hello everyone in Zoho invoice you can keep track of the money you owe your customers using the credit notes a credit note is created at the time of a sales written or when you receive excess payments from your customers let's imagine you run a furniture store due to some damage in the items sold your customer Returns the products as a business owner you need to give back the money for the products returned by your customer you can either pay back the cash to your customer or direct the money from their subsequent invoices by creating a credit note in this video we'll learn all about the credit notes module in Zoho invoice let's see how to create a credit note first the credit notes module should be enabled in your Zoho invoice account to do this login to your Zoho invoice account go to settings and select preferences click General under preferences and Mark Credit notes under select the modules you would like to enable you have successfully enabled credit notes for your organization now let's see how you can create a credit note go to the credit notes module and click the plus icon next to it choose the customer for whom you're creating the credit note the credit note number is auto-generated you can also choose to add it manually by clicking the gear icon enter the reference number for internal purposes the current date will be autofilled you can change it if you wish to you can select or add your sales person from the drop down enter the subject to let your customers know what this credit note is for add all the items returned to you by your customer after sales if it is a partial return enter the appropriate quantity returned and its price you can enter discounts tax and other charges if you would like to you can also add notes to your customers and specify the terms and conditions if any then click save as open you have successfully created a credit note you can also create a credit note directly from invoices or the customers module to create a credit note from the invoices module go to invoices and select the invoice that you wish to create a credit note for click the more icon and select create credit note verify the details and click save the credit note has been successfully created from the invoice module to create a credit note from the customer's module go to the customers module and select the customer that you wish to create a credit note for in the customer Details page click new transaction at the top right corner and Select Credit note add items verify all the details and click save as open you have successfully created a credit note for this particular customer let's see how to close the credit note there are two ways you can do this one by applying to invoice if you have created a credit note for your customer you can simply apply the amount as credits to their overdue invoices this will lower the overall balance owed by your customer or you can also refund the amount to your customer by paying them in cash and recording the same in Zoho invoice to apply credit note to an invoice go to credit notes select the credit note that you wish to apply to an invoice and click apply to invoice at the top of the page kindly make sure that the invoices are in send status and the credit note is in open status in the pop-up that appears you can enter the amount of credits to be applied to the invoices now the invoice amount and balance credit will be reduced ingly once all the credits are used the credit note status will be changed to closed if you choose to refund the money to your customer go to credit notes select the credit note that you wish to make the refund for ensure the credit note is in the open status click the more button and choose refund from the drop down select the refund date verify the amount and click save you have successfully recorded the refund to your customer let's look into the other functions that can be performed upon a credit note select a credit note and you can edit download as PDF print email the node to your customer or attach files if you would like to besides these functions you can also create a credit note similar to an existing one using the Clone option you can make it void or delete the credit note using the more button apart from this you can also get detailed insights about your credit notes by going to the reports and selecting the credit note details under payments received you can sort customize download print and Export the report by clicking the respective icons and that brings us to the end of the video if you have any queries feel free to contact us at support the rate Zoho invoice.com if you found this video helpful do like share and subscribe click the Bell icon to get further updates from us thank you
