my name is Neil Malek from Mac train and this is everyday office today's video is about how to use templates in Microsoft Outlook creating a template file in Microsoft Outlook for let's say an email is actually very easy to do you start off by creating your new email so you hit new email up here in the top left hand corner of the screen and then you fill in the parts of the email that you need to have templatized so maybe for this particular template this is going to be emails sent out to prospective clients and whenever I do that I'm always going to CC my boss Jean and the subject line is going to be something like working with craft soft and something like that and then I'll do something like hello put a little space there where their name would go please work with us and maybe I go ahead and attach a file okay so every time that I'm going to send that an email to a prospective new client it's going to say hello their name please work with us and actually when I create a template I should not include the signature line because the signature is added to my new email when I actually use it I'm also going to include an attachment standard subject line feeling good about things now at this point in the process what I do is I go to file save as and the file type that I'm looking for to save this file as is going to be this Outlook template file so I click on outlook template as you can see it puts this template file into this Microsoft folder into the templates folder inside there and I've got a couple of other templates that I've created in the past and I'll just go ahead and call this template something like prospective clients and click Save now once I've saved that file I really don't have any use for this thing that's open so I'll just go ahead and close this and tell it not to save the changes now here's the problem so creating a template is easy in Outlook using that template involves these steps you go to the new items drop down menu you go to more items from that drop-down menu you go to the option here that says choose form which you know you're who you created a template now it says choose form it seems a little silly I click on choose form and then on the dialog that opens up this is the standard forms library this is what Microsoft gives us I actually want to use the drop-down menu up at the top and go to user templates in the file system and there is my template for prospective clients you can imagine why I want to make this easier on myself I definitely do not feel that this is an easy way to get...
