platform online so you're going to want to sign up through these individual agencies in the platform like a counselor log in and sign up for those sessions in the virtual platform lastly as a big thank you to all of you we do want to offer our thousand dollar counselor prize again that will be randomly given away to any counselor who registers and attends at least one event one session uh and then for every session you attend in addition to the one you get put in again for the drawing so some motivation to attend as many sessions as you can as well um last but not least is this obviously came together very quickly and we know it's not perfect and we know that there are gray areas and again we just appreciate your team efforts to try and help students in this new way we do need your help spreading the word obviously creating the space with your school and your team to help students get to this event is big um and we know we're asking a lot of you as counselors so use this how you can we also encourage you to help spread the word invite your counsel or your parents any other team members in your school that want to participate i've already had a lot of people say can we ask community members yeah i mean this is we're doing this event we've brought all these people together if they can benefit from this feel free to spread the word so there's some links to some facebook posts so social media posts that examples that we're doing if you want to do your own thing however you want to spread the word you're welcome to it um if you want to just like and share ours you can do that too but basically it's a team effort trying to spread the word so run with us how you can we're just hopeful it will help students in this time at least no they still have options after high school and we are still here to help them and we still believe in their futures and we hope this at least brings that to students and hopefully offers you as counselors an outlet to offer this service so for the two of them they just will appear in there sometimes there might be some thought process behind why that was created it's because sometimes students come in and out of these sessions uh in the bigger level they just kind of go there and then they jump into another one um which might not be 100 what you folks want to want to accomplish but um you know sometimes the sessions are a little longer and students don't have the attention span and go on i heard that i'm good totally no that makes sense did that answer your question too angela cool okay so they can sign up for multiple basically um and then when it comes time they can either choose at that point which one they'll get reminders for all of them right well they sign up they will get reminders for all of them actually they'll be told you have all these going on so you give them a text so they'll know what they did and they can also in their back end i don't know if i still have it up but let's see if i can get back to that um let me go to my schedule they can go in let's say they did sign up that brings up another good point let's say they did sign up for for three at the same time they can go in and remove it later in their profile too if they change their mind or if they legitimately want all three to wait and decide or to do the hopping thing which we don't necessarily recommend but they decide to do
