[Music] [Music] [Music] [Music] hi I'm Matt with down to earth and today we're gonna do a short video here with mr. Robbins from the landscape committee about how to enter work orders so that you can have your landscape issues resolved in a quick and easy manner so I'm really not familiar with this but I do know you have to go to the Sandoval's website which we've done and then you're gonna scroll up to the icon that says Florida evergreen and hit that icon in a work order comes up and Matt's gonna show us how to fill it in absolutely mr. Robbins thank you so much for showing us this so here you just scroll down where it says Florida evergreen work order form and whether you have an iPad or computer you're just gonna click right here it's going to take us to the next screen alright first line is going to be the work order subject this is something that should just be a simple descriptor of what you're talking about whether if it's a irrigation issue you can just say irrigation or you can also use the word sprinkler if you have a plant issue so you have beetles on your hibiscus tree to put in bug issues whatever simple phrase that you would think best describe it would stand out to whoever is reading the the work order who receives it which is going to be me work order subject but for this purpose we're gonna go with sprinklers okay and this in this example I'm gonna say that the mote crew has run over a head in the front left yard of your home and now let's create what we call a geyser it's just shooting water straight up into the air and water is getting into the street drains and you want to have it taken care of as quickly as possible so first descriptor here like I said is going to be sprinkler next you're going to select what type of work requested as you'll see there's many options depending on what your need is there's brake fix that would be if say the mow crew would broke something in year-long I'd be the selection you'd use fertilization general questions and you don't have to have need something done in order to use the work order system general questions is a great way to get your questions answered in a speedy way I check the work orders every single day and I really enjoy answering questions this way as you guys can imagine there is many questions and many issues that come up and this is a great way for people to reach out to me and have their questions answered quickly next there's irrigation which is what we're going to use today as you can see there's many other landscape mulch pest control today we're gonna go with the irrigation next you're going to use your email address all right we can go with my email address which is Matt dot King that's my name Matt King at down-to-earth incorporated dot-com all right in these sections you only have to fill out the areas that have this red star mark next to it that's gonna be what the descriptors are for everything anything if you have any other details you can put extra details in the work order details section you don't have to you can also put it here in the property area notes in the notes this is where you'd say all right we have the geyser in the front left yard and generally being as specific as possible is the best way to get the work order completed quickly geyser and now when I say front left yard that's how I think of it whenever I'm taking a work order request is if I'm standing at the front of your home and looking at your house whatever is on my left and whatever is on my right front back that's how I think of it you can use other descriptors how some people use whatever directional area it is whether it's the southwest corner of your house north east side of your house if you just want to say it's back by the lanai any description is fine and if I have any questions I'll reach out to you and I'll show you how we're gonna do that here soon so we've got the guys are in the front left yard you don't have to add any other issues if you want me to know that you think it's a mow crew damage you would just say right here though crew damage or any other simple statement like that I'll get the point there we go next you're gonna add your name your phone number and your primary contact with an act Oh mr. Robbins no sorry mr. Robbins mr. Robbins and I'm not gonna spread mr. Robbins phone over all over the neighborhood we're just gonna go over your narak number here 5 5 1 1 1 1 now here's one of the required sections this is the dwelling type there's three options home building or calming grounds for the homeowners pretty much every time it's gonna be home you can use building if you like doesn't matter if common grounds we don't take care of the common grounds right now but that option is on there as well work order address this is where you're going to select your address mr. Robbins he lives here at 262 awesome bari court you gave me permission to tell you guys that as you can see as soon as I start typing it it populates in there this is very important if you don't have your your address listed in there just email me what I put up here earlier before Matt docking it down to earth incorporated calm and let me know that your address isn't listed in there and I'll get this your information off to our IT IT department to make sure that you're able to enter work orders into our system all you do from this point now that we've populated his address just select it and then the check mark on allow access that's just saying that yeah you acknowledge we're gonna have to come onto your property and take a look at these issues and that's just given us permission essentially so at this point we are done with the form unless you have any pictures if you have pictures that you think are gonna be useful to me and identifying an issue that's a little more complex and say ahead that's geysering out in the yard say you have a bush that has a fungus and you want to take a picture of it show me this is where you could just choose files and whatever type of phone or computer you're using will have different options but that's where you'd enter any photos you can put in one to ten it doesn't matter whatever you think is the best descriptor of what do you like to get across to it and then from there once you have your pictures in or if you're not using any pictures at that point you're done you just hit submit down here at the bottom and as soon as that happens and as soon as you get to this next page here it's gonna say work border created successfully at that point I get a an email and my my email inbox saying that I have a new work order and I'm gonna pull it up and for my end it just shows all your information that you just entered and I'll be in contact with you and get your issue resolved as quickly as we possibly can now this is the best way for us to maintain our service and your properties it's the easiest way as well as you can imagine there's a lot of properties here and this work order system is meant to be a benefit to the community and to us as well whenever we're doing these work order requests this helps us keep a log of something written down that you and I can both follow so instead of texting me or calling me and telling or the office hey this needs honor that needs done this is the one surefire way that you're going to be able to know that this your request got through to me it's going to send you an email with your copy of your work order and whenever there's any updates or I have a comment to put on there I'll add a comment and you'll get an email saying hey comments have been updated that's how I'll be able to communicate with you and if I do need to contact you in a different way to get more details I'll contact you through the phone number that you provide on there or the email address and we can but thank you so much for an opportunity to serve you guys here in sand of all it's a great pleasure that we get to do this and if you ever need anything for me please don't hesitate to reach out thank you so much have a great day [Music] let's keep Santa ball beautiful fill out a work order [Music] you you
