welcome to our scotchy where I answer another one of your pressing business questions today's video question comes from Eli Walker a freelance graphic designer let's take a look hey Christine Eli Diaz I'm a freelance graphic designer and I was hoping to get some advice on an automatic way of processing my invoices at the moment there's just too many going around and it's currently doing it manually hoping you'd be able to give me advice and some software or the best stuff is in the moment that'll have been automated process thank you a great question Eli something that a lot of small businesses go through you start off by doing the manual invoices and it just does become a hassle it's a really common problem I had Rebecca Burroughs the general manager of small business at Australia Post here with some helpful suggestions you have so many small business clients Rebecca you get a good snapshot of the best tools of small businesses use what about invoicing absolutely so we are looking at the range of different challenges that small businesses have and invoicing and administration is absolutely the top of the list for small businesses about the things that keep them up at night or distract them from their everyday business so having too many invoices it's kind of a nice problem to have but there's lots of ways that you can actually start to address that so the first thing that i really suggest is actually talk to some of your peers your small business peers in a similar industry to you around what it is that has worked really well for them because something that's repeatable and easy to do is probably you know there's the fastest solution that you haven't already tried and tested that's a good idea check with your own Adwords and asking it well you'll probably find lots of them using systems like zero or my op which work really well in terms of integrating in with your other banking programs and your accounting programs and sort of streamline a whole lot of processes as well as your invoicing but as things that have started to change there might be other solutions too so something like QuickBooks actually offers like a 30-day trial so you can actually give it a go see if it works for you and if not move on to something else also as small businesses are changing lots of small business owners want to do things on the go and lots of invoicing programs and companies are actually evolving with that so you might like to use something that's at base so that you can actually do some of that administration when you're out and about or when you're going about something else in your business there's something like bill books which is actually a system might work really well but the number one tip that I'd have for a small business when you're sending out an invoice the first thing you actually want to do is make sure it's easy for your customer to pay so the most important thing is that you've actually got lots of payment mechanisms there and that they're really well integrated so you might want to integrate in this secured pay with Polly with Pay Pal and of course all the traditional banking methods because what you're actually trying to do is get paid as quickly as you can exactly right and and also because that runs your cash flow does are absolutely sort of profits one thing cash flow is the absolute critical bad so you have to fit in with your customer day and give them the choices rather than don't be arrogant say I just pay me online to wither but with the direct payment in a book into my bank account I make it as easy can for you to get the payment for the work that you've done yeah great advice Rebecca thank you for that thank you like hopefully that helps I'll see you next time hey thanks for dropping by the KBB youtube channel if you want a whole lot more where this came from press the subscribe button and it will open a Pandora's box of great videos that not only are educational full of great advice but also really inspiring just what we need as small business owners you
