then we'll begin with a tutorial for work order management on your mobile specifically we'll look at navigation how to submit work orders how to edit and close work orders and also how to search work orders we will have a ten minute question and answer period after that tutorial just a few housekeeping things all of our attendees will be muted today feel free to use your question panel in your go-to meeting at the end of the tutorial to ask any questions that you might have and a copy of this webinar will be sent out to all attendees later today so let's begin so a quick introduction today's webinar will be done with hippo version six so hip hippo version six is a free update for all users it was released a couple months ago some of you may be using version 5 at the moment on the left this is a quick screenshot of what version 5 mobile looks like as you can see we've really redefined how version 6 looks like version 6 contains many new features and we have really enhanced the mobile experience although today's focus will be primarily on work order management on mobile in the future we will have webinars that will focus on the many new features that version 6 has available features such as barcode scanning parts management equipment management as well too so keep an eye out for those webinars if you are interested in dating to version six if you are a version 5 user on your login page there will be a link for you to watch a quick webinar that we completed on what's new in version 6 and a registration link where you can indicate your desire to to upgrade to version 6 or not again version six is free you don't have to migrate immediately however within a year we will start to shut down version 5 as all of our users will be required to be required to use version 6 in about a year from now now for version 6 users for anyone who wants to use mobile please check with your local HIPAA administrator there is a permission that must be enabled for you to access hippo on your mobile device if you are on the edit permissions window look for mobile enabled under the enterprise panel this is similar to version 5 where you have is mobile enabled on the grid we've just moved it into a different spot in version 6 okay so here's a look at version six on your mobile well we'll start with discussing login information for version six users we've changed their URL to be unique to their company no longer are you using my dog hippo CMMS comm or my don't hippo CMMS CA each company will have their own unique URL for example we've got the name of our company hippo dental and dot hippo CMMS CA or would be the name of your company dot hippo CMMS comm this is a login page just like in version 5 you will log in with your user ID generally that's your first initial and last name and a password would have been assigned to you will click secure login and this will take us into our mobile like on desktop we have an enterprise summary so remember that Enterprise is an overview of the different facilities that you have within your company my enterprise has different facilities here one two three four five six seven there's also a tab to look at work orders so here are the work orders specific to me my user is a resource these are work orders that either have been assigned to or created myself if I go back to my enterprise summary I can click on the facility name I'm going to click on hippo plant and when I click on plant again it will take me into the my work order screen now the only difference here is that I'm doing work orders specific to the single facility previously we saw that I had three total work orders I only have two in hippo plant again this is because I'm at the facility level I'm only looking at work orders specific to that facility if I do want to go back to the enterprise screen it's done so by clicking on the hippo icon at the top of the page this icon up here and if I click the button after my page refreshes if I click on my work orders notice that I do not have the name of a facility I'm looking at three work orders instead of two so this is a overview of work orders amongst the different facilities now back on enterprise summary some of you may be noticing that I only have a few work orders currently in hippo mobile when we created mobile it was really directed to the resources it's meant to be quick and efficient so when you sign in you are looking at work orders just specific to you or work orders that you've created yourself now for other users who are not resources for example if I'm an administrator of a company and I were to sign into hippo I would like to see zeros across the board now based on your feedback we are going to make a change to this so if you are an admin user if you're someone who's not making work orders or if you're not someone who is a resource and you need to see the activity within your facility soon you will see the total number of work orders within each facility demands p.m. is critical etc again these are related to your permissions so you would see all work orders if you do have the view all permission set generally if you're an admin user you would see every single work order within your facility ok so moving on we are going to look at how to submit a work order so we have a menu icon in the top left corner of our screen we'll click on that and these are the list of features that you have in hippo mobile everything from submitting a work order work order search earlier I mentioned that we are going to have future webinars and equipment management part parts management barcode scanning as well - let's start at the top click on submit work order so for anyone using a version 5 mobile right off the bat you will notice that this looks quite different and the goal of ours when we design hippo mobile was to be in line with the desktop experience so everything that you see on this form are the same columns and fields that you see on the desktop work order we're going to start from the top and we'll go through submitting a work order this is the demand work order something that's unscheduled so we're going to name it exactly what needs to be done we'll keep the simple let's say fix the light now because I was at the enterprise level there is an additional drop-down here called facility this will ask me to submit the work order for that facility if I was at the facility level then this drop-down would not be there and it would assume that your work order is going to be submitted for whichever facility that you're in next we have type so choose between equipment location or vehicle in this example let's pick location we can choose the final location by floor plan or I can just pick a location from the drop-down list these are all the locations in my hippo plant let's say the light went out in our compressor room I can also sell work order it's critical I can also select priority levels let's say that let's let's call it's critical we don't want to operate without a working light in the compressor room we're category will select this under general maintenance sub cat subcategory is just a way to further categorize your work orders call this electrical company information this is going to be done in-house on the resource on this so I don't want to assign this to someone else outside of my company but if you are you will see a list of all the vendors that you may possibly be working with ok resource information so I can quickly assign myself as the resource to this work order and then I can type in a description of what needs to be done requested by I don't have to worry about completing this because I'm logging into the program this is ready going to capture my name company contacts again that's vendor information email contacts there's someone outside of your company that needs to be notified about this work order maybe you want to do this person okay so I've just added Mike as a contact here I'm going to choose to send him an email and also if I change the status of this work order he can subscribe to status updates contact information this is also related to my field so if you are submitting a work rotor from mobile unless someone else is using your single login do not worry about submitting a feel for requested by or contact information so again this is all review from the desktop if you are using hippo on your desktop these things should be familiar when I click Save that will submit the work order into the facility okay so now let's look to edit and close the work order so I can go into the facility or I can click on my work orders to get the complete list of the work orders I've created or I've been assigned to so here's the one that we'll look at three seven zero nine six that is what we just submitted I'm going to click on the arrow and it will give me a brief overview of where the location is for that work order I'll click the green button and this is going to open up the generated demand work order as you can see I already have a work order number the details of my work order have already been entered so just like on desktop if you are going to complete a work order one of the first things you will do is look for the status these are the statuses that you can change the work order to we're going to say that this work order has been completed I can add a call and found no further damage now down here are some useful fields what's new in hippo mobile is the ability to add documents to a work order so if I click the Add button it will ask me to upload an image or choose an existing document existing would refer to documents that you keep under facility admin documents I'm going to click upload and I'm going to choose to take a picture from my mobile device so there's our little mascot there click use photo and you always need to name the attachment by default this will just say work order attachment number one but I want to be more specific we'll say image of broken light I'll click OK and there it is there's my attachment now we also saw that we added resource information so my company keeps track of my labor hours and labor cost so I need to go in there look for my name edit the amount of time it took me to complete this light bulb change it took me about 15 minutes so again you record that in decimal format click OK if I need to add part I can choose the work category let's just assume that this is the right part for the work order it'll tell me what location the part is then I went and grabbed it used it now I entered that I've used one okay and I at this point I could choose that associated work order that's if I miss any information or need to add something else I'm pretty satisfied with my details here so what I will do is click Save and because I've changed the status to complete the work order will now disappear from my work orders and it will also disappear from the facility as well to notice it's not there anymore okay so that is editing and closing work orders now we also have work order search work order search will help you find all the work orders within your facility earlier I mentioned that at this moment you will not see every single work order so if you wanted to get an idea of what's going on that's when you will use work order search click the menu button in the top left corner click work order search now immediately here you will see a keyword field and the option to view own I'm going to deselect view own and instead I will utilize some of the filters that we can search with so click on this icon and the options that I can choose to search with I can choose to search by critical I can choose to search by facility so let's select hippo arena I can choose by work order status let's look for work orders that are overdue I've got options for categories generated date range due date ranges okay so I will hide these filters again and at this point we'll click the magnifying glass this will give me a list of all the work orders in my hippo arena facility okay so let's open one up this is a PM for my exhaust fan so information that we saw previously now based on your permissions you may be able to edit this work order you may even be able to assign yourself as a resource to this work order now I won't go process of editing or closing this out we already just reviewed that but it's important for you to know if you have the right permissions if you're set up in a way where you can go in and find work orders you can use your mobile device to be on the floor find work orders to complete and really improve the amount of time and efficiency it takes for you to complete work orders within your facility all right so those are all the features that we're going to cover today work order management is quite simple on your mobile device so the question floor is now open feel free to use your go-to meeting question panel and I will answer any questions that come up you okay so one question we have is any option of adding a photo yes absolutely if you are submitting work orders if you do have permission to add photos and documents on desktop you will be able to do it on mobile as well so like it located at the bottom of the work order form if you're submitting a work order we click Add click upload maybe you have a photo in your existing library it looks like I don't but if you do want to take a picture click upload take photo and then you could take a picture of whatever maintenance that you have going on there next question is what mobile phones work best with this feature as long as you're using any Android device that could be a Samsung Google phone Windows Phone and must-have Android 4.4 and up and if you're using an iPhone as long as it has iOS 7 or up then you'll be able to use hippo mobile hippo Mobile is not an app to access it again you simply open up your your Mobile's browser and type in the URL to your hippo page next question is how can we expedite the process of switching the version 6 we do our migrations every 2 weeks we are set to migrate some customers this Saturday so I recommend on the version 5 login page please watch the video please fill out your indication to upgrade to version 6 and we can get you migrated as soon as possible so another question is I just created a test work order and added a photo now it doesn't show up in my list so let's see if I can try and duplicate that if I can't I'll ask you to contact support at hippo CMMS comm we can have a closer look from there so I'm going to look at my work orders and I'll make this bigger for everybody here I'm in the attached field will take a photo again okay I'll click okay let's click 'save here so I attached a photo I'll go back into the work order getting the wrong one they go backwards so I think for your question we might be dealing with maybe permissions that need to be updated so Frank if you can contact support at hippo CMMS comm we could take a look at your permissions and try and see what's going on specifically with your mobile I also want to mention we've attached a PDF guide to this inversion stick would probably be a very good way for you to see some of the new features in HIPAA as wel in Mobile if you are using mobile and you have any questions that come up and the menu panel sees that the work order got edited this is in relation to the permissions of your other users if someone is subscribed to work order status updates that person can get an update anytime you change the status as well as anyone who has the view all permission they have the ability to go in there and check any work orders that were changed at the bottom of each work order would also tell you the last time it was updated and by who so that question is permission specific okay so it looks like most people are exiting the room I just want to thank everyone for attending this special special
