[Music] hi everyone and welcome to a feature spotlight walkthrough today we're going to focus on the proposals feature so here we are in the proposals menu item and now we're just going to start by adding a new proposal okay here's the view where i can assign the proposal i'll do that now i'm going to give the proposal a title set the valid until date and now i'm going to set a value for the proposal let's just pick something and a currency these currencies are drawn from the currencies configured in settings you can configure any currency that you'd like over here we're able to preview and edit the proposal we can also make changes to the colors but for now let's just leave that aside and start working on the content of the proposal so i will insert some content here and we can get a look at what a proposal might look like okay so now we have some content added for this first page and if you'll just look here as we open this up we have a full width image a placeholder and just some basic content and now we can add other pages to this proposal by clicking add a blank page here and continuing to add pages the acceptance sign page is always going to be there that's where the signature and acceptance comes from your prospector client and then the thank you page is shown after they accept and sign so these two will always be here and that's why you're not able to delete them or reorder them okay so before we move on let's go ahead and look at the preview and then we can start to look at customizing the proposal so here we have the preview we can see the image we can see the text we can see that the white sidebar is not exactly a perfect fit with the logo that we have so let's open up the customization panel here and let's just change the logo background color to a dark gray we'll start with that as something to look at okay so that looks nice let's scroll down a little more and get the side menu background color we'll make that a little bit of a lighter gray like so and then the text will change that to white and then here in the content i think i'd like to see this be a little bit darker so let's make that darker okay good all right let's save this okay and now let's just kind of take another look this looks like it could go somewhere maybe with some tweaks later on but for now we can continue to build and we have something that we can look at that's closer to an end product okay so now to get back we'll just click back to proposals okay here we are back in building mode i'm going to collapse this first page and now i'm going to add another page okay so there's my second page and let me customize this and then we'll get back to the video okay so i've added in some sample content and i'll rename this page process and timeline okay and let's look here this page just is a step one step two step three but now let's go ahead and do a little bit of a preview again and see where we are okay so now we have the welcome page right and this placeholder will be replaced with the name of the contact and then we're going to go to the next page project process is here and step one step two and then we can continue to add pages as needed to present your entire proposal and then move on to the acceptance sign page so i'll go ahead and do that now okay so here we are back at the proposal and we've added a few new pages here about our team your project happy clients which would be like testimonials and some content to the acceptance sign let's look at our preview and see how this is looking okay so i'm back in the preview one thing you'll notice is that the font is a little bit bigger that can be controlled here in the styling the customization all right if you scroll down you'll see that we change to the ribato font and raise the font size to 20. i think it would even like to go a little darker with the content text so let's bring it down just a little bit more okay that's nice and now i'm going to click save and now let's just look through the pages i'll close here all right let's look through the pages we have the project process this is looking nice about us a few experiences the team okay here's a project background a few icons there and just happy clients and now we go on to the next page here's the accept and sign page so you can insert content above in fact you can present your entire terms and conditions here if that's a need for you and as you scroll on down to the very bottom and then we automatically insert a signature pad which is something that you've likely seen in the platform before all right there we go and then on the client side they'll be able to submit this which will officially accept the proposal and add the signature and then we also added some content here on the thank you page so we have this page available for you to thank your clients for accepting and presenting them with whatever information you want to after that acceptance okay so a few things to note before we leave this preview mode and that is that you can edit directly in the preview mode so anytime you're on a page you can just click edit content make a few changes and then just click save and that'll put you back in preview mode you can also add new pages from this interface and and also reorder your items if you wanted to reorder the pages you can do that from here so this is a full-fledged preview and editing mode if you want it to be that you can adjust your styling and see everything in real time just as your client will see it when the proposal is presented one other thing to note is that any of the pages that you make say this about us page you really like you want to use it again in a future proposal you can save this page to a template and this will save the page itself to your personal library and you can set your title in the description and save that and now anytime you want to create a new page you can just add it from your library and you'll never have to recreate this page again in addition after you save the proposal you can create a template with the proposal as a whole which will include all the metadata and the pages that are contained within the proposal so this gives you the option of saving on a page by page basis individually or saving the proposal as a whole and reusing it again later all right so we're almost prepared to send this proposal to our client but before we do that let's explore one more set of options and that is notifications so in this panel you'll be able to specify which of your staff members will be notified when the prospector client views the proposal you'll be able to specify how many days go by before you send reminders to the prospector client and then down here you'll be able to specify who's notified when the proposal is either signed or rejected okay so in this case that we're testing let's just make max the recipient of the viewing email notification that lets us know when the prospector client views the proposal expiration we'll just say let's send three days before and one day before and then also let's just make max the recipient here as well and click save okay we can close this panel and then the other option to make you aware of is that you can also assign actions that will be executed when this proposal is accepted and this should look familiar you'll see this all over the platform where you can set any one of these actions to be executed and in this case the trigger is the signing the acceptance of the proposal so you can generate a contract on the acceptance of the proposal and you can use values from the proposal in that contract if you convert to invoice you'll be using the value of the proposal as the invoice amount and then these others are all mechanisms that allow you to set automations and design a workflow that fits exactly for what you need okay for now i'm just going to leave this without any actions and close this and then we'll be ready to review one more time all the data that's here and now we're ready to finalize this proposal which will then send it to leslie abbott and she will be able to view it from her side and sign to accept okay so we'll just scroll down and then here instead of saving exit this time we're going to say finalize okay let's first look at the email notification so lessie has received an email white label of course completely branded and it says you can view and sign the proposal by logging into your portal here but notice also that there is a non-logged version okay so you can also perform these steps without logging so this link allows your prospects or clients to view the proposal without having to log in okay so let's just right click and we're going to copy this link okay here in an incognito or private window i'm showing that we're not logged in i'm going to paste the link from the email and hit enter and you'll see that the proposal comes right up the link is coded properly so we already know which prospector client it's associated with and therefore we can return the value of the placeholders and this is how your prospects and clients will view their proposals with a white label url completely customized with your colors and your logo and they can read through just like we saw before advance from one to the other one page to the other read each section each page is presented in full color and formatting as you designed will go one after the other to your project here and then here under happy clients you could add more quotes here more history of your company if you wanted and then here we are on the accept and sign page you'll notice that we have the acceptance sign page visible but there's no thank you step visible at this point and that's of course because the thank you page will not be shown until the prospect or client signs and accepts the proposal okay on the accept and sign page we give you the option of inserting content above the signature area and even to the point if you want to insert all of your terms and conditions your policies etc to be reviewed and then here we insert this signature pad which allows your client to type their name their name is automatically filled into this legal statement which you are able to edit we saw that on the admin side the name is filled into the signature pad they're confirming that this constitutes a legally binding signature and now they're going to just simply click accept that will take just a moment to contact our server generate the pdf and return with assigned status the thank you page will show here's the thank you page information you are able to use data placeholders here as well to thank them personally and then you have the signed status here and then they your client can view or print the pdf of this proposal directly from this interface okay now that the client has signed the proposal let's take a look at the admin side and we see that the status is signed before that we would have seen that the contact viewed the proposal and we're still able to look at the proposal or duplicate or save it as a template but this proposal has been signed and completed also let's look at email okay here's the email your client will see when they sign and accept the proposal and keep in mind that you can modify this email template but essentially it will say the proposal is finalized give the name of the proposal have their name their ip address which will further validate the security of the signing and of course all this is white label in addition to the email that we just showed that the client will receive upon signing you can also designate members of your staff to receive an email notification to let them know that the proposal was signed and accepted okay so that completes this feature spotlight
