Presentation tools such as Apple's Keynote (my preference for its "clean" look) and Microsoft's PowerPoint make some kinds of presentations easier and allow you to add impact to what you are saying through appropriate use of visuals and to reinforce what you are saying through display of supporting data.That said, these display technologies have been overused to the point that when people hear "presentation," they immediately think of seeing slide after slide of "stuff" and hearing a speaker merely read the slides to them. Most people disdain presentations like this and many simply stop listening as soon as a slide comes up.So, my insight regarding these tools is this:1. YOU are the presenter, not your slides. NEVER merely read the slides as a way to present the material. Slides should SUPPORT your words, not be substitutes. Have a great presentation written and rehearsed. Use your best language skills.2. Keep it simple and uncluttered. A slide should have some sort of visceral impact on your audience by signNowing towards their feelings (this helps their memory immensely) or by demanding some sort of interaction with what is being presented (necessity to read data, a short list, or similar).3. Similar to #2, do not make the slide itself - backgrounds, graphic elements, mix of colors, etc. - seem like the point of the slide. Remove distracting elements.4. Many sources will tell you to unify your slides by making all of them use the same backgrounds and color schemes. Balderdash! While an overarching theme to the slide scheme is "OK," it is far better to use fewer slides and have each one look different than the last. This stimulates the observer's visual cortex and memory better. EXCEPTIONS: Of course, there are exceptions. A. Some businesses and institutions require one to use an "official" slide style for all official presentations. This is sad, but you must follow the rules. Even so, you can add a slide or two that are really different and that help wake up the bored eyes of your audience. B. In some cases, your presentation is in sections by topic. In this case it is wise to use unified slides for each section and to make the sections noticeably (visually) different from each other.5. Avoid, omit, delete, cast out, or trash all the cutesy transition sounds! These sounds are worse than useless and are distracting sign that you are an amateur or lack the seriousness or sophistication required by your audience. Now, having said that, a well placed sound, like a single "fanfare" used when you "reveal" a product or big idea on a single slide in your presentation can sometimes be appropriate, but this is quite rare. 6. Similar to #5, do not play with your audience's valuable patience by having words (or especially letters) drop down, swoosh in, or otherwise make their appearance through transitional gimmicks. A simple "appear" or fade in is proper.7. Practice, practice, practice.With respect to making the presenter's life easier? I am not sure that these tools make things "easier" - you still have to learn the tools effectively, after all - but they do have the potential to make the presentations better. I save NO time in doing preparations with a presentation tool when compared to the days when my presentations were essentially speeches, but I believe that as time has gone by, I have been able to improve my audience's comprehension and memory of my presentations.
