training coordinator for advocate presentation today michelle facilitates our internal training as well as client specific training initiatives with nearly 20 years of EAM experience Michelle's knowledge spans across multiple industries covering all facets of in 40 a.m. so for today in the past if you wanted something recorded you had to start with a work order in 40 a.m. now gives us ways to record information that does not necessarily require work order these processes include case management call center and non-conformities in today's its webinar you can find out if one of these options could be a better approach for your organization so without further ado let's say hello to Michelle welcome Michelle how are you doing today I'm doing good Molly how are you I'm great I'm excited for today's webinar that's awesome well so am I so hello everyone welcome to alternate ways to start the work order process webinar so first a moment of safety so over 60% of employees pretty much work on computer or who work on computers suffer from eyestrain and there's definitely some things that you should do in order to try to help yourself from that train one of the things is you should take a break follow the 20 by 20 by 20 role so you should be sorry you should do your computer you set your timers you should get up you should walk around should also say 20 inches away from your screen so that you sit there because you shouldn't be right looking at your screen you should also reduce the contrast and minute too and minimize the glare you should position the computer screen 20 to 24 inches away from your eyes and you could also increase the text size and as some people also have the special glasses that help with that blue screen kind of stuff and that thing so what we're going to talk about today is why alternate ways to start the work order process even are taken into consideration for some of that some of the alternate ways to actually start that process which is Molly said is going to be case management call center and non-conformities and exactly what this means and why you might use those and then we're going to determine which one might be good for you to use and it's not necessarily a one-size-fits-all and it kind of would depend on your particular situation as far as which one or which a combination of ones you should use so why do i we should have an alternate process to start for the work order basically in the past what we had was if you needed to record something on a piece of equipment or record something that needed done or anything of that sort you had to create a work order that was always our answer because that was what you had to do in infor and even if it was something that you were going to do a year or two down the road you still pretty much needed to create a work order and have it sit out there in there in your process so what you would do is you go in you'd create the work order it would sit out there you'd have to deal with that with your data spies so that other kinds of stuff once the work order came up and needed to be done then your employee would issue you get the work order they perform the work and then the work would be completed just like a normal work order process but then you've really got to deal with that with reporting you've got to do with that with all kinds of things you also have to deal with that from a business rules and that kinds of stuff as well so what it affects is configuration your Flex business rules you're reporting your KPIs and inboxes and all those different pieces of things that you put on your work orders and if you want to record this work on plus if you needed to get something done you always had to create a work order in EA and you had to put a piece of equipment on their period that was the only thing so then the question is well which what some equipment do I even put on there and such like that so now that infor has created some other ways to actually start the work order process or just record that information we have some options which make it so that we don't have to deal with it in the same way as we have in the past so alternate ways to start the work order process so one of those ways that we have that in for added in the application is called case management it gives you the ability to record an event that may or may not be for a piece of equipment it could be spillage it could be a slip and fall or it could be actually for a piece of equipment the cool thing about case management is you can have checklist associated with them which if you're familiar with the checklist functionality that was something that's been in there dude and you can check yes and no and you can fill in all that information on your actual case which means then check out work orders and that kinds of stuff and it's great recording information because if you have that slip and fall or that spillage to be able to have that checklist attached to it and still have that but not necessarily have to have a piece of equipment on there it is very helpful you can also do document attachments you can also do a lot of help with the task detail so you can actually create tasks you can have people kind of schedule to do those tasks than that kinds of thing now if it gets down to the fact of for this case you can't book hours and you can't issue parts or anything like that to it but when it gets down to that then you would be able to create a work order actually from that case or if your particular task or your checklist items needed to you could also create a follow-up work order so for record view on your case that's what you're seeing on this screen you have the ability of going in filling in your case you don't put in a case number if you will that just pulls from a sequence but you put in your description you can or you don't have to put in a piece of equipment here now if you are going to create a follow-up work order from this case you would have to put a piece of equipment on there because as you know using the application you have have a work order or sorry you have to have a piece of equipment on every work order that you create the other very nice thing is you can go in here and create type of cases which this is a completely different list of pipe than what we already have on the work order screen for our work order case so we could have stuff in conjunction with there or could be something completely different than that we can have statuses on our cases as well as some of this other information we can list locations we can have service codes we can have different priorities different date ranges that kinds of stuff we can have all kinds of tracking details on here as well and if this does need to create a follow-up work order it's as simple as right-clicking on the screen or clicking on the button if you decide to make it appear and you would be able to create a work order simply from this case but not ever all cases will necessarily become a work order you can also have documents attached to your case you have your documents tab you can view documents you can see all that so again if it's a slippage or a fall or a spill or something specific on the piece of equipment or something like that you can have documents attachments which then will be able to be viewed and seen and all that kinds of stuff and if you need to they could be moved to the work order as well you'll be able to go to the tasks tab and on that tasks tab if you notice you'll be able to actually do an assign to you'll be able to have names on there you'll be able to have a plan duration now again as I said we're not going to actually book hours or anything like that sorry on our case what you're going to actually do if you did want to create a work order is you would create the work order so you could book the hours and you can issue your part and you can do all that kinds of stuff because the case can't have that then you can go to the checklist tab and on that checklist tab you can fill in all the information this particular checklist it has results where I can check completed and fill in the note but I also could go in and put in a number of different kinds of checklist items as well and we can also have these signatures actually attached to our checklist just like we can on the work order screen we can have that so that we actually know the user as a password and actually the type of signature that they filled in for this case in here then the next kind of alternate way to start a work order would be your call center and call centers actually has some really cool unique capabilities with it if you do the ability to record an event that again may or may not have a piece of equipment call centers really gives you a way of being able to kind of have that just like if you called in to your cable company and you wanted to let them know that the system was down or something like that or you wanted to know what kind of program was on or something like that you could do that a customer could call in to review or two current events on a bulletin board that again you would get to configure from an application perspective or somebody could also call in or could record that there was a leak in the bathroom or something like that and if there is a leak in the bathroom then you could actually create a follow-up work order from there if you needed to but again it doesn't have to be that you create that follow-up work order just append exactly what you need to report a call center does include document attachments as well as a whole bulletin board that you get to go in and configure and also there's a knowledge base that you can attach to this whole thing as well again remember a call doesn't have to initiate a work order but it can now the cool thing about the call center screen is that's what you're seeing on my screen right now you can go in and you can create the caller information if you still want to you can record whatever kind of remarks you want to you can search in the knowledge base to be able to get different information and bulletins and what's going on for the weekend or what's going on in your plan or what is in the lunch or something to that effect you can do all those different things and just create that you could use it as actual lay a call center if you wanted to or you could give this to your normal users to use as you see it's a very clean tech kind of screen to be able to enter and record and kind of review this kind of information and from a call center you do have the ability of actually creating a work order by clicking on this little wrench button right here or you have the ability of actually creating a case from a call center as well so maybe somebody calls in or somebody record something and you then want to have a case based off of that you can go do the research and that kinds of stuff to determine what you need to do then what you'd want to do is you'd want to go in and maybe create a clay case to be able to follow up on that that kinds of stuff or maybe there's work that needs to be done based off of that and that for that you would create a work order so that you can book the hours and issue the parts and actually record that information as well now in the content section you actually get to go in and create names and employees and this is completely separate from the employee list that you actually have in the application as you see you could link a particular contact to an employee but you don't have to you can go in and put in their name and their first name last name address and all that kinds of stuff you get to put notes prior primary phone numbers and that kind of information and why you would do that is because on that whole center screen when they actually call in you can search by that information to see if you can find them so their contact information comes up you can verify that their contact information is correct by talking to them updated immediately on there and as you see in this upper right corner here you can actually update at a new one or anything to that now the bulletin notice cream this is actually very cool as far as the bulletin board goes so we have the ability in our application to go in and create knowledgebase articles we get to put in start dates and end dates of when they should actually show up on the bulletin board we don't have to put a start date end date if we didn't want to we could just have something that shows up on the bulletin board until we actually decide that we don't want it on there which we would do that by putting in the entity we can set the language and that kinds of stuff as well we can put in some notice information and then what happens is when they click on that bulletin board in detail they actually get to see the details that we put in there the titles and notice information and that kind of stuff and then if we attach the knowledgebase article to it it could get even further into details it could patch the documents it could have a website that it links to and all kinds of stuff like that and this is your knowledge base screen actually where you would create your knowledge based article so you would be able to go in and give them a description you give them a name you put in the language you get to determine if your knowledge base article is active or if it needs to be updated or if it's obsolete at this point because as we go in and we put things things might become obsolete and so we can fix that we can have links actually to different things and that kinds of stuff as well we have all kinds of ability with this knowledge base then the next kind of alternate way to create a work order is what's called non-conformities and this is a newer thing that's been added to the application and what it allows you to do is record a problem for your piece of equipment now this one you do have to have a piece of equipment for it that may be resolved at a later date for instance if you want buy and you have a rip in the carpet you may or may not plan on fixing that right now but if you have that rip in that carpet you then have the ability of going in creating observations on that repel on the carpet and eventually actually fix the RIP in the carpet if you will and when you fix the RIP in the carpet then what you would actually do is you create a work order from that observation nonconformity and then you would then go back in and you could close out the nonconformity on a nonconformity you have the ability of adding checklist document attachments as well as putting as many observations as you need to face from the original issue that was stated so in other words again I see the RIP in the carpet or a secret CD on the wall and I want to keep an eye on what's actually going on or I see a leak in the faucet just because I have a leak in the faucet doesn't necessarily mean I'm going to fix it right away it may mean that I want to observe the issues that's going on before I actually determine if I'm going to fix it or not and then when I do have that then again I'm going to create that work order to go from there for the nonconformity screen what you're going to do is you go in and you put in a description you fill in the equipment and as you see here the equipment field is a mandatory field on the screen because when you're doing a nonconformity you must have a piece of equipment on there you can put a location the department will come in from that piece of equipment or you can put in a specific one a different one that what comes in you do have a type of nonconformity and you guys can create whatever kind of types you need to you also have material types you do have status for your non-conformities we so have priorities and classes and severity and importance and intensities and all these things are going to help you whenever you're going in and doing this recording and figuring out what things are important what do I need to fix what do I not need to fix what can i budget out until later on if my severity is not very high then it may mean that I can wait a little bit to actually get that to come o t now once I do have a nonconformity in the application and I saved it I can go in and I can create more observations on there and when I create that observation I can views a comment I can views a document or if I decide to I can also create a work order directly from my nonconformity screen now we also have a way of going in and putting observations for our non-conformities because that's the whole idea of the nonconformity is it gives us the ability of going in and creating multiple observations for the same thing to determine basically when we're going to fix it if the severity goes up that kind of stuffs be able to make notes on what we need to have and that kinds of stuff we can create an on a new observation from here we can create a work order directly from here or we can view the comments we can have documents we can also have checklists on our actual observations as well and if you notice here we also have a condition sorry a condition index icon where I can actually set up the colors and determine what they actually see and that kind of stuff you can sort it by that again this is all to help you figure out which not which non-conformities you should deal with now versus not and that kinds of thing so to determine which one you should use this it's not really a one-size-fits-all you really have to determine based on what your needs are and that kind of stuff as far as what you should use the first thing is will the person recording the piece of equipment sorry recording the problem no the piece of equipment in that issue if they don't know the piece of equipment then it depends on you know then you're not going to be able to use a nonconformity if you don't know the piece of equipment you're not going to be able to use the nonconformity but if you do or if you don't know the piece of equipment case management call centers might definitely be your starting point because it may very well be use if that person calling in or recording it those have not have any idea what piece of equipment is the issue they just know that there is an issue that needs to be recorded that may need to be addressed later on so will the person who is calling in the issue be in the Employee List if not then call center may be a good starting point for you because call centers don't have to be in the employee table at all in our application and a person who's calling in can be created automatically on the fly as they go in and fill in the information they click saves there's been a caller in the application which is completely different than the Employee List which is actually sometimes good because when you're choosing your employees that's how you book your hours and that kinds of stuff some people don't necessarily want to clutter up their employee table with some of that other information so call center may be a good starting point for that will you have more than one observation before the work is done or is resolved it's Assocation once's conformities may be a good solution for you because if you go by and you're not necessarily going to fix it just because there's a problem but you want somebody to go in and kind of observe it once a month or once a week or once whatever and kind of record those observations until you decide from a budget standpoint or from a time standpoint that you have the time to use it to do it and fix it and that kinds of stuff the non-conformities may be a good solution for you so Molly is there any questions than anybody submitted yes we do have a couple questions here for you okay so first we have this one are all the modules that we saw in this webinar part of the base product they all are all part of the base products now it may be that you don't actually have access to these individual modules or screens at the moment but that's all based on your configuration and your setup and that kinds of stuff so it may be that you'll have to go into your user group give yourself access to a few of those screens as well as going to system codes and create some lists of values in that kinds of stuff for your different types and your severity is and all that other kinds of stuff as you saw there was separate lists of values those are all separate from everything else that actually we've pretty much set up in the application so you may not have access directly to it but that's just based on permissions and user group awesome we've got another one here about case management this case management allow for scheduling our case management kind of allows for scheduling not with the normal scheduling tools that we have if you will but it does allow you to go to the tasks tab and to fill in some different information there now again remember that if you did want to schedule it and then somebody actually needs to book their time to that they cannot do that on the case but then at that point that case would turn into a work order which would still be linked to the case and then you'd be able to book your time and that kinds of stuff and then schedule it through the normal scheduling process we've got one now here on nonconformity can the user be alerted on when to perform an observation on a nonconformity there would be some configuration that would need to be done in order for that to happen but we could do that since the not since an observation is not really going it's not going to kick out a work order or anything of that sort but it could be that we kick out a work order to go do the observation or something to that matter we could also possibly use alert management to tell somebody to go out and do that because it's been a week since we've created an observation or something like that or maybe you want to use reports that could also possibly tell that kind of information great we've got one more here now can you create bulletin board notifications specific to a user group or do they apply to all I believe when you create a bulletin board I believe it applies to everybody but I would have to do some research and get back to you specifically on The most significant benefit is that it's easy for my clients. They're able to fill out and sign contracts I send them with ease. Using templates is very positive for me too - I send out the same contract many times, and being able to do that efficiently is very beneficial.

Sign Now was very easy to setup and use. The experience for the customers is also very simple, and it's very easy to add fields. We used this for various types of agreements. Custom agreements were very easy to use, but we mostly used it for sending the same templated contract to all our customers. I also enjoyed that it expired the agreement, which helped our closing rate and assisted in tracking our sales team.
