hello from alpha training this is Brian and in this tutorial we're going to learn a little hidden gem when it comes to doing data entry and also show you a really slick way to do cumulative filtering I have a sample data set here and I'm going to go to the bottom of this list and I want to put in a new name so if I were to put in my name Brian smedley and then I want to put my name in again now obviously I could retype this but there's a little trick that's built into Excel that you probably aren't aware of and that is that whenever you're typing in a list of text if you're in the cell directly below the last entry and you hold down your Alt key and hit the down arrow key that is going to produce for you a drop-down of all of the previous entries and so what you can do is you can scroll through that list and go find the entry that you're looking for and either click on it or hit tab and I'll place that item in the list again so if I wanted to put sarah-jane in here I could hit alt down arrow go down to the esses and give it a click and her name is in there so this might help you speed up your data entry process when you're putting in the same information over and over and over again and let me show it to you in another location something that's not as massive as this list of names here but something where you have a much shorter list like in this case of these products if I do an alt down arrow and then I can just say okay I want to have rowing machines and then I could go to the next cell alt down arrow and give me basketballs go to the next cell alt down arrow and I want gloves in the case of these regions this is an even shorter list so I can just say all down arrow North West all down arrow central alt down arrow South East or a list of state names alt down arrow and then just go through your list of names in your States New Mexico so that's that trick now there is a little caveat to it and that is that that only works four columns it does not work across rows so if I started a new column over here and I put bill Fred Jane I can now do that alt down arrow and I'll see Bill Fred and Jane but if I try to do that across a row bill Fred Jane and I do an alt down arrow I'm just going to get an empty box so you can't do that across rows the other limitation is that if a column has dates or numbers in it and you do an alt down arrow again you're just going to get empty box it doesn't work with dates or numbers it only works with text and you have to be directly below the last entry if you have a skipped row between your last entry and your new entry the alt down arrow is going to give you nothing so it only works for text and you have to be in the very next cell but it is a nice little shortcut when you have these lists where you're typing the same thing in over and over and over again the next trick has to do with our filters if we go up to data and we turn on our filters we're going to get those typical drop-down arrows that you see at the top of your headings and for most people they hit the drop-down and then they start scrolling through a list of names checking and unchecking this is a very long list let's look at a shorter list like region and so I can take this list and I can check and I can uncheck whichever ones that I want now at some point you figure out that there's this really cool search feature so if I wanted to filter by a particular state I can hit the drop-down but I don't want to have to go through 50 states checking and unchecking the ones I want ones I don't want so let's just say I wanted Tennessee I can type in te and at that point I've got Tennessee in Texas I'll do one more letter TN and I've got it down to Tennessee and I can hit enter and I have filtered just for Tennessee I could go back to my drop-down click in my search box and I could type in C al I have California I hit enter and now I have just California but what if I wanted to do Tennessee and caliph for Nia well every time I go up here and I type in a new state like Tennessee and hit enter I'm replacing the previous filter what I want to do is I want to add them together so I want this to be an additive process so I've gone up here I've searched for Tennessee I come back to the search box I type in C al for California but instead of hitting enter I'm going to click this box that says add current selection to filter and then hit OK because now that will keep my previous search and I get to add the new one so I now have Tennessee in California if I go back to my search filter and I type in mas from Massachusetts and hit add and then ok now I have California Massachusetts and Tennessee so whenever you are filtering by compound items search for the first one execute it but then search for the second one and then check the add current selection to filter and it will become cumulative
